PROJECT STAY MANUAL

INTRODUCTION Project STAY (Students Transitioning to Alumni Every Year), brought to you by a partnership between the National Alumni Council and National Pre-Alumni Council of UNCF, offers dual purposes: 1) students will participate in activities to facilitate a smooth, successful transition from future alumni to active, loyal alumni and 2) alumni will be afforded the opportunity to stay involved with and connected to their alma mater, students and fellow alumni. By volunteering time, energy and talent to this program, you have joined a group of alumni and student leaders who are committed to supporting their institution and connecting with students who will soon join the ranks of alumni. You are essential to Project STAYs central mission to build lasting connections between future alumni and with alumni who are members of National Alumni Associations and Inter-Alumni Councils; and to instill a spirit of tradition, volunteerism and philanthropy among these future alumni. The National Alumni Council is an affiliate organization of the UNCF. The NACs membership is comprised of the National Pre-Alumni Council, member colleges Pre-Alumni Councils, InterAlumni Councils, National Alumni Associations, Greek-Letter organizations, and other groups ascribing to the goals and mission of NAC. The NAC is committed to creating a vibrant program that will compel future alumni on each UNCF member institution campus to give back to their alma mater and to continuously support them. We look forward to its success and to the success of accomplishing our goals.

PURPOSE AND GOALS The intent of this manual is to lay out activities, descriptions, and procedures of the Project Students Transitioning to Alumni Every Year (STAY) Program. This manual should be used by UNCF pre-alumni council students; members of UNCF National Alumni Associations and InterAlumni Councils; Alumni Affairs Directors and Pre-Alumni Council Advisors; and Senior Administrators at UNCF institutions. It is important to note that each of the abovementioned groups has a distinct role in implementing Project STAY that contributes to the overall success of the program. Additionally, Project STAY was designed for each group to be actively engaged in implementation to promote relationship-building and collaboration amongst all groups. We believe this is critical to increasing student participation, young alumni participation, and alumni giving. The role of each group is listed below:

Goal: Develop guidelines for the Project STAY Program and provide oversight to all program participants, particularly local Project STAY Committee Chairs. Chair the NAC Project STAY Committee. 2. NPAC Board: Goal: Co-chair the Project STAY Committee. Provide leadership to PACs and assist in conducting leadership classes. 3. Pre-Alumni Council Students: Goal: Participate in all elements of Project STAY as a student in anticipation of becoming a full-fledge, active alum. As a member of a UNCF member institution Pre-Alumni Council, each student will have the opportunity to enroll in the Project STAY Program as a student participant. Each initiative requires specific participation requirements that must be met, in order to be invited to participate in the Senior Transition Ceremony and/or to be eligible for the Project STAY Senior Award. 4. Alumni Affairs Directors: Goal: If not also serving as the Pre-Alumni Council Advisor, ensure the Pre-Alumni Council Advisor has adequate resources to perform duties associated with implementing Project STAY. 5. Pre-Alumni Council Advisors: Goal: Provide oversight to student participants and ensure that Project STAY activities are implemented in accordance with the guidelines. Interface with the NAC Vice President for Programs to receive updated information on Project STAY. 6. National Alumni Association and Inter-Alumni Council Presidents: Goal: Review Project STAY Manual and select initiative(s), which will be implemented by the organization. Encourage alumni members to enroll in the Project STAY program as a mentor or in other aspects of the program. Identify opportunities for student participants to participate in alumni activities and events. Designate someone and/or committee to be responsible for overseeing Project STAY activities. Ensure members create and/or update profiles in NAC membership database. 7. Local Project STAY Committee and Alumni Club/Members: Goal: Enroll in Project STAY as a mentor or participate in other Project STAY activities. Serve as a representative of your organization on Project STAY Committee with the NAC Vice President for Programs.

Program Goals: 1. Increase National Alumni Association and Inter-Alumni Council membership; 2. Increase the pool of students and alumni capable of assuming leadership positions in National Alumni Associations, Inter-Alumni Councils, local alumni clubs, and the Boards of the National Pre-Alumni Council and the National Alumni Council; 3. Instill the spirit of tradition, volunteerism and philanthropy amongst future alumni; 4. Increase giving to UNCF institutions; and 5. Increase giving to UNCF.

ABOUT PROJECT STAY The National Alumni Council has developed a program to attract and retain students (future alumni) to Pre-Alumni Councils (PAC); thereby increasing the likelihood of PAC members becoming active alumni upon graduating, and increasing alumni giving to their institutions, as well as to the UNCF. Project STAY (Students Transitioning to Alumni Every Year) is a program that includes several interactive, educational, and engaging activities to facilitate the transition of students into becoming active, loyal members of National Alumni Associations (NAAs), InterAlumni Councils (IACs) and leaders on the Boards of the National Alumni Council (NAC) and the National Pre-Alumni Council (NPAC). The goal of Project STAY is to build lasting connections between future alumni and with NAAs, IACs, and NAC; and to instill the spirit of tradition, volunteerism and philanthropy among future alumni. In addition, Project STAY will facilitate relationships between students and alumni; increase bonds between the NAAs, IACs, and NAC and local Pre-Alumni Councils; increase the number of active alumni, particularly young alumni; and increase funding for UNCF. Project STAY has been divided into three major components:

Within each component, there are several initiatives and activities to engage students and alumni. Project STAY will be piloted in the first year by a combination of no more than six PACs, NAAs, and IACs. Piloted organizations will sign a Memorandum of Understanding (MOU) with the NAC outlining responsibilities and other details. Thereafter, additional organizations will be added. TIMELINE At least one initiative under each component will be implemented in Year (1) of Project STAY. The final program will be introduced during the 2014 NAC/NPAC Leadership Conference in Memphis, TN. Future updates of the Project STAY Manual will include guidelines on the remaining activities.

GUIDELINES Guidelines have been provided to assist institutional staff and alumni with implementing the Project STAY program. Project STAY is intended to enhance existing student programming at the institutions and to supplement programming, where necessary. These guidelines will identify, to the greatest extent possible, how institutions can integrate Project STAY activities on their campus, and how alumni organizations can do the same. Each activity includes a description, overview, procedures, and recommended resources.

Senior Transition Ceremony 1.1 Description. The inaugural Senior Transition Ceremony (Ceremony) will be held at the 2014 NAC/NPAC Leadership Conference in Memphis, TN and at each Conference thereafter. The Ceremony will acknowledge the formal transition of PAC members who are graduating seniors to alumni with all of the rights and privileges pertaining thereto. It is assumed that these seniors will graduate from their respective institutions in the same year of the Ceremony and are entitled to these privileges. 1.2 Overview. The Project STAY Senior Transition Ceremony is a special ceremony which will become a NAC tradition. Only students who are members of PACs and who are graduating seniors will be included in this Ceremony and inducted as NAC alumni. UNCF member institution Presidents and Administrators, Presidents of NAAs and IACs, and Board members of the NAC and NPAC will be invited to be active participants in the Ceremony. Graduating seniors will be inducted, recite the NAC alumni oath and will receive special insignia signifying their transition from students to alumni. A special Project STAY Senior Lapel Pin has been designed and will be unveiled during the Inaugural Ceremony. Each student participant will be pinned by one of the alumni participants and draped with the official Project STAY Senior Cord. A reception will follow the Ceremony to allow the transitioned students to network with fellow students and alumni. Note: After the pilot phase, member PACs will also have the option to conduct the Senior Transition Ceremony on their respective campuses. This will allow graduating seniors who are unable to attend the Leadership Conference to participate in the formal Transition Ceremony and for underclassmen PAC students not attending the Conference to witness the transformation. The Project STAY Committee will provide general guidelines; however, local PACs will be responsible for organizing their respective ceremonies. 1.3 Procedures. Graduating Seniors (attending the Conference) Provide the PAC Advisor and/or Alumni Affairs Director with a biography (picture, name, major, anticipated future plans) by November 15 of each year. Prepare business cards to distribute during the networking reception. For the Ceremony, females should wear all black (dress or blouse and skirt) with black shoes; males should wear black suits with white shirts and black shoes. Graduating seniors should also attend the Project STAY Information Session during the Conference, so they can fully understand their role in Project STAY. PAC Advisors and/or Alumni Affairs Directors By December 1 of each year, PAC Advisors and/or Alumni Affairs Directors should submit a list of graduating seniors who will be attending the NAC/NPAC Leadership Conference to the Project STAY Committee Chair and ensure that all graduating seniors attending the conference are present at the Ceremony. A brief biography with the students

picture, name, major, anticipated future plans should be included in the biography. Wherever possible, incorporate the significance of the lapel pins and cords in the institutions commencement ceremony and program, so the public will be aware of the students official transition from student to NAC alum. PAC Advisors and/or Alumni Affairs Directors should also attend the Project STAY Information Session during the Conference, so they can fully understand their role in Project STAY. (See Appendix A) NAC Project STAY Committee Invite Ceremony participants by November 1; follow-up with confirmed and unconfirmed participants by January 6. The Project STAY Committee will send information on the Ceremony to Institution Presidents/Administrators, Alumni Leaders, and PAC Advisors by January 6. The Project STAY Committee will organize the Ceremony and Reception and ensure that student participants receive the pin, cord, NAC membership card, and access to the virtual Project STAY kit. Institution Presidents/Administrators and Alumni Leaders Presidents and/or Administrators from UNCF Member Institutions will be invited to participate in the Ceremony. Instructions will be sent to participants by January 6. A script will be provided during the Ceremony. If possible, a rehearsal will be held prior to the Ceremony. 1.4 Recommended Resources. Senior Lapel Pin and Cord 2.1 Description. The inaugural Senior Lapel Pin and Cord will be presented to each graduating senior during the Senior Transition Ceremony at the 2014 NAC/NPAC Leadership Conference in Memphis, TN and at each Conference thereafter. The insignias will acknowledge the formal transition of PAC members who are graduating seniors to alumni with all of the rights and privileges pertaining thereto. It is assumed that these seniors will graduate from their respective institutions in the same year of the Ceremony and are entitled to these privileges. 2.2 Overview. The Project STAY Senior Lapel Pin and Cord has been designed and will be unveiled during the Inaugural Ceremony. Each student participant will be penned by one of the alumni participants and draped with the official Project STAY Senior Cord. A reception will follow the Ceremony to allow the transitioned students to network with fellow students and alumni. Students are encouraged to also wear the Pin and Cord for

2.3 Procedures. Graduating Seniors (attending the Conference) Students are encouraged to wear their Senior Pin and Cord for the duration of the Conference and during their respective Commencement exercises. The Pin and Cord will be given to each student during the Ceremony. PAC Advisors and/or Alumni Affairs Directors By December 1 of each year, PAC Advisors and/or Alumni Affairs Directors should submit a list of graduating seniors who will be attending the NAC/NPAC Leadership Conference to the NAC Vice President for Programs and ensure that all graduating seniors attending the conference are present at the Ceremony. The Committee will ensure that enough pins are available for the students participating in the Ceremony. Institution Presidents/Administrators and Alumni Leaders Presidents and/or Administrators from UNCF Member Institutions will be invited to participate in the Ceremony. Instructions will be sent to participants by January 6. A script will be provided during the Ceremony. If possible, a rehearsal will be held prior to the Ceremony. Ceremony participants will pin students; preferably a student from their institution.

Virtual Project STAY Senior Kit 3.1 Description. The Virtual Project STAY Senior Kit will contain information to assist graduating seniors during their transition to be active, productive alumni. The focus of the Kit is to provide graduating seniors with information on joining local alumni and interalumni clubs, career placements and job opportunities, transition checklist, and a directory of local alumni and inter-alumni clubs and NAC/NPAC Board Members 3.2 Overview. The Virtual Project STAY Senior Kit will be available electronically in a password-protected site of the NAC portion of the UNCF website. 3.3 Procedures. Graduating Seniors All graduating seniors will receive information to access the Kit by March 15 of each year. Each student will be assigned a temporary userID and password after receiving a confirmed list of seniors from the institution. The Kit will be accessible at any time and will be updated periodically. PAC Advisors and/or Alumni Affairs Directors By March 1 of each year, PAC Advisors and/or Alumni Affairs Directors should submit a list of graduating seniors, including email addresses, to the Project STAY Committee Chair. These names will be forwarded to the website administrator who will assign a userID and password to them. Advisors and/or Alumni Affairs Directors should encourage seniors to utilize the Kit prior to and after graduation. NAC Project STAY Committee The Committee will assemble the Kit and ensure that current information is available. Alumni Leaders Presidents and the Executive Board of National Alumni Associations and Inter-Alumni Councils will provide the Project STAY Committee with information on leadership, meeting location and time, dues amount, etc. as often as said information changes to ensure that current information is included in the Kit. Alumni Leaders should submit the Information Sheet to the Project STAY Committee by May 30 annually or update profiles on the website electronically. (See Appendix B) 3.4 Recommended Resources. Student to Alumni Mentor Network 4.1 Description. This program is designed to facilitate networking and mentoring of UNCF Pre-Alumni Council students using extensive alumni contacts and resources in National Alumni Associations (NAA) and Inter-Alumni Councils (IAC). The program provides a structured way to explore and facilitate mentorship arrangements, and serves the interests of students and alumni of UNCF institutions. 4.2 Overview. The Student to Alumni Mentor Network will be launched September 2014. Members of PACs enrolled in the Project STAY Program will be eligible to participate in the program after they have completed the first series of STAY leadership classes and the orientation/webinar. A link to sign-up for the program will be on the NAC portion of the UNCF page, as well as made available from each PAC Advisor. Only students with current profiles in the NAC membership directory will be able to participate in the program. Mentorship arrangements are a proven way for students to gain further insights about their career fields of interest, their internships, joining local alumni clubs, and strategies to further position themselves for career or graduate school success. Whenever possible, students gain referrals to alumni of their home campus, and who have direct experience in the students career fields of interest. In some cases students may be matched with alumni from other cities if no home-campus alumni in their career areas of interest are available. 4.3 Procedures. Project STAY Students Students will register during the Fall semester to participate in the Network. Leadership classes and an orientation/webinar will be held by November during the Fall semester. Students register their interest in gaining an alumni mentor during their Fall semester of their Sophomore year. They also complete a pre-enrollment application that specifies their contact information, internship and career interests, and that verifies they will comply with the terms and rules of the mentorship program. The mentorship activities will start the beginning of the Spring semester of their Sophomore year. (See Application Appendix C) Alumni For alumni who wish to give back to their alma mater, the Project STAY Student to Alumni Mentorship Network is a structured and systematic way to contribute their insights, advice, as well as potential further contact for students professional development. Alumni participants are pre-screened in order to determine their eligibility, availability, and specific fit for students in different internship and professional sectors. On an ongoing basis, NAA and IAC alumni who work/reside in an area where a UNCF institution is located are welcome to register their interest in being a mentor for one or more PAC students. Exceptions will be made for alumni who wish to

serve as mentors and are not located where a UNCF institution is located, especially if there is a student match. A pre-screening process and orientation/webinar includes detailed instructions about the process, collection of contact and work/career information, and a clear statement of the program expectations and rules of interaction between students and their mentors. Project STAY Committee The Project STAY Committee will determine optimal mentor/mentee matches, and will provide the alumni initial, basic information about their potential student mentee. Alumni are asked not to contact the student until the initial start of program, after students and alumni complete a mandatory Mentorship Program orientation/webinar. Students then receive the name and contact information for their mentor. In the first and second weeks of the Spring semester, students contact their mentor to set up an introductory meeting. During the 4th week, the Project STAY Committee will check in with both the students and the mentors. In the final week of the term a closing reception will be held where students consider possible next steps for keeping their alumni networks active, learn about ways to expand their networks, and reflect on their own and their peers mentorship experiences. The closing reception will be hosted by the Institutions Alumni Affairs Office. Institution Presidents/Administrators Institutions that agree to pilot the Network during 2014 will commit to ensuring that the goals of the program are met and evaluate the effectiveness of the program. 4.4 Recommended Resources. Orientation webinar (provided by NAC) Leadership classes (provided by NAC) Registration forms (provided by NAC) Closing reception (provided by the institution) 5.0 Project STAY Alumni Liaisons 5.1 Description. Any member of a National Alumni Association or an Inter-Alumni Council can serve as an Alumni Liaison to the member Pre-Alumni Councils. The Liaison will have several responsibilities related to the implementation of Project STAY: 1) serve as the point of contact for communicating information about Project STAY Program from the NAC to the members of their respective organization , 2) serve as the Liaison to the NAC VP for Programs for the purposes of Project STAY, 3) serve as the chair of the organizations Project STAY Committee, 4) assist the President in ensuring that Project STAY activities are being implemented within their respective organization. 5.2 Overview. The Project STAY Alumni Liaison serves a vital role to the success of Project STAY, locally and nationally. The Liaison will be the primary contact for organizing and implementing Project STAY activities within their organization. Each organization has the option to identify who will serve as the Liaison, either through an

existing office/position or committee chair, or creating a new position. The Liaison also has the option to serve as a mentor; however, that is not a requirement. 5.3 Procedures. NAA President or IAC President Each organization shall identify the Alumni Liaison by August 1 of each year and submit their contact information on the Alumni Club Profile Sheet to the Vice President for Programs. ( See Appendix A) The president shall ensure that the Liaisons profiles, as well as the other members profiles are accurate and current. You should also submit the Project STAY Activity Sheet) to the Vice President for Programs by August 1. (See Appendix C) Alumni The Liaison shall update their alumni profile as often as necessary and monitor if they are receiving regular updates on Project STAY from the VP for Programs. The Liaison shall participate in quarterly conference calls with the VP for Programs and other Liaisons. The meeting schedule will be provided by July 1. In conjunction with the Pre-Alumni Council, the Liaison shall identify opportunities for alumni within their organization to interact with the Pre-Alumni Council students and for students to participate in alumni events. The summary of activities should be submitted annually to the VP for Programs by September 15. In conjunction with the organizations president, the Liaison shall monitor the implementation of the activities identified in the summary and provide guidance to alumni participating in those activities. Pre-Alumni Council Advisors The Pre-Alumni Council Advisor shall agree to meet with the Liaison for the purposes of identifying opportunities for alumni to interact with the Pre-Alumni Council students. The Advisor should also encourage students to create and update their profiles. In addition, Advisor shall ensure that students interested in participating in the Student to Alumni Mentor Network meet all of the prerequisite activities. You should also submit the Project STAY Activity Sheet) to the Vice President for Programs by August 1. (See Appendix C) 5.4 Recommended Resources. Project STAY Manual (provided by NAC) Alumni Club Profile Form Organizational Project STAY Activities 6.0 Project STAY LinkedLn Page 6.1 Description. LinkedIn is the leading online professional directory of individuals and companies. LinkedIn currently has over 200 million members in more than 200 countries, including executives from every Fortune 500 company. 6.2 Overview. Individuals use LinkedIn for professional networking, connecting, and job searching. Companies use LinkedIn for recruiting and for providing company information to prospective employees. Project STAY students and alumni who become members of

the Project STAY LinkedLn Page can search for jobs, join groups, research companies, and network with members of this network. This will be a closed group and only persons who are participants of Project STAY activities will be invited to join. 6.3 Benefits of how the Project STAY LinkedLn Page will Impact the Students 1. Getting Job Email Alerts. Once you have created your professional profile on LinkedIn, you can set email alerts to receive notifications of recommended jobs. Students and jobseekers will be able to see the notifications on their homepage as soon as they log into their LinkedIn accounts. 2. Connecting with Alumni. If you have a look at LinkedIn, youll be surprised to find out the large number of professionals who choose to connect here, specifically alumni representing all of the UNCF institutions. And its never a tough job connecting with them all. Whats more, you can even import your email list to find out who among your friends is present on LinkedIn. 3. Conducting Company Research. One of the biggest benefits LinkedIn offers college students and jobseekers is that they can check out the pages of their targeted employers. By visiting company, pages, you can conduct a research on the whereabouts of the company, the hiring process and what people have to say about that organization. This kind of company research on LinkedIn can always keep a stay ahead of your competition and increases your employability. 4. Getting Recommendations. LinkedIn also offers a feature through which you can get other people to recommend you. People with a maximum number of recommendations have a great chance of attracting the employers attention. College students too can try to get as many recommendations as possible to increase their employability. 5. Letting Companies Find You. Today, a large number of organizations look for talented candidates on social networking platforms like LinkedIn. If you have created a good and detailed professional profile, chances are you will attract employers attention. And it would really be nice to be invited by companies for your job position you always wanted to occupy. 6. Connecting with Other Students. College students can also use LinkedIn to network with other students. This type of networking gives you a wonderful opportunity to find out how other college graduates found a job or got hired by an employer. 7. Landing International Jobs. LinkedIn is a global networking platform. If you are interested in landing jobs overseas, you can get a lot of benefits by networking on this social media website. You can connect with all the major international employers and find jobs in foreign countries.

We want Project STAY students to be aware of the most effective social networking tools available to assist them in their careers. It is important that student participants create their profiles on LinkedIn and start to use this social media platform for connecting with professionals. If you prepare yourself as early as possible, you can easily stay ahead of your competition when it comes to landing a job of your interest.

6.4 Procedures The Project STAY LinkedLn Page can be accessed by using the following connections: Project STAY and UNCF. Project STAY Committee- the Project STAY committee shall be responsible for the providing the information to update the Project STAY LinkedIn page. PAC Advisors Advisors should encourage Project STAY graduating seniors and students who have completed the leadership courses to submit profiles. Additionally there is a Help Center tab on the website as well. 7.0 Leadership Courses 7.1 Description. This program is designed to cultivate an enduring understanding of the roles and duties of the UNCF, the National Alumni Council (NAC), and the National PreAlumni Council (NPAC). These leadership courses are to be held by November during the Fall semester. 7.2 Overview. The leadership courses will be titled UNCF 101 and UNCF 102. The UNCF 101 course may be provided to students during their NPAC/PAC orientation week. The first course will outline the Local PACs roles and responsibilities to provide a consistent understanding of what the organization contributes to the campus. The UNCF 101 course will also explain the relationship between the local PAC and the NPAC. The UNCF 102 course provides a more in-depth understanding of goals of the UNCF, the NAC, and NPAC with the hope that students will recognize the relevance of the organizations. The UNCF 102 course will also explain the relationship between the NPAC, the NAC, and the UNCF. 7.3 Procedures

Project STAY Committee- The Project STAY Committee will determine the content of each leadership course. Once the content of each course has been determined, the committee will provide that information to schools via webinar or PowerPoint. Pre-Alumni Council Advisors- The Pre-Alumni Council Advisor shall agree to oversee participation in the Leadership Courses. National Pre-Alumni Council Board- The National Pre-Alumni Council Board shall agree to oversee participation in all PACs in the Leadership Courses.

Chase L. Gayden Senior Award 8.1 Description. This incentive is designed to recognize a graduating senior who has made an outstanding contribution to the livelihood or sustainability of his or her local PAC and who has exhibited characteristics related to the goals of Project STAY. This award was previously named Exemplary Leadership and was awarded by the NPAC. Beginning 2015, the Senior Award will be included in the suite of NAC awards given by NAC. 8.2 Overview. A certificate bearing the students name and a monetary gift will be awarded annually to a graduating senior who displays those qualities of outstanding scholarship and significant service to their Pre-Alumni Council and the National PreAlumni Council as exemplified in the life of Chase L. Gayden, Former NPAC President and NAC Vice President for Public Relations. The recipient must occupy a position of responsibility in his or her local PAC and has demonstrated actions consistent with the goals of Project STAY. In addition, students will be asked to make contributions to the Chase L Gayden Scholarship housed at Tougaloo College. The amount will be announced during the Project STAY Senior Transition Ceremony. The recipient will receive their award during the Project STAY Senior Transition Ceremony 8.3 Procedures Pre-Alumni Council Presidents/Advisors- The Pre-Alumni Council president and advisor shall submit a nomination application for a graduating senior by the deadline provided by NAC Awards Committee. Pre-Alumni Council advisors shall also be responsible for reporting the nomination to the College President and other officials. Project STAY Committee- The Project STAY committee shall be responsible for the providing the information to the NAC Awards Committee for publication of the award criteria as well as the review of the submitted nominations. will also be responsible for obtaining the certificate and the monetary gift once the award recipient has been selected. 8.4 Recommended Resources Award Certificate and/or monetary gift Nomination Form (developed by the NAC) NAC Awards Committee PILOT ORGANIZATIONS ROLES AND RESPONSIBILITIES The term 'pilot studies' refers to mini versions of a full-scale study. Pilot studies are a crucial element of a good project or program. Conducting a pilot study does not guarantee success, but it does increase the likelihood of success. Pilot studies fulfill a range of important functions and can provide valuable insights for others considering designing similar programs. For purposes of Project STAY, three to four NAC organizations will be identified to participate in the pilot study, which will begin in March 2014 and run through March 2015. Ideally, the pilot will include an opportunity for a PAC, NAA, and/or IAC to collaborate. Organizations selected should meet the following criteria: 1. Commitment from the senior administration leadership and PAC Advisor 2. The PAC must be current financially and have at least 15 active members 3. Commitment from the Executive Board of the NAA and the institutions staff liaison, typically the Alumni Affairs Director 4. The NAA must have identified a person/committee to serve as the Project STAY Liaison 5. Sign the Memorandum of Understanding Pilots will be notified by January 2014 and invited to participate in the Project STAY Informational Workshop held during the 2014 NAC/NPAC Leadership Conference. Selected organizations will follow the following process during the pilot study: 1. Sign the Memorandum of Understanding. The NAC will draft a Memorandum of Understanding (MOU) to be signed by leaders of all participating organizations by the end of January 2014. 2. Submit the pilot plan to include the scope, objective, and the participants by March 2014. Define the scope by clearly stating which initiatives and activities will be included and which will not, will you partner with the local alumni club and/or IAC. The scope should also state how you expect them to perform. The pilot objectives are included in this Manual. However, organizations may choose to add secondary objectives. The plan should also reflect the Program Goals and Evaluation Plan. (See Appendix D) 3. Create a communication plan. The type of information you will communicate, to who it will be communicated, by what means, and how often. Submit plan to the NAC VP for Program by March 2014.

4. Create a pilot schedule. The schedule should incorporate time to plan the pilot, training participants, evaluating the pilot, etc. 5. Execute. Begin implementing your respective Project STAY program. Submit status reports quarterly to the NAC VP for Programs. 6. Monitoring the pilot. This is concurrent with step 4, but should be a continuous part of your learning phase project. Collect information during the plot and look for areas/opportunities for improvement. 7. Evaluating the pilot. When the pilot is complete, obtain feedback from a variety of sources, including participants, to evaluate the pilots success. 8. Deciding the next step. Once enough pilot data has been collected and participant feedback has been evaluated, the NAC will determine how to proceed. Depending on how well the pilot meets the success criteria, there are a number of strategies that the NAC can employ at this point in the pilot deployment: a. Continue the pilot. b. Suspend the pilot. c. Proceed with the full deployment phase

PROGRAM EVALUATION Each organization participating in the pilot phase of Project STAY shall complete a biannual evaluation of the programs activities (See Appendix D) to document the progress of Project STAY. After the pilot phase, each organization shall submit an evaluation form to the VP for Programs annually. The Vice President for Programs, Alumni Liaisons, and PAC Advisors shall participate in an evaluation meeting after completing 12 continuous months of implementation.
