The Mariner Records Collection Relating to British Naval Merchant William Collinson This collection contains 320 images of 192 documents relating to British Naval merchant William Collinson and are dated from 1841 to 1917. Included in this collection are personal letters between Collinson and is wife Hannah, military records including discharge and pay documentation. Also included in this collection were artifacts related to Robert Crawshaw who is Collinsons son-in-law through Collinsons daughter Mary Ann. This collection did not have source information and did not have an established original order. Background The images in this collection were uploaded by Mark Summery, a Technology Consultant at Emporia State University. This collection does not include restriction instructions and contains no sensitive content. It is anticipated that this collection could be valuable to anyone researching Collinson or Crawshaw family genealogy or researching British military history. The military records in this collection could aid a research because of the completeness of the collection and the vast time span it covers. Included are discharge and pay information for a 50 year time period. Kathleen D. Roe (p. 30) listed factors to consider when arranging a collection, those factors were taken into account for this collection:

Who uses the archives? What do users want? Why do users want it? How do users go about getting it? Arranging the Collection This collection did not already have an established original order. The materials were not organized by subject, date or document type. Most of the files are in very good condition and are easy to read. Few are dark but are still able to provide information. An index or thumbnail views of the image were not included in this collection. The files in this collection are saved in .tiff format making the files very good digital quality but the files were large and therefore it was time consuming to download the files to view them. Several hours were spent downloading files for viewing in this collection. When deciding how to arrange this collection I referred to the Describing Archives A Content Standard (DACS) manual and incorporated the archiving principles to my decision making. DACS includes 8 archival principles of arrangement which act as rules for arranging materials in a collection. Each of the 8 principles were incorporated into the arrangement of the Mariner Records Collection. Records were examined for unique characteristics such as shared subjects, themes or format. It was determined that the shared subject of most of the materials in this collection was related to British Naval Merchant William Collinson. Many of the artifacts were personal letters he wrote to or received from his wife Hannah. This

collection also includes many of his military records. Many of the artifacts were related to Collinsons son-in-law Robert Crawshaw. Had this been a finding aid created for a real world archive the finding aid would have been formatted in the same way as other materials in the archive. Respect des fonds was used as a basis for preserving the context of the items in this collection. Respect des fonds deems an archivist to keep materials in their original order if an original order has been established. Since this collection did not have an original order the collection was arranged by preserving the existing relationships between the documents and the evidential value inherent in their order (DACS, 2013, p. xvi). Groups of materials were identified within the collection. The materials in this collection were examined and logical grouping was established. Three series were created for this collection; Collinson, William, Crawshaw, Robert and Jewitt and Drypool Vicage. Collinson, William and Crawshaw, Robert both have subseries to identify groupings of related documents in each series. The last series was a small collection of documents that have not yet been determined to be related to William Collinson and were thus filed separately. Description reflected the arrangement of materials in this collection. The details of description were dependent on the importance of each item in the collection. For example, there were many pay stubs belonging to William Collinson, for the purpose of a finding aid the date and subject of provided the details needed to effectively describe

each pay stub. However, other items, such as William and Hannahs marriage certificate provided details that were decided to be more important and were included in the description. This digital collection required the same archival rules as all other archival materials. Each item included a reference code, name and location of the repository, title, date, extent, creator, scope, conditions statement and language. Since this collection contained digital copies of images special equipment was not required for accessing the materials so a note was not made. Had special equipment been required for access, a note would have been included. Description was applied equally to all records included in this collection. Some were personal letters, some were business transaction and some were military records. All materials were described indistinguishably from one another and priority was not given to any material. Multilevel description was included to provide detail to this complex collection. While some archivists first create group levels and then series levels of description, this collection first had an administrative history created and then it was described at a series level. This method was chosen because a series is a group of records created or maintained in a unit because they result from the same activity or function (Roe, 2005, p. 22). Some of the 320 images included in this collection required notes or details to aid researches identify the content of the material. Adding subseries and subgroups was important to keep the collection organized and eliminating any details from the sublevel

or groups would have compromised the content of the materials. Conversely adding notes at the series level could have been confusing to researchers. Description was included at all levels to ensure details were not being omitted from the description. Multilevel description identifies how materials are related to one another in a part-to-whole relationship and that need complete identification of both parts and the comprehensiveness whole in multiple descriptive records (DACS, 2013, p. xviii). This collections subseries was essential to providing a logical grouping of the materials, including description to each level was important to ensuring the context of the materials was being made clear. The levels of description were purposefully made consistent with the levels of description in this finding aid and relationships were indicated between each level. The creators of the materials were described in this finding aid when possible. Notes were included in the finding aid to describe information available on each subject. Historical background was included on William and Hannah Collinson and their daughter Mary Ann and her husband Robert Crawshaw. All available information about the creators of the Joseph Jewitt and Drypool Vicage materials is included in their respective descriptions. Using Archivists Toolkit Automated Archivists Toolkit is a very good program for managing archives. Archivists Toolkit has several benefits attractive to archives. It is a free program; it promotes standardization and has of free training tools available on line. Archivists Toolkit has

resources and support available on their website. Archivist Toolkit automated the process of ensuring access points and index terms were implemented in the finding aid. Archivists Toolkit also generates finding aids that are easy to understand promoting better access to collection materials. The only challenges encountered when creating this finding aid were due to lack of practice. It is believed that more experience will allow archivists to create finding aids with ease.

Abstract This collection contains personal letters and military documents related to William Collinson. Materials are dated 1841-1917. This collection also includes materials relating to Robert Crawshaw, William Collinson's son-in-law. A relationship could not be established between William Collinson and 3 items in this collection so those items were arranged in a separate series in case a relationship can be established in the future. It is anticipated that this collection would be helpful to research involving British military history or the Collinson and Crawshaw family genealogy. The military records could aid a researcher because of the extensive time span and completeness of the military records. Discharge and pay information over a 50 year period are included in this collection. William Collinson was born in 1817 in Hull and married Hannah on June 29, 1843 at the Parish of St. Mary in the County of Hull in England. William and Hannah had children identified in the letters as Polley and Mary Ann. Mary Ann married Robert Crawshaw who was born in Luds in 1852 and also a seaman. After leaving the navy Robert sold boilers until he died in 1910. A relationship between Joseph Jewitt and William Collinson has not yet been established. Joseph Jewitt was also born in Hull in 1869, became an engineer and died in 1917.
