Unit 10 Databases P2, P3, M2, D2

] Scenario:

A new library has opened in your area. They need a database to manage the book and DVD loan
system. The library staff are unfamiliar with databases. You have volunteered to create a database
for them.

The library staff have decided that you need to include certain
requirements:
A table of the books and DVDs in the library, including type (book/DVD), library catalogue
number, title, author, ISBN, year of publication, genre.
A table of library members, including membership number, name, data of birth, address,
phone number, email address

Unit 10 Databases P2, P3, M2, D2

A way to show whether a book/DVD is available or taken out on loan.

A way to show when a book/DVD has been taken out, by whom and when it is due back.

You decide you will create a relational database. The task will
include the following:
Describe the purpose of the database and explain how it will help staff.
Come up with a range of design idea for the database. Refer back to the staffs requirements
and select the best option. You should draw an entity relationship diagram (ERD) for this
section
Explain to the staff your plan for creating and testing the database and clearly outlines the
different stages and components of the design.
Identify any problems or issues you foresee at this stage.
From your design ideas, select the elements that best meet the brief, and give reasons why
you selected or discarded each option.
Create test data that will be used drawing the testing stage (you will need to research books
and DVDs and create some fake names for this section.

Unit 10 Databases P2, P3, M2, D2

Describe the purpose of the database and explain how it will help staff.

- So the library staff knows what books they have in the

system. Its going to be easier to look and inform
members of changes in the library if there are any.
- To know whether a book has been taken out on loan.

Come up with a range of design idea for the database. Refer back to the staffs requirements (these will be your field
characteristics) and select the best option. You should draw a number of entity relationship diagrams (ERD) for this
section. There is an example of an ERD in your files.

You will need more than one design to ensure you get a merit. Remember you can create a
new table just using foreign keys.

Unit 10 Databases P2, P3, M2, D2

Explain to the staff your plan for creating and testing the database which clearly
outlines the different stages and components of the design.
Here you should discuss the tools you will use including: fields, number of tables,
primary keys, foreign keys, validation rules.
You also need to discuss how you will test it using forms, reports and queries.
I am creating this database to ensure that the library system is organised and
ensuring everything is well secured and in place. I will always be using fields,
number of tables, primary keys, foreign keys, validation rules, forms, reports and
queries so when I am creating the database it will be very simple and easy to
understand.

Identify any problems or issues you foresee at this stage. You will need to

Unit 10 Databases P2, P3, M2, D2

consider productivity, accuracy and usability (remember that validation rules will
improve accuracy).
The database will not be user friendly but it will be productive and people also
need to be careful when signing up ensuring that all their details are accurate so
there will be no difficulties when entering their information in the database.

From your design ideas, select the elements that best meet the brief, and give
reasons why you selected or discarded each option.
Some of the elements that will best meet brief is the primary keys and foreign
keys because for example foreign keys are primary keys going into another table
uniquely identifies each record in a table so it will be very important to have
those two elements.

Create test data that will be used drawing the testing

stage (you will need to research books and DVDs and

Unit 10 Databases P2, P3, M2, D2

create some fake names for this section).
