Criterion B: Analysis

Proposed solution:

It was proposed to create a spreads sheet using Microsoft Excel and a


database created with Microsoft Access 2013. After consultation with the client, we
decided to create the database.

Requirement specification

IT system requirements

- Hardware: PC with minimum requirements (1 GHz processor, 530 MB RAM and 10


GB HD)
- Software (processing): Microsoft Access 2013, Share Point 2013.
- Network: Internet connection with a download speed of 10-15 Mbps.
System interaction

- PC with minimum requirements, Compatible software (Share Point 2013), 2 GB


flash drive for back up.

Input/output requirements
Input requirements

- Doctors data provided by client (First and last name, hospital in which they work,
speciality)
- Pictures in digital form of medicaments provided by client Forms including: front
page form (medical visitors form), hospital and doctor information form, medications
sample form.

Output requirements
- Database that follows the following tables: Medical visitors, doctos, questionnaire
and medicaments.

Security

- Password and Security restrictions.


- Save Project in a frequent basis. (back up)

Specific performance criteria

The Effectiveness of the database will be tested if the following conditions


were met:
a) A secure database in which the medical visitor is able to login by using his/her
username and password.
b) The use of queries and forms that can facilitate the access of a specific element
within the database.
c) The capability of storing all the information provided by the client in tables and
reports.
d) The presence of input and reports

Justification of chosen solution

The proposed solution for this issue would be to create a database through
Microsoft Access 2013. This software would allow the client to have a default format
of the questions that are commonly asked during the medical visits. This
questionnaire will contain the doctors information (first and last name, hospital in
which they work, speciality), the type of medication that he or she usually prescribes
and the sample products that the medical visitor will need to order for the doctor to
distribute to his patients. Every medical visitor will have a different username and
password in order to log in to their account from any compatible device that they
have available during their visits. All of the accumulated information will be stored in
a secure database that is also connected to the main office. This is a very effective
solution for many reasons. Time efficiency will significantly increase, and instead of
visiting four to six hospitals a day (20 doctors), the medical visitors will be able to go
to seven or even eight (35 doctors). The database will easily keep track of stock and
will allow the movement of products that are not being promoted. Also, variables
such as weather and time will no longer have a negative effect on the products
promotion. Medical visitors will be able to chose a specific specialist depending on
the item that they want to promote.
The information collected by the medical visitors is commonly written and then
translated into the office database. The database will allow them to store it in a safe
place that will be very neatly organised, accelerating the process of the medical
sample requests, and therefore, have a more productive promotion of the products.
Also, they wouldnt be at the risk of losing the papers and wasting more time. I have

experience using Microsoft Access, so creating the database wont be a problem.


The information gathered from the client such as the questions and the doctors
information will be stores in tables for the database development.
