I shared my idea with Chris about taking the survey at the


Dairy Fest (Friday 6/5). She liked it and gave the OK to do
that. I have enough coverage for my class to go over
early. I created a simple data keeping table and 7
questions to ask.
I also discussed with Chris about participating in the new
hire orientation for summer staff on the topic of
confidentiality. The school has a document for staff to sign
but the topic needs to be made clear to the college
students who share so much information about themselves
on social media. I spoke with Deb Porter-Jones, the Human
Resources person, regarding the confidentiality document
and adding the topic to the agenda for the new hire
meeting on June 11.
I engaged in a conversation with Chris and Mary Ann White
a trainer with the State Education Department regarding
the training we received in writing annual goals and
creating data tracking sheets for all the points of the goals
and objectives. At the training we looked at 2 existing
goals for students at our school and broke them down into
smaller and more measurable parts. We then created a

document to track the goal across school settings. I
listened to a discussion regarding a problem with a few
staff at an earlier meeting who are resistant to changing
the way goals need to be written. I thought about how I
would handle a situation. It seemed that therapists were
stating the way they learned to write goals from a clinical
standpoint and the focus now needs to be on how the child
is functioning within the classroom. I would look for
articles about writing goals for children in the school
setting and share the educational regulations requiring us
to write goals differently.

I added another question to the survey (Do you email your


childs teacher) for a total of 8 questions to ask. To gain a
better understanding of how many parents would be
coming to the Dairy Fest, I emailed, then visited, teachers
to inquire about the number of parents attending for each
class. There should be 65 parents attending the Dairy
Fest. The staff were receptive to my questions and were
positive about having the school on Facebook. At the
Dairy Fest I surveyed 35 parents. I couldnt get on the first
bus over to the Festival grounds. I felt it was more
important for the children and their teachers to get there.
I missed 2 classes of parents. The results were as I
thought. 31 parents use Facebook. That group also
thought it would be a good way to gain information but
also that notes in the backpack needed to keep coming.
All parents liked the idea of Robo calls for snow days. Only
half of the group communicated by email with their childs
teacher. One family shared they are IT people and when
asked said I could ask them questions if I needed help.
Another parent suggested having mass texting abilities. A
teacher shared this with me as well. There is a way to
send out a mass text message without giving families your
personal cell phone number.
When all parents had arrived I began canvassing the
activities to find other parents I missed. I found a few

(who were included in the totals). When interacting with


parents, I directed myself in a professional manner. One
parent was concerned about teachers not checking all the
different pockets in the backpack for notes, diapers and
clothes. I shared with that parent that I will remind
teachers about checking all the different spots and joked
how some backpacks have so many different pockets.
I then helped set up a water station and get water
distributed to families.
To begin, I reviewed the policies that are in place:
confidentiality guidelines and social networking policy. I
also reviewed School Law 11:119 regarding disclosing
confidential information. I then googled school policies on
confidentiality to search for other ideas for sharing the
importance of confidentiality for our students. Most
discussed the need to keep records confidential. The big
need at our school is that for the summer many new hires
are college students. They are more likely to be on social
media and not think that writing about the cute child they
worked with and using names and the schools name. It
would be very easy for someone to figure out who it could
be. I will continue to prepare for the new hire meeting
with examples of things they could say and things that
need to keep kept silent.
I then began my research on getting a Facebook page. I
understand that many people are on Facebook. I just dont
see the attraction. As I made the page I was looking for
settings that would limit what could be posted to my page.
I made a personal page and a pretend school page. I did
find a setting that would disable posts by other people on
my page timeline but others could still comment on what
was stated. I dont think Chris Lewis wants a page where
information from others could be linked to the school.
I continued the examination of settings on Facebook.
There was a place to link to a website. That could be
helpful but our website needs to be updated and remain

permission slips and upcoming events.
I began researching handbooks on google to identify
different important topics that new hires would need to
know to complete their job efficiently. There are so many
things that could possibly be helpful. I will need to
categorize the ideas, survey staff for ideas they would like
to see and send a beginning list to Chris Lewis for review
of what she might like to see. I want it to be a useful easy
to use document. I want information easy to find. The
digital copy should have links to other parts of the
document so people wont need to scroll down 20 pages to
find what they need. I hope that is possible.
Prepared a powerpoint to discuss the definition of
confidentiality, how it affects us at school and outside of
school and sharing information stressing the importance of
not sharing on social media.
I presented the powerpoint presentation on confidentiality
at the new hire meeting today. I acted ethically and with
integrity. I introduced myself in the beginning but I forgot
to wish them well and welcome them to the school before I
left. Reviewing the presentation later in the day I thought
of some other points I should have mentionedgrandparents and when interacting with well meaning bus
aides you may want to be prepared with a statement like
We loved the (blocks) today. This would eliminate the
question from them how was your day today. The
statement could be about anyone and would not be
considered confidential information. I added these to my
notes for another time. I gave each new hire a token to
remind them about thinking before sharing information.
I googled questions to find out more about Facebook and
used the Facebook help center to find some answers.
I emailed Chris a link to a site about how a school could
use Facebook. In the first paragraph there was a
statement about how no matter how you use Facebook, it
cannot replace a robust website. Our website gets

simple updates (new teachers are added) but it is not


active with calendars and events. We discussed how our
psychologist designed the site and how I/we would need to
include him in revamping the site. That led to a discussion
about dealing with personnel issues. She shared that it is
the hardest part of her job. Thoughts I had regarding
personnel issues: give myself wait time-dont jump to an
answer either yes or no. Tell an employee that I would
need time to look through our policies and get back to
him/her and set up a date and time to meet to discuss the
issue. I thought it might be helpful to discuss this topic
with the other supervisors who have worked in other
school situations. This way I could hear some things that
have happened to them and think about how I might
handle the problem. I could share my ideas with the
director and supervisors. I am keeping a notebook of
questions to ask when I am working with each of the
supervisors.
Organized handbook ideas into categories and topics. I
plan to send it to Chris Lewis for approval before sending
out to staff for review. It is in the beginning stages where I 2 hours
expect feedback from staff regarding topics and
categories.
Sent handbook to staff after a brief meeting with Chris
Lewis. She had some categories and topics to add (nurses,
day care regulations (weekly checklists, dishwashing,
power strips), summer, rice table). Other staff spoke to
me in the hall to share their support for this task. One
staff member said the speech therapists tried doing
something like that in the past but as it was going to print
it was obsolete. I asked if their handbook was digital. She
said no. As I continue I need to be prepared for people
being supportive and not. I plan to have the handbook be
digital as well as hard copy. I want it to be about general
responsibilities people need to know rather than having

that forms become obsolete so quickly as the regulations

I attended a meeting with Chris Lewis regarding a Boy
Scout and his Eagle Scout project. A person in this position
needs to be aware of community needs. There have been
a few scouts who have completed Eagle Scout projects at
our school. It benefits our school but also the scout.
Chris and I also visited a local florist to buy flowers to add
to the landscape at the school. I observed another
situation where the director of our program needs to be
visible in the community. She frequents local businesses
and knows people by name. She is the voice for our
school in the community.
I attended to the Board of Directors Meeting. There were
discussions regarding school finances, enrollment for the
school and upcoming events. The Board is hosting the 4th
annual Night Under the Stars fundraiser. Chris needed to
bring up a subject that was sensitive. While asking for
donations in the past, sponsors were asked to sponsors 2
events, the Night Under the Stars and the 5K run in
August. Since the 2 events are close together money has
been split between both events. At a past board meeting
there was a discussion not to share funds with the other
event. Chris shared the different letters and asked for
consideration of the board to share funds earned for the
events. This was accepted by the board.
After the meeting I spoke with the Financial Officer, Tom
Kelchlin, regarding the website, Facebook and updating our
computer systems.
I worked with Chris and the 2 supervisors, Elaine Krezmien
and Terry Doermer, to set up the order for classes to enter
the church where we have graduation. We organized the
groups, taking into consideration which children could sit
in the pews and wait for their turn and who might not be
able to wait. We asked teachers for input about who
should walk with which student.

I met with Chris to review some questions and prepare for
the 5 week day-to-day administrative intern time.
I met with Elaine to review the timeline for a new referral
to our school. She shared her plan and how she organizes
things. I will be taking over a case from start to finish
(receiving the referral, reviewing the evaluations,
completing the observations, summary, social history and
presenting it to the committee). I hope to complete
another referral with Terry. They work with different
districts and have different styles.
I called the National Safety Council to gain information
about CPR and AED training for our school. I also looked at
the website www.qs2training.com and registered the
school for training. I left a message for them to call back.
Researched and called regarding school messenger. I
received information about how it works and the cost
involved. I shared this information with Chris Lewis. I
registered the school with www.schoolmessenger.com. I
will be receiving information about comparing notification
providers and using facebook from their site.
I attended a meeting regarding the summer orientation
packet and plans for sending families information about
their teachers for the summer. There needs to be a new
attendance form with arrival times for students.
I completed some calls to staff for Chris Lewis regarding
speech quality assurance and hazardous waste from the
nurses office.
I review a contract with Wyoming County that Chris will
need to sign. It is a 3 year contract for our school to
provide services to preschool students needing an
educational placement or related services.

Doermer, school supervisor. I discussed my thought with


Chris about the need for keeping the school looking fresh
as we surveyed the school grounds. First impressions are
important when families enter our school. They are
looking for a placement for their young child. If the school
was run down, dirty or not kept up that would certainly call
into question how the school might keep up with their
child. They may question the safety and security of their
child while s/he is at school. Chris strives to keep the
environment nurturing. We discussed an upcoming visit
from a local school to view one of the integrated classes.
She stressed the importance for a teacher to look up and
smile while there are visitors viewing a classroom. We
discussed adding that comment to the handbook. I shared
that information with the Head Start classroom teacher.
I spoke with Melanie Miller, the billing specialist, regarding
her work at the school. She manages all the accounting
information with regards to attendance for students in
class and receiving related services only (RSO). She needs
to compile information for 3 different counties that require
different information for each service for each child
receiving services in the school. She needs to also
organize information based upon the child being in Early
Intervention (birth to 3), the preschool (3 years to 5) and
school age children (5 years to 8). She needs to compile
monthly reports and billing and organizes funds for a
variety of categories.
I followed up with the nurses about the biomedical waste
and shared the information with the cleaners, who will be
disposing of the material at Springville Pediatrics.
I reviewed the summer packet adding pieces of it to the
handbook.
I met with Rhonda Hoppel, the evaluation and
transportation specialist. She has many jobs. In a small
school dealing with 3 counties and many different school

districts she needs to be aware of the many regulations for


the extensive evaluation process. She needs to be aware
of Early intervention guidelines as well as guidelines for
preschoolers and school-agers. She is responsible for
often being the first line of communication for parents
when they have concerns about their childs development.
She schedules the evaluations with our schools teachers
and therapists. Once a child is scheduled to receive
services at our school she sets up the transportation
service. Each of the 3 counties require different methods
for sharing the information to receive bus service. She
also handles our computer troubleshooting and works
closely with our contracted computer programmer. She
handles the ordering of office supplies and consumable
classroom materials. I will be completing an evaluation
tomorrow due to the regular evaluator not being available.
This will allow me to be involved in the evaluation process.
During this time, we found out that a student moved from
one school district back in March and will be moving again
before the Fall program starts. Rhonda needs to check into
the accuracy of the information and let all the different
parties know- Terry Doermer and school districts. Terry is

working on getting an accurate IEP to reflect his current
placement from his first district before she contacts the
next school district.
I also worked on the handbook. I am scheduled for a home
visit Monday, June 29 with a family joining the integrated
Head Start class.
Terry was searching for summer IEPs by calling school
districts. Elaine was out at meetings, which I could not
attend because I was not on the list when notifications
were sent out. Chris was out today.

the evaluation. I evaluated the child then briefly


conferenced with the parent. I also conferenced with the
speech therapist to compare notes regarding our
evaluations. The child participated in the educational and
speech evaluations today. I began the formal write up. I
will be following this child through the process of getting
all the evaluations completed (OT, PT, psychological)and
finalizing the reports to be sent to his district. Some of the
evaluations will take place at the end of July.
I followed up on the CPR training after playing phone tag
with the contact person at QS2 Training and Consulting.
They have a grant to provide CPR and first aid training at
no cost to daycare providers. Since our school is regulated
under Day care as well as State Education we can receive
these services. I conferenced with Chris Lewis about the
information I received and we are beginning to plan a staff
development day in October. Since the trainer could only
train 20-25 people at a time we are looking into providing
other training opportunities so all could participate in some
type of training on one day. This grant will continue next
year so our staff development might be set for the next
school year.
I continued to work on the handbook.
I attended an inservice about relating to staff in a variety
of situations.: hiring, handling sensitive situations, building
teams, interacting with people, understanding behavior
communication styles of myself and others to improve
interactions to get the job done, planning effective
meetings.
I worked on the evaluation and left a message for the
parent to review results.
I assisted with a tour of our facilities with Chris Lewis. I
learned some history about the school, how the school
came to be built on these grounds, how we acquired more
land, etc. I think there should be a brief overview in the
handbook regarding how this school came to be.

Childcare center. She wanted to discuss curriculum that
the Head Start classrooms use. She was looking for
information for benchmarking for children who attend her
center.

have an evaluation Thursday. I will look for the mother to
touch base then if I do not hear from her before then. OT
and psychological testing is happening at the end of July.
I attended a home visit for a student entering the Head
Start classroom. It is a good way to connect with families.
This child moved from his home district in March. They did
not change school districts. The family still receives mail
at their home district address. They will be moving again
in August so it was decided that we will wait for the
change in district until after their final move.
I assisted Elaine with 2 tours. One family was deciding if
they wanted their child to attend the Head Start integrated
class. The other family needed a self-contained class for
their child. Elaine explained the different classes and what
to expect. I liked the phrase she used to describe the
classes for children on the Autism Spectrum. She
described the children as having a severe functional
language delay. Neither family needed such a structured
program but that explains the type of focus for those
classes. Elaine and I discussed the child from the second
tour and agreed that placement in the class of 12 children

would be a better fit and provide the just right challenge


for her rather than a class of 10. The first family decided
that the Head Start class would be appropriate for their
child. The second family needed the father to visit to help
make the decision. Again the way the school looked, even 1 hour
as most classrooms were in disarray, played a major role in
how the families felt about the school.
Working with Terry, I discussed and helped finalize the new
progress note that the school will begin using starting with
the summer program. As a teacher through the school
year there were discussions about changing the progress
note format. Administration wanted all the goals on one
form for all involved with a child to report on. The
teachers changed the data recording sheets and now the
progress note reflects that change. I made a simple
direction sheet regarding adding extra grid lines for more
goals and objectives and how to move the text to a second
page. There are many teachers and therapists who have
difficulty with these aspects of word processing.
