INTRODUCTION
General Description
We propose to host an event that involves a Chili Cook-Off and Silent Auction
during the afternoon of the Heart of Virginia Festival with live music. Community
members can enter their chili into the contest for a fee of $20 per recipe. People
can purchase chili-sampling tickets: a set of six chili-sampling tickets will be $5
and drinks will be sold for $1.
Both events have the potential to profit White Bird Appaloosa Horse Rescue up
to $625. It will cost approximately $900 to implement. The Chili Cook-Off and
Silent Auction will provide a community focused, family oriented and enjoyable
afternoon for the central Virginia area. The event will be held at Midtown Square
in Farmville. It will provide the community with an opportunity to gain awareness
and knowledge about White Bird Appaloosa Horse Rescue during this fun,
charity event.
Objectives:
To increase awareness to the White Bird Horse Rescue Farm
To have 200 people attend the event
To have 15 people enter the Chili Cook-Off
To raise $625 from the entire event
Key Publics:
People within the five county radius (Appomattox, Charlotte, Buckingham,
Cumberland and Prince Edward) including but not limited to school systems,
churches and other community organizations or groups.
People attending of the Heart of Virginia Festival.
Horse enthusiasts.
Horse rescue supporters.

EXECUTIVE SUMMARY
This project plan focuses on the implementation of a Chili Cook-Off and Silent Auction
that will take place the afternoon of the Heart of Virginia Festival in Farmville,
Virginia. The target audience for this event will be mainly citizens of the central Virginia
area and the five major counties: Appomattox, Charlotte, Buckingham, Cumberland and
Prince Edward. Each mayor of the counties listed will be invited to serve as a judge for
the Chili Cook-Off portion of the event. White Bird Appaloosa Horse Rescue has the
chance to bring awareness about their non-profit organization to community members.
This event will occur from 12pm-2pm on Saturday, May 7th, 2016 at Midtown Square in
Farmville. Chili Cook-Off contestants pay an entry fee of $20 per chili
recipe. Advertising efforts to attract people interested in participating in the cook-off
portion will be focused on schools in the surrounding five counties, local churches, and
other organized, community groups. Contestants will have until April 30th, 2016 to turn
in their entry form and $20 fee. Attendees of the event can pay $5 for six chili-sampling
tickets. Additionally, drinks such as soda, lemonade, and water bottles will be sold for
$1.
Silent Auction monetary bid amounts will vary depending on the value and popularity of
the particular auction item. Guests will have the opportunity to enjoy live music
provided by a local solo artist, Reeve Stimpson. We believe that the final cost to put on
this entire event would be $875. In order to properly prepare for this event, planning
must begin six months in advance. This community and family friendly fundraiser event
has the ability to profit White Bird $625.
The Chili Cook-Off and Silent Auction were chosen as the proposed fundraiser events,
because we wanted an event that would unite the community of the five major
surrounding counties with White Bird. By hosting this event, we are allowing the
community members of the surrounding counties to become actively aware of White
Bird and their purpose as a non-profit organization with the intention to rescue horses.
By receiving donated items for the Silent Auction portion of this event, White Bird will be
brought to the attention of the local business sector. This event could serve as the
stepping-stone to future sponsorship partnerings between the local businesses and
White Bird.
The Chili Cook-Off combined with the Silent Auction presents a strong opportunity to
raise a substantial amount of money for this non-profit organization. To build
awareness on a personal level, the owners of White Bird will be at the event to interact
with community members as well as give the opening and closing speeches. There will
also be an information table filled with posters, brochures, and current volunteers to
educate event attendees about this non-profit organization and answer any questions. 4

White Bird does not possess a strong community presence, which has resulted in the
community members lacking knowledge. Through this event, we believe it will bring
awareness and education to the central Virginia area as well as donations.

STATEMENT OF PRINCIPLES
The Chili Cook-Off portion of this event has the strong potential to involve the central
Virginia community, because it is an appealing concept to the community. We wanted
an event that would get the Central VA community involved, especially the five major
counties around here that include: Appomattox, Charlotte, Buckingham, Cumberland
and Prince Edward. The most pressing issue that we found with White Bird Appaloosa
Horse Rescue is their lack of community presence. For the most part, the community is
unaware about White Bird Appaloosa Horse Rescue, what they do as a non-profit
organization, their mission, values, and goals. We chose the concept of a Chili CookOff combined with a Silent Auction, because we saw it as an opportunity to get the
community involved with a fun, family friendly charity event. This particular event would
benefit this specific non-profit organization with the strong potential to build awareness
and increase funds by the money raised. The Chili Cook-Off would be appealing to
students at the surrounding schools (Prince Edward County High School and Fuqua) in
the counties as well as families, or church groups that want to participate. Humans tend
to have a competitive nature and we believe that will be a key selling point for getting
people to participate and enter so that their homemade chili recipe has the chance to be
deemed as the best.
The Silent Auction portion was chosen, to incorporate local businesses in the event.
We wanted in-kind donations that would go towards items up for bid in the Silent
Auction. By getting businesses involved, this has the potential for them to be future
supporters or sponsors of our non-profit organization. Getting businesses to partake in
providing goods and/or services for the Silent Auction would be a step in the right
direction for White Bird in terms of support and awareness.
This event was not just chosen to raise awareness and support, but money as well.
Chili Cook-Off participants will pay an entry fee, Silent Auction winning bidders will have
to pay for those auction items, and the community will pay for tickets in order to sample
and enjoy the chili and drinks. We want our event to be a feature of The Heart of
Virginia Festival, which is held typically the first weekend of May. This particular local
festival is appealing because it is extremely well attended by community members from
all over the central Virginia area.

SITUATIONAL ANALYSIS
With our research we discovered that White Bird Appaloosa Horse Rescue has a small
niche of supporters. These key publics consisted of those who have adopted from
White Bird as well as their volunteers. They have not taken full advantage of reaching
out to members of the community, including businesses. Nor have they taken full
advantage of how the community could benefit them as a non-profit organization
focusing on horses. This could be due to a lack of efficient advertising efforts. They are
located in a rural and horse enthusiast filled area, which is definitely to their benefit.
White Bird has a website that is not necessarily user-friendly. They do have a Facebook
page where updates are posted; with the number of likes on their page are just over
1,600.
The Silent Auction portion was chosen, because we want businesses to be involved in
this event through in-kind donations that would go towards the Silent Auction. By getting
local businesses involved, this has the potential for them to be future supporters or
sponsors of our non-profit organization. Getting businesses to partake in providing
goods and/or services for the Silent Auction would be a step in the right direction for
White Bird Appaloosa Horse Rescue in terms of getting community support and
awareness.

RECOMMENDATIONS: CHILI COOK-OFF


Chili Cook Off General Description
This charity event will entail two attractions; one of them is a Chili Cook-Off. This
event overall is directed towards the achievement of increasing awareness and
donations of White Bird Appaloosa Horse Rescue. The event will provide the
community the opportunity to pay to sample homemade chili of community
members and experience live music from a local musician. Chili sampling
tickets begin at the price of $5 for 6 sampling tickets with all proceeds going
towards White Bird Appaloosa Horse Rescue. This event offers the Central VA
community an enjoyable time in a family-friendly, fun, and community filled
environment.
Objectives:
To increase awareness to the White Bird Horse Rescue farm by 10%
through this afternoon event.
To have 200 people attend event.
To have 15 people enter their chili into the cook-off.
To profit up to $625 from the entire event.

RECOMMENDATIONS SILENT AUCTION


Silent Auction General Description
The Silent Auction is the second part to this charity event. It will give Central VA
community members the opportunity to support a local non-profit organization
by having the chance to bid on items donated by local businesses. All proceeds
from payments made by bidders on items will go to the White Bird Appaloosa
Horse Rescue. Silent Auction proceeds will vary based on the top bidding price
per item. This Silent Auction portion of the event is an optimal chance for the
local businesses to learn more about a non-profit organization in the area and
show their support by donating goods or services to be featured in the Silent
Auction. It will help White Bird Appaloosa Horse Rescue gain the attention
needed throughout the community in the form of volunteers, in-kind or monetary
sponsorships and donations.

SCHEDULE
General Description
The schedule for this event is presented in a six (6) month timeline. This
includes both the Chili CookOff and the Silent Auction.
The beginning of Phase One is preparation starting in early December and
continuing until the end of January. Phase Two begins in February through the
end of March; Phase Three is the month of April and Phase Four is the day of
the event. Phase Five will be immediately after the event up until the week after
in order to make sure all equipment and supplies are returned and the
necessary Thank Yous are sent out.

BUDGET
General Description
The total budget for this event is $875. Through contacting various companies,
they have agreed to donate some of the major ticket items in order to defer
costs. On the next page is the detailed budget spreadsheet for both the Silent
Auction and Chili CookOff.

PROGRAM EVALUATION
In order to determine the success of the program, we offer the following
evaluation measurements based upon the previously outlined objectives
To increase awareness to the White Bird Horse Rescue farm by 10%.
o Measurement
Record the number of Facebook likes to the White Bird
Appaloosa Horse Rescue page the morning of the event
Percent will be measured by the number of likes that
their Facebook page increases after the event (at
least 10%)
o Measurement
Create and print a set number of brochures to have at the
information table at the event
Percent will be measured by the number of brochures
taken by the event attendees (at least 10%)
To have 200 people attend event.
o Measurement
A clicker will be used at the ticket table to count the number
of event attendees.
If at least 200 people attend the event, according to
the clicker, then this objective will have been reached.
To have 15 people (individuals, teams or groups) enter their chili into the
cook-off.
o Measurement
The effectiveness of this objective will be measured by the
number of entry forms turned in and entry fees paid by the
cook-off contestant deadline (April 30, 2016).
If 15 people (teams or groups) enter their chili into the
cook-off, then this objective will have been obtained.
To profit up to $625 from the entire event.
o Measurement
If at least $200 people buy a ticket ($5 each), then a portion
of this objective will have been met.
