II. PROJECT SYNOPSIS DETAILS:
TITLE OF THE PROJECT:
HOSPITAL MANAGEMENT SYSTEM OF CITY HOSPITAL, BERHAMPUR, GANJAM .

The City Hospital is a District Headquarter Hospital (DHH) of Ganjam


District, situated at Berhampur. This is a 150 bedded hospital comprising of
specialist

services

of

Surgery,

Medicine,

Paediatrics,

Gynaecology,

Orthopaedics, Pathology, Ophthalmology. Around 10 Lakh population depend


on this DHH Hospital and 700 numbers of out patients & 150 in-patients were
treated daily.
OBJECT OF THE PROJECT:

More than 30 doctors & 100 paramedics were providing service to


the patients;
There is system of monitoring the routine activities of patient
management;
Robust document based database system at the hospital to
maintain patient records and quick disposal of medico legal cases.
There is separate software of Integrated Health Management
System for online record keeping and indent & consumption of
drugs, instruments, equipments etc..
This Hospital is providing basic medical care to the patients of both
rural & urban areas. And there must be provision of fund for their
treatment, availability of drugs, essential medical instruments,
equipments etc.
Availability of all the Essential Drugs at Drug Distribution Centre.

The doctors must be prescribe the Hospital supply medicines to


minimise the out of pocket expenditure of the patients.

PROBLEM STATEMENT:

The duty distribution system of doctors & paramedics must be


aware to general public & concerned staffs.
Due to lack of Help Desk or Registration Counter near OPD it is
very difficult for patient registration.
Separate record section must be there with adequate staffs to
maintain all patient data.
For reports on medico legal cases there should be separate section
and the response time should be quick.
The person who is responsible for maintaining the hospital
database should be well acquainted with the Hospital Management
system.
The database of Hospital Management system should be proper
and authenticated for generate various reports for the Higher
Authority for making any decision & improvement of the Hospital.
There should be Hospital Programme Implementation Plan (PIP) for
generating and utilization of fund for the benefit of the patients.
Lack of infrastructure for functioning the Drug Distribution Counter
with essential drug list.
There must be audit of the prescription slips.
METHODOLOGY TO BE USED:

The senior Most Medical Officer & senior Matron is held responsible
for distribution of duty of Doctors & paramedics respectively. The
duty distribution chart must be displayed in the Notice Board of the
Hospital and distribution of individual copy to the concerned staffs.
The Help Desk & Registration counter near OPD will be helpful for
patient registration & information to patients for movement to
concerned departments.
There should be separate record section with availability of staff &
computer. The records must be kept in chronological order with

rack system so that the data could be easily traced at the time of
requirement.
For quick disposal of medico legal cases there must be engagement
of separate staff. Everyday medico legal cases are registered and
the reports are submitted to court of law for diposal.
The Hospital Manager and Addl. District Medical Officer (Medical)
must be acquainted with the database of Hospital Management
System for smooth management of Hospital.
The Hospital PIP is prepared by taking grants received, users fee
collections and last year closing balances etc. After preparation of
Hospital PIP for the current Year it is advisable for utilise the fund
for the benefit of the patients.
There must be completion of civil construction & deployment of
sufficient staffs for functioning of Drug Distribution Counter with
availability of all the essential drugs.
For prescription audit the auto carbonated papers must be
provided.
