Before attending the Convocation Ceremony, ensure (please ) that the following items are being taken into account.

To have duly paid the convocation fee via Bank Islam Malaysia Berhad (BIMB) with the following

Payment has to be duly paid up within one week before collection of the robe.
To ensure that your name is printed on the bank payment slip.
Please check to ensure the status of payment has been made 2 days after bank transaction via
the web site http//bursary.uitm.edu.my/convo/

(Please bring along the printed Convocation Bill Payment during the collection of your robe
as a proof.)
To ensure that all dues for tuition fee/ library penalty or traffic fine are paid. Transcript and
academic scroll will be issued after all dues have been made. Graduates who have not done so will
not be allowed to collect the academic robes.
Inform parents/guests of the formal attire to be worn during the Convocation Ceremony.
To bring along the Graduate Tracer Research verification slip during rehearsasl or during the
Convocation Ceremony.
Invitation card (for 2 : graduate’s parents/guests) is to be brought along during the Convocation
Ceremony and car sticker posted on car windscreen.
A FEW WORDS
I would like to take this opportunity to congratulate all graduates for having successfully completed their studies
in Universiti Teknologi MARA.
Convocation Ceremony is an investiture of priceless value. It is indeed very meaningful to the graduates. Hence,
cooperation from every graduate is necessary to ensure that this Convocation Ceremony is a great success. To
assist graduates in this ceremony of glory, honour and distinction, the Secretariat sees the need to prepare this
handbook as a guide for all graduates.
The objective of this book is to provide guidance to graduates on matters pertinent before, during and after the
Convocation Ceremony of Universiti Teknologi MARA. The book must be read and understood by every graduate
in order to avoid confusion and missing of important information. The information includes registration of
graduate, collection of scroll and academic transcript, non-issuance of scroll and academic transcript, graduate
and parents’ attire, collection of graduate photographs and IHE Graduate Tracer Research Form 2010.
The cooperation of the graduates in scrutinising and understanding the contents of this book will ensure the
smooth running and success of the Convocation Ceremony of UiTM.

Dear Graduates
1.1 You are required to gather in complete attire of the academic robe in the lobby of the Perpustakaan Tun Abduk
Razak 1 on the stipulated time. It is reminded that you are there on time for the gathering.
1.2 During the arrangement process, a call number will be announced. The call number is derived during the
registration for the robe, via web site or telephone the Secretariat office (page 16) 2 weeks before Convocation
Ceremony . During the queue, a NAME CARD will be distributed to you. PLEASE KEEP THE CARD AND
BRING IT ALONG WITH YOU TO THE STAGE.
1.3 During the ceremony, your name will be announced to receive the Master/ Bachelor Degrees and Diploma.
When your name is called, you are requested to move straight towards the SPB Tuanku Canselor/ Pro Canselor/
Naib Canselor, bow as a sign of respect, shake hands and receive the Master/ Bachelor Degrees or Diploma in
both hands and to express “Menjunjung Kasih Tuanku” to the Tuanku Canselor or “Terima Kasih” to the Pro
Canselor/ Naib Canselor.
If you are scheduled in the afternoon session, please ensure that you register and collect your name
card before performing the Dzhur prayer. Immediately after performing the solat, you are required
to queue according to the arrangement as of the registration. Those who do not return to the queue
15 minutes after Dzhur will not be allowed into the hall.
Information for parents and invitees, UiTM Shah Alam campus has Pusat Islam. You are requested to go to
Pusat Islam to perform solat or to use the facilities provided there. Other that that, UiTM provides the
following:
2.1 Muslimat Musolla at Bangunan Budisiswa (Hal Ehwal Pelajar) and next to Dewan Sri Budiman.
2.2 Muslimin Musolla is located at the Faculty of Office Management & Technology, Menara Sultan
Abdul Aziz Shah, near the Canterbury sports shop.
Note : Please bring along the Convocation payment bill duly paid via Bank Islam when collecting the robe.
3.4 Failure to return the graduate academic robe can result in the NON-ISSUANCE of the Degree or
Diploma to the graduate. Graduate will be asked to pay a penalty of EXTRA RENTAL & FINE
(please refer to 5.3)
Attention :
Fine for delayed return remains at RM 30.00. However, the calculation for additional rental charge will
increase by RM 2.00 for every delayed day until the robe is returned.
5.0 REHEARSAL
5.1 To ensure that the Convocation Ceremony runs smoothly, all graduates MUST attend the rehearsal.
The rehearsal schedule is attached.
6.1 You will be given an invitation card of two (2) guests in attendance for the Convocation Ceremony. It will
be given during the registration of robe collection. Guests who do not bring along the invitation card
are not allowed to enter to the hall.
6.2 A car sticker will also be given together with the invitation card. The sticker must be posted on the
windscreen of your car that is driven to the convocation ceremony. Only cars with the sticker is allowed
into the campus ground.
Guests (including children above 12) are required to adhere to the following dress code:
8.3 IMPORTANT
Emergency treatment services are provided to graduates and their guests. Doctors and University Medical staff are
on duty from 8 a.m. to 5.30 p.m. throughout the Convocation Ceremony. The University Health Medical centre is
located at the lower ground of the Golden Lounge near the Sri Budiman Hall. Please contact the secretariat on-duty
if you need such services. It is advisable that you take your meals before entering the Hall if you are suffering from
gastric.
If you have difficulty in queuing up during the procession, for example unable to walk or if you are pregnant, or if
you are still in confinement period after giving birth or even if you are on a wheel-chair, you may either report to the
Secretariat on duty at the HEP building, Sultan Abdul Aziz Tower lounge or at the entrance of the Sri Budiman Hall.
Those graduates or guests on wheel chairs, you are advised to be dropped right in front of the Sri Budiman Hall and
the chauffeur needs to park the car at the parking area provided at UiTM stadium. UiTM buses are transporting all
guests to and fro from the parking area to Sri Budiman Hall.
THE COMMITTEE / CONVOCATION SECRETARIAT RESERVE THE AUTHORITY NOT TO ALLOW GRADUATES TO
JOIN THE CONVOCATION PROCESSION, IF THEY DO NOT ADHERE TO THE UNIVERSITY DRESS CODE AND
APPEARANCE.

How to purchase?
Payment has to be made in cash at the Finance Unit Zone 2 and Zone 6 after the convocation session. The robes can be
collected at the Convocation & Student Record Administration, Level 3, Sultan Abdul Aziz Tower, UiTM Shah Alam.
13.1 Graduates who choose not to attend the Convocation Ceremony are required to get their scrolls and
transcripts IMMEDIATELY. The University will not be responsible for any damage or missing or other
related matters regarding the scrolls and academic transcripts if they are not claimed within 90 days
after the Convocation Ceremony.
13.2 Graduates can be represented by their respective representatives to take their scrolls and academic
scripts by writing a letter of authorization and enclosing a photocopy of their identity cards with their
respective representatives’ names and identity cards’ number in the letter of authorization including the
payment at Bank Islam.
13.3 Scrolls and academic transcripts can also be claimed in writing by enclosing a copy of the identity card
and convocation bill payment receipt with the recipient’s latest address. No postage fee is required.
However, the University will not be responsible for those missing/damaged scrolls and transcripts sent
through mails.
13.4 Graduates who are not attending the Convocation Ceremony, their scrolls and academic transcripts will
not be mailed to them unless otherwise they have written-in their application.
It is the UiTM Policy to award the original scroll to the graduate only once. There is no replacement if the document
is missing or damaged. Therefore, graduates are advised to secure it safely. Make their own copies if necessary.
If the scroll and academic transcript are missing or damaged, the University can only provide a letter of confirmation.
Once the scroll and academic script are collected, graduates are advised to check for errors found in them. If there
are errors in the scroll and academic transcript, they have to make a written report within four (4) weeks after the
date of their convocation.
Each graduate is only eligible to get a free copy of the original transcript. This copy will be given to them during the
Convocation Ceremony. Other copies can be obtained within a week after the application is made by mail or
through transcript application form which is available from the web http://konvokesyen.uitm.edu.my. Payment for
each copy is as follows: (inclusive of postage fee):
16.2 If a student wishes UiTM to mail their transcripts to the University they are attending, the cost will include the
following additional charges :
Payment can be made by cash at Finance Unit Zone 6 and Zone 16 Bursary Office, UiTM Shah Alam or by using
bank draft/postal order/crossed money order to UiTM BURSARY.
17.1 Bachelor Degree (Honours) Class for the programmes which are not listed under 18.2 and 18.8 matters are
as follows:
Graduates are not allowed to take any photos or ask other parties to do so during the convocation ceremony in the
hall. All photos during the convocation ceremony will be handled by a photographer who is employed by UiTM.

19.0 PHOTOGRAPHY SESSIONS FOR UNIVERSITY BEST ACHIEVERS, VICE CHANCELLOR ACHIEVERS AND
FIRST CLASS ACHIEVERS
The photography session will take place in front of the Royal Room with the Royal Chancellor / Pro Chancellor/Vice
Chancellor immediately after the Convocation Ceremony session.
The award recipients are advised to bring along their own cameras.
The Bank Islam Convocation bills are no longer be printed by the Zone Bursary Office. Therefore, graduates
are required to :

rates are:
All Higher Learning Institutions (IPT), including MARA University of Technology, are instructed by the Ministry of
Higher Education to carry out a study on the tracking of graduates. This study is to measure the level of
employability and marketability as well as to gather information for the purpose of evaluating the quality of
programmes offered and the service provided by every Public Institution of Higher Learning (IPTA).
All graduates MUST provide and complete the information required for the study on The Tracking of IPTA
Graduates through the website http://graduat.mohe.gov.my which will be available about a month from the date of
the Convocation Ceremony. Graduates are required to bring the printed certified slip of the study which has been
completed earlier upon registeration for the lease of the graduation robe.
* Note : To those graduates of Affiliated Colleges, you are also required to fill in the form online. Please choose
INSTITUTION – IPTA and UiTM AFFILIATED COLLEGES.
22.0 REFRESHMENTS
Refreshments will be served after each session and will take place at the foyer of Sultan Abdul Aziz Shah Tower, in
front of the UiTM Post Office. All graduates and guests are invited.
The University (UiTM) does not provide accommodation for graduates and/or their guests.
Below are the list of hotels around Shah Alam for the purpose of accommodation reservation :-
However, UiTM does not restrict you from making reservation at any hotels other than the ones mentioned above.

During the Convocation Ceremony, almost all of the above mentioned staff will not be available in their offices as
they are involved directly with the Convocation Ceremony. Hence, all questions can be forwarded using the Hot-line
