VAULT PM GUIDE

Note: Only qualified technicians should remove any covers, dismantle locks or remove any time locks.
This procedure is a basic overview of vault door inspections which should be preformed on a yearly basis.
This inspection will identify any potential failures and assure correct vault door operation. It is
important to follow safety precautions to avoid finger pinching and scrapes and other related injuries.

THESE PROCEDURES SHOULD BE FOLLOWED WITH THE VAULT DOOR IN


THE OPEN POSITION AT ALL TIMES. CARE AND ATTENTION TO DETAIL
SHOULD BE TAKEN TO AVOID ANY LOCKOUT SITUATION.

Please comment on the Vault PM Checklist on each condition found during each
step.

1) Identify Type of Vault door Manufacturer and Model number with Serial number. (s/n on Top)
2) Interview customer on any issues they are having with the Vault door. Opening issues, Time clock
3) Visually Inspect Fascia (front and back) of Vault Door for any Rust, Loose or Missing Screws or
General Wear.
4) Check Vault Door for Smooth Operation. Verify that there is no Excessive Running of Door (door
closes on own or open on own) or Grinding, Squeaking or Binding of Door.
5) Check Vault Door Stop for Tightness. Tighten as needed.
6) Check for Proper Operation of Vault Door Fan.
7) Check Day Gate for Smooth Operation and Closing. Check For Assembly Tightness and Test Key in
Lock, Lubricate with dry silicone only.

8) Inspect Alarm Door Components for Damage and Operation. Verify Testing was recently done and
passed.

NOTE: Some Vaults doors are set-up with an upper Electronic Lock and a lower Mechanical
Combination lock. Any one of these Locks should Open the Bolt on the Door after the Correct
Combination is dialed. If both locks are required to Open the Bolt then make comment on Check List.

9) Check Combination Locks Dials for free Operation. Make sure Dial Rings/Covers are Tight and Dial
is not loose.

10) Verify Combination Locks open a Half Number above and below the Set Combination. Leave
originally set Combo Locks in Stop or Open Position. This does not apply to Electronic Locks.

11) Replace Batteries on Electronic locks. Mark Batteries with Date. S&G Electronic Locks Covers Pinch
Off on left and right side with two fingers to Access the two 9VDC Batteries behind the Keyboard.
Label the Date on each Battery. The Batteries can both be Removed and Replaced without any
Memory loss. Test Lock .

Note: Use Only New Off the Shelf Duracell or Energizer Alkaline Batteries.

12) Test Electronic Locks for Proper Operation. Listen or Observe Lock Bolt for Smooth Operation.

NOTE: S&G Electronic Locks Automatically Close (Switch Sensing) when the Bolt is thrown closed.
This requires the Combination to be re-punched in again to open Lock.

14) Verify Operation of Key lock or Bolt Latch on Handle (if present), Test for smooth Operation.

15) If Vault door has a Key Locking Fascia: Open and visually inspect all Alarm Wiring, Lock Assemblies
and Bolt Work Components. Use only Lubriplate Grease on Bolt work if required. Test Operation
and visually inspect Running operation. Close and Lock Fascia.

WARNING: REMOVAL AND HANLDING OF TIMELOCKS SHOULD ONLY BE DONE BY


A QUALIFIED TECHNICIAN. REMOVAL OF A TIME LOCK COULD RESULT IN LOSS OF
PARTS OR DAMAGE RESULTING IN A POSSIBLE LOCKOUT CONDITION.

“KEEP DOOR OPEN DURING ALL TIMELOCK TESTS”- Make Sure time will count down before
closing.

16) Request that customer Demonstrate and Test Operation of Mechanical Time Locks by Winding ONE
HOUR to each Time lock Assembly with the door open and the bolt in the Closed Position. Visually
look at each Time Lock Movement and Verify it is Running. Listen to Time locks and Verify an “In-
Beat” condition (beating consistently with no interruptions). Test the Door Handle after all time
locks have been set(combo locks in open position) and Verify that Bolt does not Open.

Do not leave site with vault in this “time clock test mode”. You must return after 1 hour and make
sure the door opens. Resettable time clocks can be tested and returned without waiting.

NOTE: Some Reset able Times Locks required at least FOUR to Eight HOURS be wound on each Time
lock Movement before the Time Clock Assembly Lock Button can be Engaged and the Door Bolt Tested.
These Reset able Time Locks can be Wound back down to Zero after the Test is Completed.

17) Inspect Wind Key for Extreme Wear. Replace if Needed. Two should on site.

18) After Testing of Mechanical Time Locks is complete, “Push the Release Button”, Verify that
Door Bolt Opens Freely.

Note: Normally the Brass Filings at the bottom of the Time Lock Case are due to the Winding Key
being inserted, do not try to blow these brass filings out as they can get into the Time Lock
Assemblies Causing Damage.

Please not that only qualified and trained Personnel should remove and attempt to
perform maintenance on a time clock . These Time clocks required special baths and
lubrication of the jewel's to assure proper operation. Those personnel who do not
follow these procedures could cause a lockout condition on the Vault or Safe.

PM Procedure schedule's for time clocks can be done 1 each year, The one clock is removed when three
or more are present. The dates should be kept, or dots can be used to indicate which time clock was
given an inspection.

The assembly is then tested with the two clocks to make sure the time clock assembly still is working
correctly if time clock is being sent out for Maintenance. If the time clock is being maintenanced on
site, it also must be tested when put back into the time clock Assembly.

Note: Some Time Lock Cases require that a “Set” button be pressed down to Engage the Time Lock
Movement Assembly. Follow Customer’s normal set “without closing the door”. This Procedure
does not apply to Electronic Time Locks.

19) Electronic Time Locks should have there Batteries Replaced Annually. Before Removal of the
Battery care should be taken to write down the Program Setting’s for Day and Time. Each Electronic
Time Lock Requires Reprogramming after the Battery is Removed.

NOTE: There is “No Test” required on Electronic Time Locks. They either work or don’t. The Program
open times need to be double checked and Reviewed by the Customer.

20) The Exterior Surface of the Vault Door is Stainless Steel and Requires Special Cleaning. With a soft
Clean Cotton Cloth, apply a small amount of “Bank Glow” or Vault Door Oil to the surface rubbing in
with the Grain at all times. This can be put on quickly on each Section of the Vault Door by following
the grain of the door stainless steel and then will Require a going over again with another Clean
Cloth removing any excess and streaks.

NOTE: Scotch brite pads should never be used in Cleaning the Exterior of the Vault door. These pads
can cause the Surface area to be Scratched. Only in Extreme Case should these pads be used and then
only the soft brown color type. Care should be taken to not Scratch the Surface of the Vault Door by
following the grain of the door stainless steel.
Security issues related to the Vault Door Operation are important to consider. Keys should not be left in
the Vault Door. The Bolt handle should be Locked or Latched in the Open Position after Opening in the
Morning. Please discuss with Customer the aspects of Security related to there Vault Door.
