Meeting Minutes
Mr. Godley made a motion, seconded by Mr. Petri to approve the May 12,
2010, Meeting Minutes. The motion was unanimously approved.
The Committee reviewed the draft Request for Proposal (RFP) for
Architectural Services. Several comments were incorporated into the
document. (attached) Mr. Tiffany made a motion, seconded by Mr. Petri,
that the Committee approve the amended Request For Proposal For
Architectural Services contingent on the approval of the First Selectman and
the Project attorney. The motion was unanimously approved.

REQUEST FOR PROPOSAL
RENOVATION AND EXPANSION OF THE LYME TOWN HALL AND
LIBRARY TO INCLUDE CREATING THE CONCEPT OF A TOWN CENTER

A. Overview
The Town of Lyme (Town) and the Town Campus Center Planning Committee
(Committee) are soliciting proposals from design or other qualified firms for
professional services for the proposed renovation and expansion of the Lyme
Town Hall and Lyme Library including creating the concept of a Town Center
at the site.
This project will include, but not be limited to, the following:
1. Review the Program Requirements and Critical Needs List.
2. Develop schematic design documents.
3. Prepare project cost estimates.
4. Support communication efforts to community members.
The Committee will accept proposals from all interested firms. After
evaluation of all proposals, the Committee will develop a short list of firms
that will be interviewed and further evaluated as provided herein.
The Committee reserves the right to reject any or all proposals submitted.
The Committee reserves the right to waive any informality or defect in any or
all proposals if such action is in the best interests of The Town. The selection
of the successful firm will be based on several factors including, but not
limited to, qualifications, track record, experience and price. To that end, the
Committee reserves the right to award this contract to a firm other than the
lowest bidder if, in its sole discretion, it is in the Town’s best interests to do
so.

Please note that the personnel proposed by the firm shall be the
personnel used for the project. Substitution of personnel shall not
be allowed without the written consent of The Town, which it may
grant or deny in its sole discretion. Substitutions will be allowed if a
member of the proposed project team ceases to be employed by the
firm. This will be a contract requirement.

E. Form of Agreement
The successful firm will be required to execute a modified version of the AIA
B141-1997 Standard Form of Agreement between Owner and Architect with
Standard Form Architect's Services. The successful contractor shall be
required to execute a modified version of the AIA A101-1997 Standard Form
of Agreement between Owner and Contractor and a modified version of the
AIA A201-1997 General Conditions.
F. Site Visits
A site visit for all interested firms shall be held on July 8, 2010, at 4:00 P.M.
All parties are to meet at the Lyme Town Hall. Please confirm your
attendance via an e-mail to selctman@townlyme.gov. Although attendance
at the site visit is strongly encouraged, it is not required.

Town Hall. The Board of Selectmen, Town of Lyme, reserves the right to
