10.9.9 Feature Pack 2 Online Services


1. Ref #106799 Public Membership Workflow The public membership workflow enables a CMS user to insert Legend agreement and price types into content for a browser of the website to select and enter directly into the online sign up workflow. The agreements and price types are brought into the website via server side macros (SSM). Once a particular agreement has been entered into content the details will be taken from the Legend Control Panel Agreements and shown in the website browser, as shown below in Fig 1.1

Fig 1.1 If a website user finds a suitable agreement they would like to purchase they can select Buy Membership which will send the member directly into the Legend 5 step online sign up process with the agreement details already filled in. The member can then complete the process as normal. If a user of the website has already registered for the site and logged but not purchased an agreement the agreement will be added directly to the basket, then payment is taken as normal. If a member does have an agreement and is currently logged in, the text on the button will change to a popup contact form for the member to enquire about upgrading their current agreement.

Please note that the implementation of this functionality requires additional design configuration. 2. Ref #106799 Additional email checks in online signup During the online sign up process a member is asked to enter their email address as part of their profile, if the email address entered is recognised as being already registered a new popup will show instructing the member that the email address is already taken along with options on what to do next, such as login. The content generated in the popup is controlled via the Legend CMS, the default text is shown below in Fig 2.1.

Fig 2.1 3. Ref #106798 Casual member home club When signing up to a Casual membership the profile will now ask the potential member to select the home club instead of assigning it automatically. 4. Ref #106801 Timetable day links The timetable day links now show the full list of days instead of including the final day in the Next X Days option. For example instead of showing; Today Tomorrow Monday Next 4 Days The links will now show as; Today Tomorrow Monday Tuesday Next 4 Days The final day will have previously been included in the Next 4 days option but now stands alone as well as being included in the Next 4 Days option. 5. Ref #107106 Member Services emails in CMS The emails that members receive when using the Legend Online member services are now available to override in the Legend CMS. To create an override member services email, navigate to the Email templates option in the CMS, once inside click the add Member services email button, as shown below in Fig 5.1. Once the button is clicked the available service emails will be shown, each email can then be added as needed. Once added the preview and edit buttons become available. The email copy will then open in the new CMS editor, for more information on the new editor please see below. The copy can be edited and altered as required using the usual tools. There are also a particular set of mail Fig 5.1 merge fields per email, for example the Password Reset email has the First Name, Website URL and Password reset link mail merge fields available. These can be placed anywhere through the email. Once the changes have been made to the email it can be previewed and saved. This email will now be used at the saved location instead of the default copy. The default copy will still be used at other locations and can be used again if needed.

6. Ref #107614 Online date picker The date pickers throughout the Legend Online solution have been amended to only allow valid dates. The date of birth date pickers now only allow dates in the past, if a user attempts to enter an invalid date an error will show to explain that the date selected is invalid. The date picker for the start of agreements has also been amended to not allow agreement start dates in the past, a similar error will show if an invalid date is entered. Any invalid days will also be greyed out on the picker. 7. Ref #108479 Cancellation distribution list A new configuration item has been added to the CMS that allows a list of email addresses to receive all booking cancellation emails, this highlights when a member has cancelled a class booking online. The distribution list is informed via email which will allow a member of staff fill this space from either a waiting list or another member. The distribution list can be found by navigating to the Edit Copy option in the CMS, under the Web Config options is an item named webconfigEmailCancellationList adding this configuration to the desired location enables the functionality. To add emails to the list edit the webconfig and insert emails by separating each email address with a semi colon. For example; Email1@test.com;Email2@test.com;Email3@test.com Once the addresses have been entered and saved they will receive a copy of the email that a member receives when cancelling a class. 8. Ref #106923 Email home club details When a member books an activity at their home club, from a different website location, the email now shows the correct home club details if available. This replaces the club taken from the website location. 9. Ref #106790 New CMS editor

A completely new CMS content editor has been created to enhance usability and functionality, as shown in Fig 9.1. This new editor brings a host of new features including live content view live macro view new text editing tools advanced styling techniques greater control of content. Legend Applications
1. Ref #104728 FOH banking Additional checks have been included in the Legend FOH banking application. A new check has been included to set tender types to bankable, once a tender type has been set FOH will ask for an additional slip number when saving into a bag. An additional setting has been included to check the length and validity of the slip numbers entered against a bag. The first setting to enable the functionality can be found in Control Panel > Global Settings > POS tab, as shown in Fig 1.1.

Fig 1.1 The slip number regular expression takes the value entered and makes sure the slip number entered is validated against it. The example slip number regular expression in Fig 1.1 means the slip number must 6 characters. Once the Bankable items option is ticked there are two tender types that are bankable by default, in Cash and Cheque. To edit a tender type and set it to bankable navigate to Control Panel > Data > Inventory/Pos > Configure Tenders. Once opening a tender type there is a new tick box that states the tender type is Non-Bankable, to make the select tender bankable un-tick the box as shown in Fig 1.2. When saving a small bag that contains this tender type, FOH will ask for an additional slip number that needs to be validated against the Slip Number Regular Expression shown in Fig 1.1. If the Bankable Items require slip numbers tick box, also shown in Fig 1.2 Fig 1.1 is un-ticked FOH will ignore the bankable tender types and act as normal. The screen shot shown in Fig 1.3 below shows the FOH application asking for a slip number upon saving a small bag that contains a bankable tender type.

Fig 1.3 2. Ref #107909 Amendments to Contracted Agreements. The contract agreement functionality has been amended to separate the contract rules and the actual terms and conditions; this allows all price types to have terms and conditions applied to them without the contractual rules applying to the agreement. To enable enforceable contracts and terms and conditions against a member navigate to the required agreement price in the Control Panel, Agreement > Agreement Price > Terms. A new tick box has been added to the form, named Enforceable Contract, as shown in Fig 2.1.

Fig 2.1 Once the tick box is selected the agreement price becomes an enforced terms and conditions agreement, any cancellation fees will be charged to the member upon cancelling within the contract. The terms can be assigned on a per agreement price level. If an agreement price only needs terms and agreements assigned the drop down box enables the selection of an available set of conditions and just leave the enforceable contract box un-ticked. This means that any cancellation fees will not apply when a member cancels, the terms will still show in the wizards and online.

3. Ref #107863 Unique BACS reference numbers There has been an amendment to the creation of BACS reference numbers when creating a member account. Once enabled the BACS reference numbers will be prefixed if they have been used before, for example if a member has a BACS reference number of 123456 and a user creates a new account for them in Membership Management the new BACS reference number will be A/123456. A new configuration item has been included in the Control Panel found under Global Settings > Payments Tab, as shown in Fig 3.1 below.

Fig 3.1 Once enabled and a new account is created either within the Wizards or MM the application will request a unique BACS reference number. The returned reference will comprise of a version character plus delimiter and member number, for example A/REF123. When a new account is created and the user changes the system generated reference an event will be logged against the member called SYSREFEDIT holding the details of what it was changed to and from. 4. Ref #108204 Address fields mandatory The configuration of the applications and wizards has been altered in the Control Panel to allow for greater control on setting mandatory fields. Fig 4.1 below shows the new layout of the configuration item.

Fig 4.1 The first settings are for Quick Member Enrolment, show on the left hand side of Fig 4.1. The quick member enrolment settings are split into MQA and FOH, the MQA settings apply through all the applications bar FOH. The second part of this change is the Address Mandatory Fields, shown on the right hand side of 4.1. The address settings can be changed for Home, Business and Other using the

drop down field. Each tick box makes that part of the address forms mandatory, for example during the new member wizard a user will be required to enter a value for each field in the address form in the example above. If a value is missed the application will show an error and explain which value needs to be entered. 5. Ref #107885 Barcode receipt printing FOH has been amended to print access barcodes on receipts for the inventory items that use the Barcode Access functionality. There is a new configuration setting in Control Panel > Global Settings > Additional (2) > Integrate Barcode in Receipt, as shown in Fig 5.1 below.

Fig 5.1 Once the tick box is checked the FOH application will now send the barcode to the receipt printer. For the receipt to print the barcode the latest version of custom client will be needed which includes additional fields for the barcode code. The new fields for the receipt printer are BarcodeEndCode and BarcodeCode as shown in Fig 5.2 below.

Fig 5.2 The default codes to enter into Custom Client for the standard receipt printers are; Barcode End Code: 0 Barcode Code: 29, 107 ,4 Note 1: Please see the release notes 10.9.9, under the core applications section, number 8 Ref #99024 for the Barcode access functionality. This needs to be enabled for the receipts to print access barcodes.

Note 2: This functionality needs the latest version of Custom Client to print the barcode. Please contact you Legend account manager or Legend Support to assist with access to the latest version. The functionality may also be hardware dependant and requires the manufacture barcode codes for the receipt to output the eligible barcode. 6. Ref #107334 GL Codes and payments The first stage of this functionality involved the efficiency of the payments application and streamlining the process to allow for a smoother quicker direct debit run. The application will run and operate as normal. The GL account setup can be altered to use a hierarchical structure to allow for GL codes to be applied at different levels, which is set to off by default. If set off, the functionality will be unchanged and the club level GL account setting will always be used. If turned on, the settings in control panel will be used (for DD payments). Control panel currently only allows setting down to an agreement level. If no specific setting is found, the club level GL account will be used as before. To set a new GL code to an alternative level navigate to Control Panel > Data > General Ledger, as shown in Fig 6.1.

Fig 6.1 Opening the Direct Debit Payment will allow the General Ledger Account assigned to it to be changed as desired. To create a new version at a different level, navigate to the correct level using the hierarchical tree structure on the left hand side and select Add. In the process type select Direct Debit Payment and then complete the rest of the form as shown to the left in Fig 6.2. Any alternative GL codes added will now be picked up during the payments run. To enable this functionality navigate to the Control Panel > Global Settings > Payments Tab > Agreement GL Code Override tick box. Fig 6.2

Legend Reporting
1. Ref #99471 Extended Course Report A new extended course report can be found in Bookings > Course Reports > Course Detail. The report details all members enrolled on the courses, including a large member breakdown and large course breakdown. The report can be filtered to output details between course start and end dates. 2. Ref #99468 Activity Member Detail Amendments The report can be found in Bookings > Activity Member Details. The reports column names have been altered as follows; Birthday to DOB and Created to Joined. The columns charge and mobile number are now also formatted correctly. 3. Ref #102261 Bolt on Report amendments There have been two additional columns added to the Bolt-on report. The two new columns are named Termination date and Item Number. The columns show the relative additional details about a members bolt-on service. The report can be found in Member Billing/Payment > Bolt-on Services Report. 4. Ref #104031 BACS report includes run number filter The BACS report found in Financial Reports > BACS Breakdown now allows the output to be filtered by run number. 5. Ref #104730 Low Usage report A new report has been created to show low usage for members, the report can be found in Analysis > Low Usage Report. The report can be filtered to show the maximum number of member swipes within varied dates. The report outputs member details, their last visit date and the number of visits within the filtered date range. 6. Ref #104731 Discounted agreements report A new report has been created which shows members cycle fess that differ from the default value found against the agreement price in the control panel. The report can be found at Memberships > Member List Report > Member Status > Discounted Members. The report filters are like any other member report and output member details, original price, amount of discount and the price after discount. 7. Ref #104994 DD agreement report A new Direct Debit agreement report has been created to give a breakdown per club, to show a total breakdown of DD collections values, broken down by price type. The report can be found in Member Billing/Payment > DD Agreement Report. The filters on the report also allows for a run number to be used. The report outputs the club, agreement and price type and the DD value. 8. Ref #102712 Filter alterations to Patronage Reports The patronage reports found in Patronage > Patronage KPI Summary Report and Patronage Summary Report have been altered to fix outstanding issue with the date filters. The dates now only accept exact date ranges.
