Position Profile: Reporting to the Students Union General Manager and Students Union President, the Administrative Officer will be responsible for administration of the Students Unions extended health and dental benefit plan, management of Students Union clubs and societies, and administrative tasks as required by the Students Union executive and General Manager. This position is in a developmental stage and has considerable room for growth in the organization. Currently, the Administrative Officer is a part-time position for approximately half of the academic year and full-time during August-October and January, the months with the most activity surrounding the health and dental benefit plan. During the part-time months, the Administrative Officer is encouraged to take on innovative initiatives in order to bolster the responsibilities of their portfolio.

Duties: Administration of extended health and dental benefit plan o Communication of plan information to students o Use of online system to process reimbursements as students opt out (training will be provided) o Disbursement of reimbursement cheques to students o Sending claims to insurance administrators as required by students o Regular communication with PBAS Administrators, administrators of the Campus Trust

General information and front-line service for students Travel may be required to attend Campus Trust Board of Trustees meetings and will be funded by the Students Union Management of student clubs and societies o Requisitioning and reporting on club accounts held in trust by the Students Union o Dedicated liaison between clubs and societies and the Students Union o Logistical assistance with club and society events, campaigns, and projects o Printing, faxing, and general clerical work as required by club and society executives o General information and front-line service for student clubs and societies Information and reception services including telephone, email and in-person inquiries regarding the general office of the Students Union Administrative support duties such as directing phone calls and visitors; scheduling appointments; coordination of special events; word processing; selling tickets; receipting of all incoming revenue, such as from club and societies funds, advertising, housing directory listings, ticket sales, and any Students Union accounts receivables; collecting and distributing mail; photocopying; faxing; filing; etc Distribution of various materials such as forms, cheques, yearbooks, etc. Assisting the Office Manager and General Manager with day-to-day administrative duties of the office, which may include secretarial and financial duties, office equipment, and supply orders Other duties as assigned by the executive committee

Qualifications: Strong organizational skills Self-motivated, ability to work independently Proficiency with and ability to learn new computer applications and software Knowledge of financial and computing systems Experience in customer service Excellent communication skills Professional demeanour Ability to focus in spite of many different duties and frequent interruptions Ability to work collaboratively with a variety of stakeholders

Asset Qualifications: Familiarity with student government organizations and their operational structure(s) Familiarity with group insurance plans Familiarity with student clubs, societies, and groups Fluency in French
