Learning & Development Process


Objective & Scope:

The objective of this process is facilitate employee / supervisor/Managers in highlighting training requirements of their area of operations, and the importance of learning & development program benefiting the employee & companys needs. This would also help HR / Learning and Organization Development Function in identifying training requirements (TNA).

There are two types of training process: 1. Training Requirement Analysis.

Description:
Brief description of the process is as under:

An employee will fill in training requirement form (self development). This form will be marked to concern GM/DCOO/Director through proper channel. It would highlight training / learning requirement of individual and comments of Manager. If concerned DCOO/Director / Group Head approves, it would be routed to Director Learning & Development. Based on this input Director Learning & Development will finalize annual / quarterly plan in SAP Training & Development Module.

2. Registration for Training.

Description:
Brief description of the process is as under:

An employee will fill in training registration form which is already scheduled for development. This form will be marked to concern supervisor. It would highlight training / learning requirement of individual and comments of Manager.

New Hiring Requisition (internal / external)

Objective: Objective of this process is to facilitate our customers in hiring against open positions. All hiring request (fresh / re-hiring), for both internal and external recruitment will be raised by using this facility. The advantage is that both HR Function and its customers can track down latest status of their requests. Description:
Brief description of the process is as under:

Functional heads (Managers, DGM, GM and Director) will assess existing headcount based on new / existing business requirements. They will identify and finalize new headcount requirements in coordination with HR Business Partners Functional heads will login to HR Portal and fill in New Hiring Requisition Form. They will ensure that this form is properly filled and explains all required fields. A service call ID will be automatically emailed to the originator for future tracking. Functional heads will enter concerned Group Head / approving authority and relevant HR Business Partner e-mail ID in the form Upon saving this form, an email will be generated (exchange server) to concerned Group Head / approving authority Concerned Group Head / approving authority will login to HR Portal by clicking on email link and after reviewing descriptions; he / she may approve or reject this request.

After approval from Group Head / approving authority, an email will be sent to HR Business Partner for onward processing

New Joining Processes E-Mail/Domain Registration

Objective & Scope: The objective of this process is to facilitate fresh inductees by registering them for email address and domain registration. This would also help IT Group for ensuring timely provision of IT facilities. Description: Brief description of the process is as under:

HR resourcing team (a dedicated user ID) will fill in this form only for new joiners. This request will automatically send to IT for onward approval & solution. Once query resolved by IT team, they will update status and system will generate an email for HR resourcing team (dedicated user ID) explaining resolution. IT team will send a sealed envelope for user ID/password to HR team. This will be then handed over to new joiner by HR resourcing guys.

Report: an authorize person from HR would be able to track open/resolved status

ID card Processing

Objective & Scope: The objective of this process is to facilitate fresh inductees by registering them for ID Cards. This would also help Security function for ensuring timely provision of ID Card / facilities. Description:
Brief description of the process is as under:

HR resourcing team (a dedicated user ID) will fill in this form only for new joiners. This request will automatically send to security (GM Security Operations, M Aamir) for printing of new joiner ID Cards. Resourcing team will also handover photographs to security in person. Once query resolved by security, they will update status and system will generate an email for HR resourcing team (dedicated user ID) explaining resolution.

Security team will send printed ID Cards to HR team. This will be then handed over to new joiner by HR resourcing guys. Report: an authorize person from HR would be able to track open/resolved status

Confirmation of Service

Objective & Scope: The objective of this process is to facilitate fresh inductees by registering them for email address and domain registration and inform the employee about his/her confirmation status after contractual/probationary period is over. Description:
Brief description of the process is as under:

HR Business Partners team will fill in this form (form enclosed) only for those whose probation will be completing in the month). HR team will route this request to concerned directors for evaluation and recommendations. Concerned directors will fill in this form and it should automatically come back to originator. Based on recommendations, HR team will issue confirmation /extension/termination letters. HR team will update resolution status and an auto generated mail would reach inbox of approving authorities.
