Administrative Assistant External Relations


(Term, Full-time to April 12, 2013 )

Duties:
The Administrative Assistant supports the work of the Office of External Relations, which includes public relations, fundraising, alumni relations, and government relations. The position also serves a critical role in connecting the work of the Office to others within UNBC and offcampus. While the Administrative Assistant reports to the Vice-President External Relations, day-to-day supervision is provided by the Managers of Development and Media Relations and Communications. Specific areas of responsibility include: Scheduling and organizing meeting/travel arrangements; preparing invitations, agendas and minutes; booking facilities; and coordinating schedules with executive offices, volunteers, and others Implementing and coordinating office procedures related to monitoring and tracking budget expenditures, preparing/processing and tracking purchase and cheque requisitions, invoice processing, and preparing and distributing donor cheque deposit forms Coordinating the delivery of correspondence, donation receipts, and promotional materials Responding to routine enquiries; distributing information and filing donor/office correspondence; liaising with donors and prospective donors, media, senior volunteer advisors, UNBC staff and senior administration, faculty, and community stakeholders Assisting with and attending External Relations events and fund raising activities Updating information about key constituencies (donors, media, alumni, government officials, and other University supporters) in Banner Maintaining the central paper-based filing system of donors and other constituencies Initiating and monitoring donation processing consistent with university policy and audit controls Processing and coding VISA and MasterCard donations using Moneris Indirectly supervising short term contract support staff as required Performing other related duties as assigned

Qualifications:
The successful candidate will possess a two-year certificate in office or business administration, together with a minimum three years of related work experience, preferably in an academic environment. An equivalent combination of education and experience will be considered. You are proficient in the use of database, web page editing, browsers, and word processing and spreadsheet software (i.e. Access, Word, and Excel). A working knowledge of Banner (Advancement, Finance, Portal, FAST) or similar relational databases would be considered a definite asset. You have an excellent customer service focus; exceptional interpersonal, organizational and communication skills; the ability to work independently and demonstrate initiative. Ability to function in a multi-tasking environment and interact in a highly professional/confidential manner with senior staff, board members, volunteers, donors and others is essential. Knowledge of the University and its mission/purpose, combined with an understanding of how the University relates to external constituencies, is an asset.
Normal hours of work will be 8:30 am 4:30 pm Monday to Friday.

Salary:
This position has been classified at a Grade 5. The annual salary range for this position is $40,749.11 $42,009.39, and the normal starting salary will be $40,749.11.
