REIMBURSEMENT POLICIES

A. All participants transportation expenses shall be reimbursed upon presentation of official receipts (i.e. terminal fee stubs and boarding passes for participants who travelled by air and official receipts of taxi fares, bus tickets). We shall not reimburse meals in transit and other expenses other than transportation costs. B. We will deal only with one participant from every delegation/region to prearrange the reimbursement with the finance department of CDPI to avoid confusion and miscommunication. The reimbursement forms have to be checked by the delegate assigned by the regional chair to avoid confusion. We shall not entertain individual reimbursements. Should there be concerns, kindly inform the CDPI secretariat. Thank you.

VENUE
The Seminar on Financial Governance in Social Movements will be held at the Venetto Function Room, 4th floor Best Western Plus Antel Hotel located at the Makati Avenue, Makati City. Please see attached map. D.

TICKET RESERVATIONS
ALL DELEGATES (officers and members of the CDP) who are invited into the following mentioned activities are requested to book their own round trip tickets provided that: 1. They are the official delegates from the region; 2. They will book their individual/group round trip tickets (originManila and back to origin) at their own expense; 3. That the last day of booking of tickets is on 18 October 2012, Thursday. Tickets purchased beyond the dates will not be reimbursed. The purchased tickets shall be sent to april.delacruz@cdpi.asia as proof of confirmation and attendance; 4. All delegates tickets shall be booked on 20 October 2012 (Arrival) and 21 October 2012 (departure) to any airlines with economy flights only. CDPI will not reimburse business class tickets. Delegates who wish to arrive earlier and/or would prefer to stay longer in the prescribed official dates of activities will be allowed however, meals, accommodations and fares outside of the dates and official activities should be subjected at their own expense; 5. That CDPI will reimburse the transportation expenses incurred in purchasing the round trip tickets, taxi fares and terminal fees upon presentation of original receipts only. Strictly no official receipts, no reimbursement policy shall be imposed.

will not be held liable for any lost baggage/luggage or any other belongings deposited or left in the hotel. Official check-in time is at 2:00 PM. For early arriving participants on 20 October 2012, we will try to arrange early check-in depending on the availability of rooms in the hotel but there is no assurance for your early check-in. All participants are expected to check-out at 12:00 NN on 21 October 2012, Sunday. There will be four participants in a room. Please take note that the rooms we reserve are quadruple sharing which includes one double-size bed and two single beds. CDPI observes a standard operating procedure in the room list. Participants are assigned accordingly to their respective room assignments (i.e. male male; female female). Any items consumed in the mini-bar or incidentals (such as use of outside calls for telephones; internet, etc.) shall be charged to the personal account of the participants. Participants from outside Metro Manila who prefer not to stay in the hotel must inform the organizers immediately. Unattended room without prior notice to the organizer will be charged to the personal account of the participants.

FOOD ACCOMMODATIONS AND MEAL POLICY


CDPI will cover the following set of meals: Date 10/20/12 Meal Venue Lunch and PM snacks. Dinner will be handled by the Venetto participants individually provided that CDPI will cover Function the costs through a meal policy. Room 10/21/12 Breakfast at Barcelona Restaurant, AM Snacks and Venetto lunch at Venetto Function Room. The PM Snacks and Function dinner will not be covered by CDPI anymore. Room 10/22/12 *Applies to participants with special flight schedules. Robelle Only complimentary breakfast from the hotel will be Mansion Hotel covered by CDPI. A. Only participants billeted in the hotel are entitled to the complimentary breakfast for the entire duration of the seminar. Incurred meals outside of the mentioned meals will not be covered by the organizer. B. Breakfast is at 6:00 8:00 AM only to all in-house participants which will th be served in the Barcelona Restaurant at the 4 floor of the Serenity Tower of the Hotel. The rest of the meals for the entire duration of the training will be served in the function room.

HOTEL ACCOMMODATIONS
A. All participants coming from outside of Metro Manila (80 KM radius away from the venue) will be given free overnight stay at the Best Western Plus Antel Hotel, Antel Tower. Guests who have special flight schedule (i.e. depending on the availability of flights to-from Manila) will be given an additional stay in Robelle Mansion Hotel located in 877 JP Rizal St. Makati City. B. Guests who prefer to stay longer in Metro Manila before or after the dates of the activity can arrange their own flight schedule by themselves. However, accommodations outside the schedule of the training will not be shouldered by CDPI. C. Participants arriving before the check-in time may leave their belongings at the concierge and proceed to the function room for registration. Organizer
