Recognition Project Creating a project plan

There are many formats for setting up a project proposal and a course of action plan. These formats might be dictated by the fund that you are applying for, your NSO / MO, or national standards. We are proposing the following topics to be addressed in your plan; Sponsor Result definition Conditions Phases of the project Span of control; quality, time, money, organization and information Activity plans Per topic we are suggesting some questions that can help you to set the goals of this project and choose the right approach. 1. Sponsor 1.1 1.2 Who are you initiating this project for? (your NSO / MO, your federation?) Who are the stakeholders in this project? (important to identify the people and parts of your organization that are important for the success of the project. But this can certainly be external partners as well. Think of governmental and non-governmental organizations active in this field?

2. Result definition 2.1 Why are you initiating this project? (what needs within your organisation are you addressing?) What do you hope to achieve through this project? (what do you want to achieve, what specific goals, for instance of you NSO / MO, are you addressing?) What do you wish to create? / What will it look, sound, or be like? / How will it work, specifically? Whatever the project your initiating is, you already have an idea of what it is. Let these questions guide you to fill in as many details as possible. You may discover things that were missing in your initial impulse. You may start getting new ideas already. If you can give an example of how it would work when completed, that's great. Go into the future and that will propel you forward. What other similar goals would excite you? / What goals do friends and advisers suggest? / What other creative projects could you pursue instead of this one? Often people settle goals that are easier or obvious for them. Sometimes they don't realize their own potential. If you don't challenge your own limitations, you will never grow. This action broadens your horizons. Asking others who have an objective opinion of you will help you see all of your realistic options. Let them help you to get started.

Of all the options, which goal gets you most excited? / Which goal do you feel most confident about? / What, then, is the goal you now commit to? Now that you have gathered all your information, it's time to make a decision. Balancing what you desire to create with what is in your reach will point you towards a specific goal.

3. Conditions 3.1 Who are the people that will be directly involved in working on this project? What skills do the people, that will be involved in this project, need? Who will lead this team of people? Without the right people to work on this project, it is likely that you will not be able to achieve the goals set. When you don't have enough people or you are lacking a certain skill you can either alter your goals or you know what to look for. 3.2 How will you find the people necessary to make this project a success? Linked to the question above, and helpful when you are responsible for your own recruitment. 3.3 What resources do you need to create this project? How will you obtain these resources?

4. Phases of the project 4.1 What are the different steps that need to be taken, that lead to the end result? Identify the steps that are critical for the success of this project. Make a link between the different phases and the topics of the span of control. How will you evaluate this project? What does the YiA fund demand when it comes to evaluation? How will you disseminate the results of this project?

5. Span of control; quality, time, money, organization and information 5.1 When should this project be finished? What are the important moments during this project? Both within the projectteam, your NSO / MO and in this project there are certain steps that need to be finished within a certain timeframe. Identifing this timeframe helps you to plan your activities and set achievable goals. Make you sure you take into account the dates set for the meetings between the projectteams and the project managers. What parts of this goal do you control? What parts of this goal do you only influence? What will you do to influence the results best? What things should you devote the most time and energy to? When any of the goals are set by others, you need to be aware of the implications of this fact.

What is the budget for this project How are you going to supervise the spendings of your project? What specific recruitments are determined by the Youth in Action fund? How will we involve all who are involved in this project? How will we keep our sponsor (the NSO / MO / the federation) informed? How will you keep the project team and other NSO's / MO's involved in this recognition project involved? Do you wish to advertise the outcomes of this project in the national media and or within the authorities in the field of recognition within your country?
