Assignment 3 Report on your team experience in the project Presented to

THE PROJECT DETAILS


The project assigned to us was to analyze the management systems of two organizations - a small one and a large one. The basic purpose of the project was to see whether or not the management functions i.e. Planning, Organizing, Leading and controlling are applied in all types and sizes of organizations. This project was very helpful as we got to know what is actually happening in the real business world and how different it is from what is taught in the books. This project was also helpful in the sense that by visiting the organizations and analyzing their management systems, we got to learn a lot. For this project, the two organizations that we chose were Packages and Pacific. Both of these organizations belong to almost the same industry. Packages Limited was established in 1956 as a joint venture between the Ali Group of Pakistan and Akerlund & Rausing of Sweden to convert paper and paperboard into packaging for the consumer industry. Pacific distributors were established in 2001. Initially they have 6 workers which have increased with time and currently they have 36 workers. They run the distribution agency as merchant wholesale distributors; they buy products from the manufacturer, and then move them from their warehouses to companies that either want to resell the products to end users or use them in their own operations.

WORK GROUP PERFORMNACE AND SATISFACTION


As mentioned earlier our group composed of 5 individuals.

External Conditions Imposed on the Group:


One of the external conditions that were imposed on the group was the completion of the project as soon as possible as bonus marks were to be rewarded to them. Within the group, we didnt have strict rules and regulation as there was no deadline as to when should we complete our project and submit it. So, all the group members were very relaxed. Another external condition imposed to us that the time decided to go out for a group for organization must be on some holiday.

Group member resources:

A group is composed of individuals, and every individual is different from one another. The abilities and resources that each individual in the group brings to the group are very important as they to a large extent determine the performance of the group. A group is never complete without its member, so the role of each and every member is of great significance. All my group members were very able and good at studies. They had the basic knowledge of management. As far as the interpersonal skills are involved, no conflict arose within the group members during the entire project. However the communication within the group was a bit weak. Everyone had positive personality traits. There was no authoritarianism or dominance involved. Everyone was responsible and independent. So, it effected in our performance in a positive way as there was no conflict in the group and also everyone did ones work with all the hard work, they could put into it. Overall, the group performance, productivity and morale were very high.

Group Structure
The internal structure that defines that defines member behavior and performance is basically composed of group structure. Basically it consists of norms, roles, conformity, group size and group cohesiveness. Roles:

In a group, every member has some roles. Similarly, in our group, Ramsha Hassan was the group leader. She was mostly responsible for the delegation of tasks to us. She was mainly performing

the task accomplishment role. However, all the group members motivated and helped each other in the completion of the report and told one another if something was written wrong in the report. Conformity:

There was a certain level of conformity in the group. However, if someone was sure that he/she was right, no pressure was put onto them to conform to the rest of the group. Group Size:

Our group was small one i.e. it had just five members. So it was very easy to manage the group. Another factor that helped us was that everyone was willing to work. Everyone was responsible and knew that they dont only have to complete the project but also give their best to it. Norms:

Every group has certain norms. Everyone in the group was expected to give their best. However, if something was not up to mark, or if someone interpreted the information we collected from the two organizations in a wrong way, help was provided to them. Moreover, everyone was expected to visit the organizations. Group Cohesiveness:

As I mentioned earlier, everyone in the group was very responsible and cooperative. So we had a high cohesiveness in the group. Whenever, there was some group meeting everyone was more than happy to come. Any everyone was determined to work diligently and reach our group goal of making our report in such a way that the reader completely knows about the management systems of the organizations after reading the report.

Group Processes
Group Decision Making:

In our group, all the decisions were made with mutual consensus. Everyone was asked if they had any problem with the organizations we had selected or if they had some other options in their minds. Also the division of the report work was done with mutual consensus. Everyone was asked if they were ok if the part assigned to them, or if they want to do something else. This helped our group in the way that everyone was happy that their opinion was asked and no conflicts arose later.

Conflict Management:

Definitely when you are working a group you do have many conflicts because it is not the decision of individual person, all the things has to be set according to the group choice so conflicts automatically arises, but we came over all those conflicts before arising them and do solve all of our problems by discussing with each other. More over the relationship conflict also arises in such types of projects, but we do not have any such problem like that. We collaborate and accommodate with each other so that in order to avoid such conflicts.

Discussing Team Members:


We group as a whole worked with such a patience and mutual understanding so that one must not have any issue with the other. We try to avoid problems that occur in the groups due to mainly division of work. So we handle that part efficiently.

Mydah Hussain

The task given to Mydah was to handle the both companies SWOT analysis deeply. What are the things require for pacific and packages both to sustain in the market or what strategies do they follow in order to work efficiently. Ahsan Nasar

Ahsan was supposed to handle the structure, hierarchies, and enter and gather the data in order that we have collected during our interviews with the organizations management team. Syeda Ramsha Hassan

Ramsha handle the report regarding Packages, she collected the detailed work on it and moreover she further applies the functions of management to the organization. As Packages is the bigger organization so it was a bit difficult task. Anum Iqbal

Anum was dealing the Pacific industry, she did all the functions and she did compare both of the companies regarding their functions. Saad Bin Nazir

My part to edit, compile and print the report, so that the mistakes that have been done by the members unintentionally, I was there to solve them. More over I participate with every member so if someone is facing problem, we both try to solve it.

Performance and Satisfaction


The team common goal was to do the assignment before the time and to do individuals part with full intention and devotion. The work that is divided among the group is divided on the skills and work that a participant has, like if someone is good with controlling part i.e. to handle the entire task, to arrange the data and sort it, or if someone wants to work with the leading part he is assigned to do so. Moreover in our group each individual has visit the organizations that we have chosen in order to see the regarding management functions and departments in that organization, to compare contrast the functions that both organizations have and to completely understand the organization goals, how they differ from each other. After visiting the respective organizations, each member in the group was easy to understand the regarding departments functions, their goals and mission. Then after visiting we divide the work according to our own choice that who wants to do what. Then after taking the responsibility on the tasks that we have chosen, everyone starts working on that. The timeline was decided among groups that how the work will be done before the time, so by the mutual agreement, everyone fixed that date. Moreover we were also helping and co coordinating with each other through this time period in order to solve each other problem that they were facing because of the project. So if someone needs help regarding the things they did not understand or the things they were not clear about the project, a group was leader was mainly over there to solve such issues. I must say thanks to Ramsha who was our group leader; let us find out many solutions for the problems that we were not clear off. So the work handle in the group was efficient and effective also, we have the respective resources, we utilize them completely to do our task.
