AN INTRODUCTION TO FEE MANAGEMENT SYSTEM This project is being made under JLJ software development / export house, a division

of JLJ financial & management consultant Pvt. LTD. This software development house is engaged in developing customized softwares using latest technologies. Before a candidate wants admission, he/she must register by filling an enquiry form and then a counseling session is organized based on which he is offered a suitable level. After acquiring knowledge about the various courses, the candidate needs to buy the prospectus of the institute and is required to fill the application form. After that a test is taken based on which further process of admission is commenced. When a candidate clears the test, an interview of the candidate is conducted. If the interviewee clears the interview then his registration is done, he is enrolled & is given an enrollment number. After the candidate gets enrolled as a student, he is required to pay the fees as applicable for the specified

level. Here comes the requirement of FEE MANAGEMENT SYSTEM. In this system, when a candidate is enrolled in the institute he is required to pay the fees for the course he has taken admission in. The fee payment of a student depends on his course & the fee plan he has chosen. The various types of fee a student has to pay are as follows: 1. Course fee 2. Registration fee 3. Library subscription fee 4. Library security fee 5. Internal examination fee JLJ ACADEMY OF COMPUTER TECHNOLOGY offers various DOEACC courses that include: 1. O level FULL TIME (Foundation) 2. O level PART TIME 3. A level FULL TIME (Advanced diploma) 4. A level PART TIME 2 YR 5. A level PART TIME 3 YR 6. B level FULL TIME (Equivalent to MCA) 7. B level PART TIME 8. B level EXTENDED 9. C level PART TIME (Equivalent to M.TECH) 10. CCC (Course on Computer Concepts). There are different fee plans for different levels. The fee plan depends on the level selected/offered to the

candidate. The candidate is informed about the total amount of fees to be paid. After that the candidate is given DOEACC registration no.

PRESENT SYSTEM I. STATEMENT ABOUT THE PROBLEM An automated system where all details would be stored & updated from time to time can help in locating required information & delivering it as & when required. Moreover, any leftovers, dues can also be generated quickly. This would be made possible by keeping all the units of the proposed system integrated. o LIMITATIONS 1. The staff members in doing the entries for the fee payment in registers by hand spend a lot of time. The whole process is inefficient. Although they take assistance of calculator, but there are probable chances of missing a number or committing a mistake.

2. Any enquiry regarding a student is very slow as the process is done manually and it involves a lot of paper work. 3. Sometimes a small error in doing entries for the fee or in filling the roll no. may go untraced & later accounts for major problematic conditions. 4. The distribution of seats & students in each level is normally not uniform. 5. It needs a lot of care to handle the huge number of files and it needs a lot of storage space. 6. It takes a lot of time to generate reports that to have a question of 100% accuracy in one time. 7. There is no security of the data as any one can view files. 8. The presentation of the data is not optimal 9. More manpower is needed to handle the system in case of manual system, which can be avoided with help of the candidate system. So, to overcome all these limitations an automated system is being proposed.

]PROPOSED SYSTEM I. OBJECTIVE The objective of the system is to root out some problems such as maintenance of student records manually which a hectic task is for any individual, also the checking or enrollment numbers also a same kind of problem. A lot of paper work is saved so there is both in terms and money. To automate all major process of fee collection in an institute for an effective & smooth functioning of the institution. To automate following processes: Fee slips generation & collection of fees from students II. SCOPE OF THE PROPOSED SYSTEM

Each year, a very large number of students get registered for DOEACC society courses all over India through various accredited institutes. JLJ ACT is one such premier institute and requires a registration management system.

The system being proposed is an automated system where all the conditions are in compatibility to the real situations, which happen in performing the operations at the institute. The project automates the workings of the institutes operations considering all the courses from O level to B level. The module performs tasks related to fee payment & management like registration fee, course fee, library fee etc. It generates & delivers reports of all students. The project will be useful for registration of results for JLJ ACT. The system will also provide statistical and trend analysis through a variety of reports. The user will have to be authorized through

a username and a password to access the opening screen. The opening screen of the project will have the options Registration, Course, Reports. The user can select any one of these options and perform operations such as addition of a student for registration. The data entered will be updated by the s/w on selection of UPDATE button. These processes will be authorized personal only.
