A Administer the Internet web site

Web sites of regional platforms PAEPARD are available to the following URLs: PROPAC ROPPA EAFF FNARPAN/SACAU COLEACP http://paepard.org/consortia02 http://paepard.org/consortia03 http://paepard.org/consortia01 http://paepard.org/consortia05 http://paepard.org/consortia04

The internet website has been designed so that each group member can modify in a very simple way the web pages. At this stage of the project, no limit has been set, each member can access all pages of the site. If our needs change during the project, it will be easy to add access control to web pages.

Web pages designed for the PAEPARD project are cut into two parts:

1 How to modify an existing web page?

To edit a Web page you must:

1) to put the mouse cursor above

2) to double click anywhere on the area of the page content

You get the following screen :

Regional_Platform_user_guide.doc

Page 3 on 49

Project PAEPARD
Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

The content of the Web page is presented in a text editor that works in the same way as Word. You'll be able to add or edit text or format.

2 Add or modify text in a web page

You can type text directly into the editor, but you can also copy / paste text from another document or directly type HTML commands, they will be interpreted.

To shape the content of a web page you can either use the Web page editor commands, or directly enter tags in the text. See how, for example, to format a title from the editor commands.

Regional_Platform_user_guide.doc

Page 4 on 49

Project PAEPARD
Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

You must first select the text to be formatted with the mouse

You must then choose the editor command corresponding to the formatting type title. The editor follows the rules of HTML, it proposes 5 different sizes of title. For example, click on the T3 level symbolized by En-tte gros (Big title).

Regional_Platform_user_guide.doc

Page 5 on 49

Project PAEPARD
Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

Tags are automatically added to the text. To see the effect, simply click the "Save" at the bottom of the editor.

The text was selected now appears as a title of level 3.

Regional_Platform_user_guide.doc

Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

All editor commands follow the same principle.

You do not have to go through the commands editor to format the text. You can directly insert your own tags in the text that you enter. The table below is a summary of the tags you can use

Create a title Jump next line Put the text in bold Put the text in italic Faire un trait de sparation Create an array

======Largest size====== ==Smallest size== Newline **text in bold** //text in italic// ---[| | cell1 | cell 2 | |cell3 | cell 4 | |] - first bullet - embeded list : first bullet - embeded list : second bullet - Main list second bullet (a space, hyphen, space and text, a newline before each point ) 1) first point 2) second point (space, a number, a closing parenthesis, a space and text, a newline before each point)

Create a bulleted list

Create a numbered list

3 Display a picture in a web page

In Editing mode, click the "Attach / Insert File" in the toolbar at the top of the page (before placing your cursor where you want to display your image).

4 Give access to a file from a web page

This is to show how it is possible to allow the download of a file from a web page. If you want to allow an user to read online a document on a web page, then it must refer to chapter 7 - How to make a document available online on the site?

The following screen appears, it confirms the file upload on the website.

5 How to create a new page on the web site ?

To create a new page in the site, you must first attach it to a menu item. The first action is to access the management menu. To do this, simply double-click in the menu area

The following screen then will be displayed

Regional_Platform_user_guide.doc

Page 12 on 49

Create a new item in the main menu

A menu item can have the following forms :
- [[ <physical name of the Web page> <name of the item in the menu>]] For instance : - [[ConceptsObjectifs Concepts and Objectives]]

The first part is the name given to the Web page : ConceptsObjectifs Warning! the name of a Web page is one word and still contains two non-consecutive case. The second part is the name of the item that will appear in the menu for this page: Concepts and Objectives In this case, if the user clicks the menu title (here "Concepts and Objectives") instead of clicking on items in the submenu, then a Web page will be opened

- <libell dans le menu> For example: - the project

In this case, if the user clicks the menu title (by "Project") instead of clicking on items in the submenu, then nothing will happen. The user must click on one of the menu items to open a Web page

- ""<a href="lien" target="_blank">Libell</a>"" For example: - ""<a href="http://paepard.blogspot.com" target="_blank">News</a>""

In this case, if the user clicks the menu title (in this "News") then s a new window will open the link in the menu (here "http://paepard.blogspot.com")

Create a new submenu in the main menu

The submenus are created very simply. Just shift of at least a space the lines that follow the main menu item. For example, here is the complete text of the creation of the main menu of the site - [[PagePrincipale Accueil]] - Le Projet - [[ConceptsObjectifs Concepts et Objectifs]] - [[OrganisationProjet Organisation du projet]] - [[ReSultats Premiers rsultats]] - [[MembresProjet Membres du projet]]

In the previous screen, the blue arrows represent the main menu items. The red arrows represent the elements of sub-menus. They are shifted one space to the right relative to the main menu item. It is thus possible to stack as many submenus as desired by shifting of one space the lines of the following menu items.

Access the new page created

A new page is created by writing a word that contains at least two non-consecutive case LikeThis. When you save the changes of the menu page, the name of the page appears with a question mark ?LikeThis

Clicking on the question mark, a new blank page appears. You can insert text and save: the new page is created !

6 How to display a RSS feed on the web site ?

RSS feeds are produced by most news websites. These updates are in a particular format (RSS) and known by the RSS readers. The website of the regional platform contains a RSS reader. This function automatically displays on the platform news from other websites. These updates are being daily without any action being required on the platform.

Step 1: Identify the RSS feed

RSS feeds can be identified by one or more of the following symbols:

Or displayed into the webpage header or noticed by the text RSS or RSS feed

The following screenshot shows how to spot on the home page of a site the information relating to products RSS feed for this site.

7 - How to make a document available online on the web site?

Make a document available online on the website avoids the user having to download, which can be an advantage in environments where the network is not efficient. There are several solutions. One presented here is to transform the document into a PDF file. If it is a Word document, simply use the menu "Save As" file format "PDF" and the conversion is done alone. We then use the services of the website http://fr.scribd.com/ that can store and view online PDF files Step 1: Create an account on Scribd (just the first time)

Step 2: Submit a PDF

Step 4: Integrate reading the PDF file in the platform To integrate a Web service offered by websites, we must find the computer code that allows its integration into the host site. To do so, we must seek an option often called the "Intgrer" or "Embeded." This option will take you on a computer code that must be copied in its entirety.

This code must be pasted into the web page of the platform where you want the service appears. This computer code must first be framed by two double quotes: "" code copied / pasted

PDF becomes available online on the website of the platform, as if there was hosted.

B Administer Intranet area

Intranet site is reserved for members of the regional group. This is where they are going to build, share and exchange useful User-Led-Process preparatory documents in the region.

Access to Intranet space is from the homepage of the website. Simply click on the "Intranet" at the top right of the web page.

As the access to this space is reserved only for those that the regional group has designated an account and a password is required when connecting. These settings will be communicated by email by members of the group you want to participate.

The intranet provides two main functions: The instantaneous sharing of documents The discussion on specific topics

1 The instantaneous sharing of documents

The chosen concept is that all active participants in the working group should be given at any time of the same documents in the same versions directly from their workstation. No need to connect to the Internet or no need to access on the website platform. As soon as a group member creates a document or change one, the other group members can immediately access it locally without having no action to take. DropBox is the software that is used to meet these needs.

Step 1: Install DropBox The first step is to install this software on your computer. To do this you have two options: Either do it yourself by going to the website www.dropbox.com. You visit the site you select "Create Account" and follow the instructions. Either make installation automatically after receiving an invitation email (easiest). When a member will invite you to share the Dropbox directories, you will receive an email containing a link to access the shared space and install the DropBox software on your computer.

Step 2: Use the instantaneous sharing of documents When the DropBox software has been installed on your computer, a small blue icon appears in the bottom right of your screen

Regional_Platform_user_guide.doc

Page 36 on 49

Project PAEPARD
Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

If you received an email, from an group member of inviting you to share files and you accept this invitation, then the software Dropbox has already created a copy of directories and files on your computer that are currently shared. To access these directories, you must click on the icon DropBox and when the menu appears, select "Open Dropbox folder".

Directories to which you have access are displayed now. In our example, this is the area of PROPAC we are interested.

Spaces of document shared by the groups are divided according to the same steps of User-Led-Process. For example, the subdirectory "Desk Review" contains papers that are shared at the time of completion of the Desk Review.

Regional_Platform_user_guide.doc

Page 39 on 49

Project PAEPARD
Workpackage 3 : information and communication system
Platform for African European Partnership in Agricultural Research for Development Phase II

For the moment, two documents are shared. To share a document with other members of the group, you just need to put the document in one of these folders. Therefore, this document will be sent automatically in the same directory on each of the computers of all group members registered. Within seconds following the move of the document in the Dropbox directory, all members, connected to the network can access the document. If they are not connected to the Internet, then during their next connection the synchronization of their DropBox folder will happen automatically. Similarly when members put a new document in the file DropBox, you will be informed that this document has happened in your own folder with a short message which will appear above the DropBox icon. The process of exchange and file sharing is easy but you must be aware of certain rules in the workspace DropBox: If you delete a file or a directory, then it is deleted for all members of the group If you change the name of a directory, it is changed for all group members If you add a directory, all group members can access The free version that you use limit the size storage to 1.4 GOctects. So do not use it as a repository but as swap There is no guarantee of safety or durability from DropBox, the space is used the time of the project, avoid to store very sensitive documents

Step 4: invite someone to join the working group and document sharing space

Each group member can invite other people to come and share the documents. To do this, he must go to the local space DropBox and right click on the folder that you want to share with the person. You must choose "DropBox" and "Share this folder" menus.

You get a web form which invites the person.

Step 5: Check the shared documents even if you do not have access to a personal computer It is possible to see all the shared documents from the intranet platform. On the home page of the intranet, click on the green button "SHARED DOCUMENTS".

You must then click the "See Documents" at the bottom of the page.

Shared folders are displayed and you can browse, view their files and download them. You can even upload a file from the intranet platform. By cons, for reasons of consistency and security, this file may be put at the root of the shared folder. It is a member of the group who can from his computer in a move subdirectories.

2 Discussions

During the design of the platform, users have desired to have a tool that would allow them to initiate discussions on the events of User-Led-Process, keep track of the discussion and especially not to pollute their email-boxes with additional emails. The solution is the use of a private discussion forum on the intranet. This forum contains as many entries as there are steps in the User-Led-Process. In inputs, each registrant has the right to start a new discussion (validation of a document, a workshop, a provider of choice ...). Once open discussion, each member may speak and respond to various exchanges that take place in the discussion. A search engine allows you to find discussions from a search. The content of this forum is only readable by people who have access to the intranet, it can not be indexed by search engines like Google.

It is possible to access the space of discussions from the home page of the intranet.

It is first necessary to open an account in order to participate in the Forum. This operation is to be the first time, then it will just need to log in with their account and password.

Once registration is completed, your name appears in the bottom left of the screen. You can then choose User-stage LED-Process which relates the discussion you want to start.

The discussion contains a title ("Validating the latest version of the Desk Review in the example") and gives a message on the nature and purpose of the discussion. Once the discussion is enabled, it appears in the forum and is open to all registrants.

It is then possible to follow the entire thread of discussion.
