Chester, Vice President for Information Technology (VPIT) 1. Announcements for Faculty and Staff Meetings Annual TechQual+ Survey of IT Now Underway. The VPIT is currently administering its annual survey regarding the effectiveness of IT services across the University of Georgia. A total of 9696 randomly selected students, faculty, and staff were notified by email and invited to complete the survey. Data collected through this survey serve as inputs into the EITS annual process of continuous improvement, with the goal of improving technology services across UGA. Throughout February, the Office of Information Security received several notices of multiple phishing emails sent to many UGA recipients that appear as legitimate University emails but are actually criminal scams. Phishing emails try to trick individuals into providing private information, such as passwords or credit card numbers, by appearing as legitimate communications. Students, faculty, and staff should know that EITS will never ask for this type of information by email. Receipt of these types of emails should be reported to abuse@uga.edu by email. EITS is sponsoring a Universitywide professional development seminar entitled People Skills: Creating Breakthrough Communication and Collaboration Across Individuals, Teams, and Organizations to be held on March 12th and 13th, 2013 at the Training and Development Center. This seminar is a foundational development program that helps build productive organizations by increasing awareness of our preferred style of behavior, or behavior style, which is perceived by others and impacts them in a positive or negative way. The seminar is directed at IT professionals and those who work closely with IT organizations, and is designed to increase the effectiveness of collaboration and teamwork across those groups. 2. Support for Student Technology Services Mobile Application for Students Nearing Release. EITS and the UGA Student Government Association have been collaborating for the past six months to develop the first UGA mobile application for students. The app, which is expected to be released on April 15th, will support functions for calendaring and events, campus map and building search, campus bus tracking, food service menus and locations, people searches, as well as capabilities for the SGA to collect data from students on policies and initiatives. Version 1 of this application will support iPhones and other iOS devices; apps for other platforms are being considered for future release. SSN Use for OASIS Access Removed. Working with colleagues in the Office of the Registrar, the Online Access to Student Information Systems (OASIS) system was updated so that SSNs are no longer used for logging on. This change is one among many initiatives directed at reducing reliance on the SSN for UGA administrative systems. OASIS may now be accessed using either the MyID and password or using the UGAID number and PIN. For more information on OASIS, browse to http://oasisweb.uga.edu on the Web.

3. Support for Academic and Administrative Computing University Group Travel Processes No Longer Require SSN. Previously, the employee SSN was required in order to identify UGA employees participating in group travel events where vendors are paid by the University directly. Effective in February, 2013, the employee VN is now required when preparing the eCheck request. Functionality for documenting employees participating in group travel is available through the eCheck / eTravel system. For more information on the change, browse to http://bit.ly/X6iDAB on the Web. Housing Identifies New Commercial Software through EITS Partnership. Since the fall of 2012, University Housing and EITS has been involved in a collaborative venture to document Housing business requirements and determine the fitness of both commercial and custom development software databases for those requirements. Through this process, University Housing has elected to begin the process of identifying and acquiring a commercially supported software package to replace its current applications. The process is now underway and will continue through this partnership. The goal of this initiative is to provide enhanced service to students residing in University Housing. Units should be aware of two upcoming changes regarding the use of the UGAID. First, subsequent to a Bulldog Bucks system upgrade in May 2013, all new UGACards will include a card ID and a random number component. This will mitigate current risks associated with Bulldog Bucks and the use of the UGAID. Additionally, by September 2013, newly admitted students will be assigned UGAID numbers beginning with the prefix 811 instead of 810. Departments with local software systems that are customized should be advised that, after this date, they can expect ID numbers using 811 as the first three digits, in addition to those that start with 810. These changes to the use of the UGAID and UGACard reflect collaborations with campus-wide entities through the Identity Management Functional Advisory Committee (IDMFAC). 4. Support for Research New Georgia Advanced Computing Resource Center Web Site. Over the past three months, staff from the GACRC have been working with the faculty advisory committee and other groups to upgrade the GACRC Website. The new Web site, which will was released on February 15th, provides up to date information on resources related to technology, research, and High Performance Computing services available to students and faculty at UGA. 5. Core Campus Infrastructure Building Network Equipment Upgrade Program Begins. Over the next five years, EITS networking staff will be working to replace key electronics in buildings across the UGA campuses that support departmental connections to the core of the UGA campus networks. These upgrades to the main distribution frame (MDF) in buildings are a critical part of the UGA infrastructure that are fully supported by EITS. Phase 1 of these upgrades will focus on key buildings used by researchers and data intensive programs, in order to reduce bottlenecks that prevent faculty from fully realizing the maximum capacities available on the UGA network. For more information on these upgrades, contact David Stewart at stewart@uga.edu by email. Support and Collaboration Regarding University HIPAA Compliance. In February, key individuals from across the University met to discuss both Unit and University compliance with the privacy requirements under the Health Insurance Portability and Insurability Act. These individuals, representing areas providing health related services, discussed common issues and raised concerns about the management of HIPAA related compliance activities University-wide. As a next step, the Office of Legal Affairs and the Internal Audit Department will work together to survey Units and establish a benchmark regarding University activities covered by HIPAA and their current compliance posture. Based on this assessment, further conversations will focus on gaps identified through this assessment. UGA has joined the InCommon Federation (http://www.incommonfederation.org), which provides the UGA IT community with a range of infrastructure services, including unlimited SSL certificates for sub-domains at UGA. In the past, these certificates typically cost $100 $300 each, and they are now available at no cost to UGA affiliated Units. The annual membership fee supporting these and other InCommon services is being absorbed by the VPIT. 6. Did You Know? Record Class for EITS Mentorship Program. Over the past three years, EITS has sponsored a mentorship program that allows employees to engage in collaborative mentoring with individuals across the University as a part of their professional development. This spring, there are 39 membership pairs, and 27 of those individuals represent Units outside of EITS. In addition to University-wide participation, individuals from the University System of Georgia and the University of West Georgia are also participating in the program this semester.
