APPROVAL NOTE

Subject: Approval for contract for the period of six months for regular
maintenance of plantation in APL Premises.

Ref: Approval note ref no. APL/2x660/DPJ/Civil/08/Proposal2 dated 02/02/08

In quest to develop good aesthetic of our premises, procurement of saplings of plants,


compatible to grow in the saline atmosphere of Mundra, is in process of procurement.
Now the need has been felt that scientific maintenance for a period of six months be
carried out on regular basis for that the survival rates of plants becomes higher.

The plants which are to be procured and planted are included in this estimate for their
maintenance.

Therefore, BOQ and special terms and conditions are drafted and attached here with
appearing in separate sheets for approval.

The approximate amount of the amount shall be Rs. 2,77,260.00 /-

The period of contract shall be six months.

It is proposed to award the works to the agencies suggested by Horticulture department


MPSEZ Mundra. It is also proposed to execute the work through Horticulture department
MPSEZ Mundra, since they are having required manpower for such works.

Special Terms and Conditions:

1. The scope of work shall be maintenance of all plants and Mahendi discretely
planted in APL Premises.
2. Payment shall be made limited to number of plants which have survived in the
month for which the payment is asked.
3. Only 80% payment as applicable for (2) above shall be made, balance 20% shall
be made in the following month along with the plants that have survived only.
4. All consumables viz fertilizer, DAP, cow-dung, pesticides and chemicals for
retaining moisture in soil, etc. all as per requirements and requisite as per site
conditions.
All the tools and tackles required for the job shall be brought by the agency at
work sites at no extra costs.
5. The rates are firm for the contract period.
6. Watering with potable water shall be done at regular intervals including arranging
requisite no. of labourers.
7. Watering shall not be later than regular intervals more than 3 days.
8. Watering shall be done meticously that there is minimal wastage of water.
9. Per day minimum 3 labourers and one tanker of capacity not less than 5000 kl
shall be employed.

Rate Analysis

Item no 1 ( for 5000 plants)

Potable water : 5000 lt @ Rs. 190 = 190.00


Three Labourers : Rs. 150/ Labourer = 450.00
= 640.00
Add 10% Contractor’s Profit : = 64.00
= 704.00

Therefore the rate per plant comes to 704/5000 = Rs. 0.15

No. of occasions of watering shall be (6 x 30) / (14512/5000) = 60 occasions

Hence the quantity shall be 14512 x 60 = 8,70,720

Item no 2 (for 800 sq mt, 9 plants are considered per sq. mt)

Potable water : 5000 lt @ Rs. 190 = 190.00


Four Labourers : Rs. 150/ Labourer = 600.00
= 790.00
Add 10% Contractor’s Profit : = 79.00
= 869.00

Therefore the rate per Sq. mt comes to 869/ 800 = Rs. 1.08, say Re. 1.00

No. of occasions of watering shall be (6 x 30) / [40000/(9x800)] = 32.72 occasions, say


33 occasions

Hence the quantity shall be (40000/9) x 33 = 1,46,652 sq mt
