MATHEMATICS SOCIETY

CONSTITUTION AND BY LAWS


PREAMBLE We, the students of University of Makati, and members of this organization, imploring the aid of the Almighty God, in order to establish a club that shall embody the needs, ideals and goals of all mathematics students; contribute to the furtherance of academic excellence and freedom, foster the spirit of fellowship and application of Mathematics in relation to our daily life, do hereby voluntarily bind ourselves to ordain and promulgate this constitution. ARTICLE I Name and Domicile Section 1: Section 2: The name of this students organization shall be Mathematics Society. The domicile of Mathematics Society shall be the Mathematics and Physics Department Administration Building, University of Makati. ARTICLE II Declaration of Principles and Purposes Section 1: The Mathematics Society shall be a non-sectarian and non-political organization that shall be run by its officers and members with the full support of all Mathematics professors. The Mathematics Society shall seek, generate and endure educational reforms for the development of all its members. The Mathematics Society shall protect and promote its interests, rights and welfare in conformity with the development of a wholesome attitude towards its members and for the community to which they belong. The Mathematics Society shall foster the spirit of fellowship, camaraderie, cooperation and unity as a solid force for whatever activity the society may undertake. The Mathematics Society shall promote cultural, intellectual, emotional, physical and moral awareness among its members. The Mathematics Society shall, at all times, uphold this constitution. ARTICLE III Membership Section 1: Membership to the society is mandatory to all University of Makati students taking up Bachelor in Secondary Education major in Mathematics. A membership fee of Php 35.00 shall be collected from them corresponding to one (1) year membership. Membership is open for all students of University of Makati both taking a Mathematics course or not. A membership fee of Php 35.00 shall be collected from them corresponding to (1) semester of membership.

ARTICLE IV Administrative Body Section 1: The Administrative Body of the society shall be composed of thirteen (13) officers and six (6) committee chairpersons and co-chairpersons. The thirteen (13) officers are: President, Vice-President for Internal Affairs, Vice-President for External Affairs, Secretary, Assistant Secretary, Treasurer, Assistant Treasurer, Auditor, Public Relation Officer and 1st to 4th year representatives. The eight (8) chairpersons and co-chairpersons are designed into four (4) committees, namely: Socio-Cultural Committee, Education Committee, Finance Committee and Documentation and Publication Committee. ARTICLE V Election System and Qualifications of Officers Section 1: Election of officers shall be held and shall be organized by the existing officers, by the adviser of the Mathematics Society and shall be participated by Mathematics major students. Committee chairpersons and co-chairpersons will be elected during the 1st General Assembly per year by all the members, elected new officers and advisers. The term of office of the elected officers shall be one (1) academic year. Officers are allowed to seek reelection. Qualifications of a Mathematics Society officer: 4.1. 4.2. 4.3. 4.4. 4.5. 4.6. 4.7. A bonafide student of University of Makati. Carries a regular load of bot less than 15 units. A full time or working student. Must not hold any executive position in other organization. Must be of good moral character. Must be an active member of the society for at least one (1) year. Must be a Bachelor in Secondary Education major in Mathematics junior or senior for the position of president. ARTICLE VI Powers and Duties of Officers Section 1: The President shall: 1.1. 1.2. 1.3. 1.4. 1.5. Section 2: Preside at every meeting of the society. Be responsible for all transactions and undertakings of the organization. Represent the organization in all meetings and seminars inside or outside the campus. Appoint and delegate powers, duties and responsibilities to any officer or member who are capable of performing the delegated task. Call special meeting(s) if necessary.

The Vice-President for External Affairs shall: 2.1. 2.2. 2.3. Represent the organization in all meetings and seminars outside the campus in the Presidents absence and/or incapacity. Work hand in hand with the President. Be the Chairperson of all Committee Chairpersons of the Society.

Section 3:

The Vice-President for Internal Affairs shall: 3.1. 3.2. 3.3. Be the acting President in his absence and/or incapacity. Work hand in hand with the President and Vice-President for External Affairs. Be the Head of the Socio-Cultural Committee Chairperson and Co-Chairperson.

Section 4:

The Secretary shall: 4.1. 4.2. 4.3. 4.4. Take the minutes and proceedings of the Mathematics Society. Manage and keep all the records and correspondence pertaining to the Mathematics Society. Prepare a written communication whenever there is an activity and other purposes. Be the Head of the Educational Committee Chairperson and Co-Chairperson.

The Assistant Secretary shall: 5.1. 5.2. Take over the secretary in his/her absence. Work hand-in-hand with the secretary.

Section 6:

The Treasurer shall: 6.1. 6.2. 6.3. 6.4. Be in-charge of the collection of membership fee and other monetary transactions pertaining to the society. Be responsible for the custody of records of all assets and liabilities of the society. Disburse funds duly approved by the Auditor and the President. Prepare and submit the annual report including the receipts and disbursements.

Section 7:

The Assistant Treasurer shall: 7.1. 7.2. Take over the treasurer in his/her absence. Work hand-in-hand with the treasurer.

Section 8:

The Auditor shall: 8.1. 8.2. 8.3. 8.4. Be responsible in auditing funds and all financial transactions. Ensure that all collections and disbursements are legal and official. Prepare and deliver financial report during every General Assembly of the members of the society. Be the Head of the Finance Committee Chairperson and Co-Chairperson.

Section 9:

The Public Relations Officer shall: 9.1. 9.2. 9.3. Be responsible for the dissemination of information regarding meetings and activities of the society. Be in-charge of all the communications in and out of the society. Be the Head of the Documentation and Publication Committee Chairperson and Co-Chairperson.

Section 10:

By year level Representatives shall: 10.1. 10.2. Coordinate with the P.R.O. regarding recent activities and inform the other members in the same level he/she is in. Rely the needs observed and received from the year level he/she is representing during Mathematics Society Officers meeting.

Section 11:

The Committee Chairpersons shall: 11.1. 11.2. Organize and keep the records of its members. Be responsible in holding Committee meetings as the need arises.

Section 12:

The Committee Co-Chairpersons shall: 12.1. Work hand-in-hand with the committee chairperson. ARTICLE VII Functions of the Committees

Section 1:

The Socio-cultural Committee shall be responsible for planning and spearheading activities that will foster camaraderie and harmonious relationship among the members of the society. The Finance Committee shall: 2.1. 2.2. Assist the treasurer regarding the collection of membership fees and other collections. Plan and initiate activities that will generate income for the society.

The Education Committee shall be responsible for initiating the tutorial service of the society and the other projects of the society that will benefit the members educationally. The Documentation and Publication Committee shall: 4.1. 4.2. Be in-charge of producing and keeping memorabilia of all the societys activities and projects. Be in-charge in developing and publishing the societys official organ. ARTICLE VIII Meetings and Procedures

Officers and Committee Chairpersons shall meet at least twice a month. Officers and members of the society shall have a General Assembly at least twice (2) every semester. Meetings shall be conducted in a Parliamentary Procedures: 3.1. 3.2. 3.3. 3.4. 3.5. 3.6. Roll Call Reading of the minutes of the previous meeting. Two-thirds (2/3) of the expected attendance shall be needed for a quorum. Agreements and other issues resolved in a meeting held without the necessary quorum are considered invalid. ARTICLE IX Impeachment

Section 1:

Any officer of the Mathematics Society who failed to attend three (3) consecutive meetings without invalid reason(s) shall be automatically dropped from his/her position.

Section 2:

Any officer or member of the society can file an impeachment case against an officer based on the following grounds: 2.1. 2.2. 2.3. 2.4. Violation of the societys constitution. Negligence of duties and responsibilities. Dishonesty Other forms of misconduct which may affect the integrity of the society.

Section 3:

Impeachment complains against an officer shall be filed before the Administrative Body. The Administrative Body shall convene within three (3) days upon receipt of the written complaint and decide in the matter. ARTICLE X Vacancy

Section 1:

A position shall be declared vacant in case of: 1.1. 1.2. 1.3. 1.4. Resignation Impeachment Death or incapacity Other case as determined by the Administrative Body of the Society

As a general rule, succession shall be based on the position as enumerated in Article IV, Section 1. In case of vacancy in the position of PRO, the Socio-cultural committee shall be appointed as the new PRO and he/she shall serve until the next election is held. In case of vacancy in the position of Committee Chairperson, the Co-chairperson shall be appointed as the new Committee Chairperson and will appoint his/her co-chairperson. ARTICLE XI General Provisions

The name of the Mathematics Society shall not be used for immoral and unlawful purposes. All members shall extend their full support in the implementation and realization of the objectives of the organization. The Mathematics Society recognizes the importance of the adviser and all the Mathematics mentors in the fulfilment, realization and implementation of objectives and activities of the organization. ARTICLE XII Amendments

Any amendments to or revision of this constitution shall be valid if ratified by the majority of votes of all the members of the society. Now, hereby resolved, the Mathematics Society of the University of Makati by virtue of the power vested in the body, do hereby implement this constitution and by-laws of the society.
