COMMUNICATION CHANNEL SCENARIOS

Communication Channels for three different Scenarios Humans are entity with higher consciousness and what distinguishes us from entity with the lower consciousness among other things is effective communication in different situations. So deciding the right communication method is a factor key to provide good results between different society groups where the individual is involved. To decide the channel of communication in a business environment is a finesse and skill. Good communication skills are bridge to career success. Scenario I In the first scenario it is necessary interaction between the two communications, Face -to - Face communication and written communication. Oral communication Face -to-Face communication meeting. The right choose of communication in the first part of this scenarios would be a Face-to-Face communication meeting, because we have a big business project ahead and we have to discuss with each other in our team .Oral communication in this case is a speed one , and we dont have time to lose. Rapid feedback and responses are in minimal time and is the best way to get information and ideas to and from employees. The message is not routine so is needed a rich channel like Face-to-Face meeting, the purpose is very ambitious. The direction of communication in the first part between manager and his team is Downward, because it flows from one level (manager) to a lower level (employees) and in this issue we have to assign our goals, to enter the product into the global market. Even downward communication does not have to be oral or Face-to-Face in this situation is necessary.

Written communication We have a marketing plan ahead, to develop a strategy for entering the beverage into the global market. For this part the manager needs to provide his team the product details, here is necessary written communication because there are a number of tasks spread out over one week. By putting it in writing helps team to refer the plan and its lifespan. As the communication between manager and Vice President of Operations, is necessary to use written communication. The message is not only one sentence to say, there are databases ,diagrams, information on financial activity, balance sheets, are market studies involved, plane to introduce ads, there are a lot of arguments to convey all this stuff must be printed , so both the manager and Vice President of Operations have a record of the message. It is physically available for later reference and can be stored for an indefinite period. The direction of communication in the second part between manager and Vice President of Operations is Upward, because it flows to a higher level in the group, from manager to Vice President of Operations and it intends to convey the strategy and inform of the progress that has been made.

Scenario II In this scenario the electronic communication is more beneficial. Electronic communication Phone call. In the first part of scenario, the manager must inform the IT department with a phone call, because what happened is something that is hindering the continuity of business process and the manager needs to solve the problem immediately. By using a phone call, the response is likely to come soon and also a responsible person for solving the concrete problem, the expiration of login name and password. The communication occurs in real time.

E-mail. As for second part of scenario, the manager now has the solution, and that is an extend information and a dual one. The best solution would be sending it by via email to all employees. Explaining them what happened and providing them the new log in and password. In scenario is mentioned a computer application and the problem is only in that part, so all employees are able to see and to use their e-mails. Communication by e-mail transmits and receive computer generated text and documents, and it can distributed to more than one person in the same time. The direction of communication is downwards, it flows from manager to employees.

Scenario III

In the third scenario the situation is more delicate and involved in emotional feelings. The best channel of communication would Oral communication/Face-to-Face communication. Oral communication Face -to-Face communication meeting. The decision to reduce workforce is not easy even more when it comes to convey it to employees. The manager must use a Face-to-Face meeting to explain the whole situation in details, why this decision is taken ,why company is in this point ,and making this speech the employees are more likely to understand the message directly and they can respond/ask rapidly to what they think they hear, even the decision is decided. One by one formal communication. The best way to communicate the dismissal from job is Face-to-Face communication. The issue is delicate, manager should call the employees that are being affected by reduction of workforce, in his/her office one by one and then

communicate the decision that is taken, based on the performance of relevant employee or other reasons thought by manager. This communication in this situation is the best solution because if the receiver (affected employee) is unsure of the message, rapid feedback allows the sender (manager) to quickly explain it better. In situations like this Face-to-Face communication clarifies any possible misunderstanding in real time and do not let the issue to aggravate.
