Job Description Job Title: Responsible to: Hours of work: Head Office Admin. Support Human Resources Officer 2 hours a day, 12pm-2pm Monday through to Friday, with occasional additional hours during times of cover for sickness absence or annual leave of other key administrative staff. Job Purpose To provide a professional, friendly and comprehensive administrative service supporting the work of the XXX. Main Duties 1. To undertake daily reception duties as necessary, answering the telephone, routing calls, taking messages and room/minibus bookings. Ensuring clear and full messages via phone, email or in person are relayed to the relevant colleagues or followed up as necessary. 2. Open, date stamp and distribute incoming mail with another colleague. 3. Carry out general administrative duties across all XXX departments - tasks to include typing, Dictaphone, scanning, shredding, photocopying, franking mail and data entry. 4. Be responsible for production of the Admin. Rota lists which colleagues cover reception, post opening and franking mail plus locking up of building by a named senior manager. 5. Assist with the production of letters, documents, briefing reports and presentations in a range of formats for approval and signature as requested by managers.

6. Assist in the collation and maintenance of statistical information using databases and spreadsheets. 7. Assist in the maintenance of office systems, organise and store paperwork, documents and computer based information. 8. Undertake relevant training to ensure continued personal development relevant to the area of work. 9. Perform other duties that the CEO of XXX or her authorised deputy may consider appropriate.
