XXX XXX Service Job Description Job Title: Responsible to: Salary: Hours of Work: Assistant to the Project Manager Project Manager XX per hour 14 hours per week, flexible by arrangement. Occasional unsocial hours working may be necessary (e.g. to attend evening or weekend events). No payment will be made for any overtime worked. Time off in lieu will be taken instead. This post will be based at the office of XXX Concern, although there may be occasional visits or meetings off site. This is a 1 year funded post (with the possibility of being extended if further funding becomes available.) There is a probationary period of 6 months.

Background & Overall Purpose of Post: The main purpose of this post is to support the Project Manager in the development of the XXX Service. The XXX aims to improve the quality of life of people with dementia both in the community and those in a long term care setting (such as residential or nursing care). The post-holder will provide a wide range of administrative and organisational support for the XXX, particularly in the recruitment, training and support of a team of volunteers who provide befriending to people with dementia. The post holder will work with potential and existing volunteers and deal with initial enquiries and referrals, as well as liaising with other partners in the service the Living Well Resource Centre and XXXs Early Intervention Worker and other agencies, both statutory and voluntary (e.g. XXX Dementia Partnership), as well as independent care providers (care homes). The post-holder will be expected to assist with the promotion of the Service and participate in various events, such as training courses, information and promotional events, whether these be XXX specific or those of XXX (e.g. XXX Day events). In addition to having a good standard of computer literacy, including experience of working with databases, the post-holder will need to be approachable, adaptable, have some awareness of issues that affect people with dementia, and able to work effectively as a member of a team in a busy office. It is not essential for the post-holder to have access to their own transport for the purposes of this role, although any travel and other - expenses reasonably incurred in their duties will be subject to either reimbursement or mileage payment. To provide administrative and general clerical support to the Project Manager, XXX Dementia Befriending Service Respond to initial enquiries and referrals by compiling and sending out service and/or volunteer information packs as appropriate; Ensure the database of volunteers and service users, as well as other relevant records are regularly updated and are stored with due regard for data protection and confidentiality; Assist the XXX Project Manager - and partners - in the identification and monitoring of volunteer placements; Assist in the implementation of suitable follow up procedures, e.g. arranging of interviews; Assist in the organisation of and note taking for XXX meetings as required; Promote and assist in the organisation of peer group support and other volunteer meetings; Assist in the organisation of volunteer training , e.g. induction and further training; Co-ordination of mailings to volunteers, service users, referrers etc; Assist the Project Manager in the development of information for volunteers, e.g. handbooks, guidance notes; Liaise with all other XXX projects; Liaise with other volunteer projects and external agencies; Work as a member of the XXX team, to liaise with people at all levels of the organisation and other key partners; To work in accordance with all XXX policies and procedures; To carry out other duties as required that are commensurate with the post, such as admin support to other XXX projects if and when needed.
