What does the University Curriculum say?

An industry attached Organization Study for 8 weeks Every student has to undergo a placement work and produce a report on an organization centered study based on an organization to which he/she is deputed. This work and its report will be treated as full course carrying 100 marks. The internal marks will be awarded by means of seminar presentation cum viva-voce conducted by a board appointed for this purpose from among the faculty. Students are permitted to do their organization study only in a nationally or internationally reputed business organization for a period of not less than 8 weeks. While selecting the organization students should make sure those four functional areas such as production, marketing, finance and HR are available there.

Project Title & Certificate


The University title of the project: Organization Study Certificate from the company shall have this title e.g., This is to certify that (Name of student) of(Name of institute) has conducted an organization study titled..(Title of the project) for a period of eight weeks/two months from 1st April 2013 to 31st May 2013 The certificate from the company shall have the institutes name as Rajagiri College of Social Sciences and not RCBS or any other name

Objectives
To provide the students an opportunity to be in the organizational ambience and to obtain information and insights about the systems, processes, procedures and practices in real time To gain hands-on experience of encountering the intricacies of an actual business or organizational issue/problem and attempting a plausible solution To provide an opportunity for final placement

Organization Study Where?


In any business/industrial/service organization having management functions, operations and systems in place - Manufacturing concerns - Marketing/Sales/Retail firms - Market research organizations/Ad agencies - Financial institutions/Banks/Insurance firms - Service - IT/ITES/Outsourcing firms (BPOs or KPOs) - Hotels/Hospitals/NPOs & NGOs the major

- Consulting firms (Organizations having the four major functional areas)

Duration and Location


Full time organization attached study from 1st April to 31st June 2013 Outside the home state Exceptions - Those routed through the placement cell/ institution may do the projects in the home state - Overseas projects

Going about with the Organization Study


Part I - Profile Study of the Organization Gather info/collect data regarding the general profile of the industry, vision and mission, history and major milestones in the development of the firm, details on capital structure, financial performance, sales, turn over, market share, manufacturing process, products, services, brands, organizational structure, functional departments, HR department in special, roles and duties of managers, management systems, strategies, innovative (HR) practices and a SWOT analysis Part II - Project (on a specific HR mgmt issue) Shall choose a relevant topic of HR concern, finalize the title of the study, identify properly the project problem, set the objectives, finalize the tools for data collection, identify the sources of data, collect data, analyze the data, draw conclusions and make recommendations

Part I - Profile Study


1. Study of the industry One may make use a model such as Porters Five Forces model 2. Positioning the firm within the industry Study the position of the particular organization within the larger industry in terms of size (turnover, sales, market share, no. of employees), competitiveness, uniqueness etc. Important: All data available in the public domain to be gathered prior to beginning the OS. No wastage of time at the organization. 3. Place the organization within the context History of the organization / History of economic policy changes Name Name changes Mergers

Promoters /shareholding patterns Important milestones 4. Products & Services Operations/process/machinery/equipment Products/services/deliverables/activities Customers/client 5. Structure 6. Departments and Functions Study the departments - Can fix dates for each department in consultation with the supervisor - Can put major emphasis on own (intended) specialization Study structure, processes, procedures, systems, any special application software and their usage 7. Part II Problem-centered (Project) Study


Why Project Study? To provide the student an opportunity to do an in depth study in the functional area of interest - which is useful to the organization for remedial or improvement action - and also adds academic/practical understanding to the student The rigor: More than that of an off-hand survey Less than that of a dissertation Project shall be of the nature field research, problem centric or primary/secondary data based and not library projects Projects shall be approved by the organization and the faculty supervisor Specific academic issues to be discussed with the faculty supervisor Cue: Projects of interest to the organisation get greater support from the organization

Problem-centered Study: How to choose a Topic for Project?


May be awarded by the firm according to their own priorities and preferences (before or after reaching the firm) Student may choose a topic beforehand depending on his/her area of interest Survey of organizational issues and selection of a relevant topic on the spot Cues: References, profile search of organizations, interaction with faculty/managers or identification of problems/issues

Organization Study - Submission of Reports


Contents of Organization Study Report: The summer project report shall be titled Organization Study and shall consist of two sections viz. Section I - Profile Study of the Organization and, Section II - Problem Centered Study of the Organization

Report on the Profile Study may include information/data collected on: Industry analysis History/incorporation of the company Vision/mission statements, if any Corporate office/head quarters, number of units Capital structure, initial investments, shares etc Business turn over, profit/loss, market share etc. Organizational structure/hierarchy, employee strength Products/services/customers/clients Production process/service operations Functional departments (like Production, Finance, Marketing, HR, Logistics etc.) and their organization and main activities Future plans & business strategy/expansion/diversification USPs/innovative management practices A mini SWOT analysis Observations, if any (negative and derogatory remarks/comments on the company, its activities or people to be avoided) Any other relevant information gathered through interaction with company managers or data from handbook, brochure, files or policy documents of the company. The profile study may run into 25 to 30 pages. The data presented shall be factually correct. Report on the Problem-centered Study may include: Title of the study Elaboration of the problem/issue Relevance of the study in relation to the firm or industry Objectives set out Methods of gathering data Tools for data collection questionnaire/checklists Sampling and sample size Presentation and analysis of data relevant tables, graphs etc. Interpretation and conclusions Suggestions/Recommendations The problem centered study may run into another 25 to 30 pages making a total of 50 to 60 pages for the entire report.

Draft Report & Viva-voce


Draft Report The report shall be neatly typed and presented. Last date for submission of draft reports to the guides: 12 June, 2013 Viva-Voce Examination The draft report, preferably a spiral bound one, after incorporating the corrections as suggested by the faculty guide and getting his/her signature need to be presented for the viva.

The students shall hand over the certificates of project completion and the confidential feedback forms from the company to the viva panel. The students can receive back their draft reports after the viva.

Submission of Final Report


Students are required to submit their final organization study reports to the PGP office after incorporating corrections as suggested by the viva panels on or before 20th July 2012. The final report shall be hard bound and two such copies (one copy to be retained by the student after getting the Principals signature) are to be submitted to the PGP office. An additional soft copy of the full project report in the PDF format in a reasonably good quality CD (Sony, Moserbaer etc,) need also be submitted.

Evaluation Factors
- (1) the evaluation done by the supervisor at the organization (feedback forms from the manager to be collected before proceeding back) (2) timeliness and quality of weekly reports (3)evaluation of final report by faculty supervisor (4) internal viva - (5) overall quality of the project Total: 100 Marks

General Guidelines
1. The students are required to identify the organizations by themselves for the summer project. However, they are free to take help from faculty members/placement cell for this purpose 2. No two students shall do the project in the same unit/plant/office of an organization 3. Each student will be allotted a faculty guide. Students are required to contact their respective faculty supervisors and seek guidance before leaving for the project 4. Students are also required to collect the mailing address/e-mail id of the respective faculty guides before leaving for the project work 5. Students are required to submit their address for communication, e-mail id and mobile number to the PGP office before proceeding for study 6. Students are required to collect the (confirmation) letter from the company regarding granting of permission and send to the PGP office within one week of starting the project (if not already given) 7. Students are required to collect the mailing (postal) address, e-mail id and other contact details of their respective company supervisors and send to the PGP office 8. The company supervisor (reporting manager) may act as a co-guide for the project 9. Students are required to send the report of their study to the respective faculty guides every week (weekly updates) 10. Even though each student is allocated a faculty guide, it does not restrict him/her from approaching other faculty members for any clarification regarding the project

study. However, all permissions / approvals shall be obtained only from the allotted guide 11. The students are required to submit the certificate from the organization (in the company letter head), clearly indicating the period of study and the project topic 12. The students shall also get the project evaluation form completed by the supervisor in the organization and bring it back in a sealed envelope 13. All documents supplementing the project work, like the data collection tools, questionnaires, master charts etc. need to be submitted along with the project draft report. The students shall make arrangements to get those items released from the company on completion of the project work 14. The students have to strictly stick to the schedule of events listed, failing which may lead to severe disciplinary action to the extend of cancellation of the project work done 15. Faculty representatives might visit the students at their organizations, the details of which shall be mailed to them on a later date

Follow these steps


1. Clear the hurdles/eligibility 2. Find out a suitable organization 3. Write formally to the organization and obtain permission (Request letters from the PGP office signed by the HOD) 4. Make a preliminary study of the organization 5. Prepare a list of possible topics 6. Make your travel/accommodation plans 7. Do the preparatory works/ consult your faculty guide 8. Report at the organization on 1st April, 2013 and complete the joining formalities 9. Send the contact details to the PGP office 10. Start doing the OS/finalize your project/questionnaire/survey forms 11. Maintain communication with the faculty guide and send weekly updates 12. Prepare an interim report and make a ppt. presentation in front of the faculty to be assessed by the faculty team during the fourth week of April 2013 13. Obtain the feedback form from the supervising manager and the project completion certificate once the project is over 14. Report back at the college on 3rd June 2013 without fail 15. Submit draft reports to the PGP office on or before 12th of June 2013 16. Project viva-voce (internal) on 20th of June 2013 17. Incorporate corrections/modifications and submit the second draft on or before 29th June 2013 18. Submission of final bound report to the PGP office on or before 20th July, 2013
