What is a Digital Library?

It is a an organization that provides the resources, including the specialized staff, to select, structure, offer intellectual access to, interpret, distribute, preserve the integrity of, and ensure the persistence over time of collections of digital works so that they are readily and economically available for use by a defined community or set of communities. -Digital Library Federation (2000)

What is a Digital Library?

It is a focused collection of digital objects, including text, video, and audio, along with methods for access and retrieval, and for selection, organization, and maintenance of the collection. -Witten et. al (2010)

Digitization

Digitization (imaging or scanning) the means of converting hard-copy, or non-digital, records into digital format. It may also be undertaken by taking digital photographs of the source records, where appropriate.

[Government Recordkeeping Group of the Archives New Zealand (2005)]

Digital Preservation
A process by which digital data is preserved in digital form in order to ensure the usability, durability and intellectual integrity of the information contained therein. A more precise definition is: the storage, maintenance, and accessibility of a digital object over the long term, usually as a consequence of applying one or more digital preservation strategies. These strategies may include technology preservation, technology emulation or data migration.

Plan Document

If you fail to plan, you plan to fail.

Identify the key persons that will be part of the planning team and/or project. Prepare a plan document.

Planning for Digital Libraries*

1. 2. 3. 4. 5. 6.

Define need, purpose and user community Select and analyze source material/s Determine digital library collection requirements and features Plan approach to digitization Determine resource requirements for project implementation Prepare implementation schedule and timeline

1. Define need, purpose and user community

Need for creating the digital library collection Purpose of the digital library collection Target user community

2. Select and analyze source material/s

Select the source material/s that will constitute your digital collection (key attributes) Volume and form of source material/s Copyright restrictions assessment

3. Determine digital library collection requirements and features

Assessment of the nature of the digital library collection planned to be created Assessment of copyright and usage restrictions (rights management) Mode of delivery of the digital library collection Assessment of metadata requirements Search and retrieval requirements Document formats Assessment of the digital library software to be used

4. Plan approach to digitization

Determining the digitization requirements Determining how to convert the source material/s into required digital form (in-house or external) Workflow involved in digitizing the source material/s

5/16/2013

4. Plan approach to digitization

Typical workflow may includes: Selection of source material/s based on the selection criteria Preparation of source material/s for digitization Digitization Metadata assignment / indexing Quality review / control (digitization and metadata) Loading to repository (digital library) Post-processing of source material/s after digitization Handling of preservation formats and data backup

5. Determine resource requirements for project implementation

IT infrastructure required to for establishing and maintaining the digital library collection Personnel requirements Financial requirements for setting up and maintaining the collection (budgetary break-down)

5/16/2013

6. Prepare implementation schedule and timeline

How the project is going to be implemented? Major milestone Time requirements

Building a Digital Library*

1. Collection acquisition
-information resources: in paper form / born-digital, non-duplicating, access and legal issues, value added by digitization, technical feasibility

2. Collection management
-cataloguing and metadata creation; creation and management of electronic files; archiving and database management; ensuring preservation of materials

3. Content dissemination and online service provision

-providing users with access and online services; harvesting; marketing and promoting of the digital library

What is a Digital Library Software?

Also known as Digital Library System, or Digital Asset Management System (DAMS), or Digital Library Management System (DLMS)

It is a kind of software system which provides the functions for creating and managing a digital library collection, and providing services for the users service. -FAO (2010)

Types of Digital Library Software

Package Solutions -proprietary / outsourced

Open-Source Software -downloadable for free

In-house or custom-developed

Each has its own pros and cons. It depends on your institution and resources.

Open-Source Software (OSS)

The Open Source Initiative (OSI) defines it not only in terms of the availability of the source code, but uses criteria that include free distribution of the application, as well as provision for the future use of the code in modifications and derived works without discrimination against the persons or groups involved.

Hyperion Digital Media Archive

Developed by Sirsi, vendor of Unicorn ILS A tool for building, storing, and maintaining collections of digitally captured materialmost often scanned documents, photographs, maps, drawings, artwork, sound, and movie clips. can also serve as a repository for computer-generated material such as technical documents, multimedia presentations, and engineering drawings. More info at www.sirsi.com.

TEAMS
Developed by Artesia Technologies, a generalized multimedia management system vendor targeting the library market TEAMS product is being used by Stanford University as the basis for its digital library initiative. Artesia describes TEAMS as a digital asset warehouse that serves as the hub for media files as well as for the vital information related to them. TEAMS integrates with other asset-intensive applications like Web content management, digital rights management, customer relationship management, syndication, and e-learning. Product information can be viewed at www.artesia.com.

Open-Source Software (OSS)

Eprints DSpace Greenstone Digital Library Software Fedora (Flexible Extensible Digital Object Repository Architecture) Commons

Eprints
A generic repository building software developed by the University of Southampton. It is intended to create a highly configurable web-based repository. The EPrints series began in early 2000 and is in use by over 200 sites. EPrints is often used as an open archive for research papers, and the default configuration reflects this, but it is also used for other things such as images, research data, audio archives - anything that can be stored digitally. Runs on Windows and Linux More info at www.eprints.org

Fedora Commons
Fedora was originally developed by researchers at Cornell University as an architecture for storing, managing, and accessing digital content in the form of digital objects inspired by the Kahn and Wilensky Framework. Fedora defines a set of abstractions for expressing digital objects, asserting relationships among digital objects, and linking "behaviors (i.e., services) to digital objects. Fedora is being used for digital collections, e-research, digital libraries, archives, digital preservation, institutional repositories, open access publishing, document management, digital asset management, and more.

Fedora Commons
Features: Store all types of content and its metadata Scale to millions of objects Access data via Web APIs (REST/SOAP) Rebuilder Utility (for disaster recovery and data migration) Content Model Architecture (define "types" of objects by their content) Many storage options (database and file systems) Web-based Administrator GSearch (fulltext) Search Service More info at www.fedora-commons.org
