JOB RESPONSIBILITIES

Complete In house Administration and Help desk Management e.g. Transport


operation, Pantry, cafeteria and Stationary, Accommodation, Hotel Booking and Medical Facilities and Assistance.

Support Services: Janitorial : Managing entire housekeeping services for ensuring


satisfactory work place throughout the Branches quality manpower and modern techniques, and pest control procedures, Maintain stringent quality checks and controls cost & quality. Provide 3rd party vendors guidance to follow policy & procedure as per standard.

Helpdesk Centre: Nerve centre of facilities related activities. Managing Logging of all
kinds of client requests/complaints and ensuring helpdesk executives provides timely resolution as per severity level.

Managing purchase and inventory related activities and ensuring that the costs
are not exceeded beyond the budgeted amount. Procurement of equipments, Negotiations with various service providers, Installation of Telephone lines and maintenance, Under taking renovation work, Asset Management, Disposal of furniture and old equipment. Ensured effective management of facilities including infrastructure and utility services, Watch over requisitioning, purchasing, stocking and distribution of office supplies ACs, Fax, Photocopiers, DG sets, EPABX etc. Budgeting & MIS: Responsible to maximize returns from suppliers and outsourced support and aggressively seek to better value for money. Generate and maintain MIS to budget within minimum variance, Accountable for preparing and maintaining North India regional budget and annual plans to handle facilities as per the organizational wants, Audit Regional and Branch Offices administrative expenses: Budgeted for the year V/s spent money on a monthly basis with Zonal Finance Department and Regional Finance Departments

Managing the installation and functioning of office machinery & equipments viz

Bill Payments: Check, verify & process all bills of all North Branches for speedy
payment.

Cabs Hiring: Hiring of cars from the local transporters as well as from the companies
both on short term as well as on fixed basis and making service contracts.

Special Assignments: Handling various confidential assignments of Chairman of


Murugappa Group, BOD, BH, ZM and GMs office.

Vendors Management :Involved in identifying vendors and invite proposals from


them, Negotiating and finalizations of vendors for various services, Ensure maintenance of minimum inventory level thereby maintaining good business relations with vendors, Verification, processing and timely payment of all service related bills.

Fire Safety and Training: Fire Training for security staff, Emergency Action in case

of fire, Training & Operating all type of Fire Cylinders, Evacuation Process in case of emergency, Operation knowledge of Fire & Safety equipments, Fire Hydrant, Hose Reel Sprinkler System & Smoke Detector.

Assets Management: Asset management through software for tracking facilities
