POSITION DESCRIPTION Functions & Marketing Coordinator

Reports To: Liaises with Internally: Liaises with Externally: Hotel Manager, Restaurant & Function Manager Hotel Manager, On-premise, Kitchen, Head Office, Gaming Staff and Retail Staff Customers, Suppliers, Security Providers, Compliance Officers and Emergency Services

PURPOSE OF THE POSITION: The Functions & Marketing Coordinator is vital to the success of our Hotel and can affect the culture of the entire organisation. As Functions & Marketing Coordinator, you will be hands on in overseeing and reinforcing stock and cash control, employee and patron safety and the efficient running of the day to day operations of the Royal Hotel. Your support in managing and leading the team with the reinforcement of our five core values; Our People, Customer Service, Product Quality, Cleanliness & Presentation and Systems & Procedures is key to supporting your effort to ensure repeat business. You will also be responsible for supporting your staff in demonstrating and delivering these core values on a daily basis. Your encouragement and development of the Restaurant and Function team is an ongoing and extremely important part of your role. You are also required to ensure that all relevant laws regarding Liquor Licensing, RSA, RSG, Tobacco and Workplace Health & Safety are adhered to at all times. This is an important role in contributing to the friendly atmosphere and success of our Hotel and must be performed competently, consistently and with pride. MAIN DUTIES: Creation of effective marketing and promotions to attract more function bookings Coordination of functions with the organisers, bar and bistro staff Liaison with clients regarding their functions Execution of the functions, including decoration, running sheets, meet and greet clients, end of function including tidy up and settlement Follow up of each function, including confirming with clients that the function met their requirements, seeking testimonials, and seeking feedback for improvement Creation of effective marketing and promotions of other activities (such as bands and entertainment, raffle promotions, keno promotions, etc) to attract more patrons to the Club Assist management with the booking and coordination of entertainment, events (such as Melbourne Cup Day) and promotions Work with the Hotel Manager to achieve budgets across Restaurant Department Support the Hotel Manager in executing standard operating procedures and support implementation in the Restaurant Ensure a high level of customer satisfaction and repeat business Supervise and manage all direct reports to a very high standard Maintain safety, security and cleanliness standards at all times Support the management of key risk and potential risk areas of the business. This includes the management of cashflow, finance and governance requirements, occupational health and safety, intellectual property and public liability protection Support all on the job training across the Restaurant Department

Support the implementation of on the job training in all aspects of Food & Beverage service Support the Hotel Manager and Head Chef in the management of the kitchen and achievement of departmental KPIs Oversee the management of the Restaurant, Functions and Events, including the achievement of departmental KPIs Ensure appropriate security measures are in place daily Ensure complete compliance to all Liquor, Gaming and other Laws and Regulations relating to the Industry Ensure compliance with Workplace Health and Safety Regulations Responsible for the security of cash and stock onsite, ensuring all stock control and cash handling procedures are implemented at all times Actively participate in personnel discussions, such as counselling, performance management and general staffing matters with all department heads and ensure actions are followed through Attend Staff Meetings on a monthly basis or as required and support initiatives discussed at meetings Carry out any other duties as instructed from time to time

FINANCIAL RESULTS: Achieve agreed business targets for: - Gross Profit - Sales Turnover - Wages to Sales - Stock Control - Average sales per head - Upselling bar, coffee and desserts Adhere to overhead and expense targets as set by Hotel Manager

CUSTOMER SATISFACTION: Take responsibility to resolve 100% of any customer complaints or concerns Coach and train all employees to consistently exceed customer expectations Encourage customer feedback through Customer Feedback Forms provided in the Hotel

REGULATIONS: Work Health and Safety Act 2011 Anti Discrimination Act 1991 Liquor Act 1991 Building Fire & Safety Regulations 1991 Comply with the Employers Policies and Procedures

TRAINING: Attend all Staff Meetings Attend and actively participate in training programs as required by the Employer Maintain current Responsible Service of Alcohol (RSA) Qualification

ESSENTIAL CRITERIA: Current Qld RSA & RSG Certificates or ability to obtain them within 30 days of hire Proven leadership skills with a minimum of 1 year experience in a similar role unless promoted internally Ability to multi-task Ability to work in a fast paced environment and remain calm under pressure Reliable, punctual and trustworthy Ability to handle conflict and deal with difficult customers Excellent verbal and written communication skills High standard of personal presentation and hygiene Ability to work according to rosters provided (including nights and weekends) Ability to lead the team and encourage a team environment Follow direction provided by Directors while maintaining a positive attitude Proactive approach to completing the task at hand Ability to work unsupervised Good knowledge of overall Hotel operations Good knowledge of Liquor, Gaming & Tobacco Legislation Passion for providing excellence in customer service Immediate knowledge of MS Office Programs Customer service excellence training

PREFERRED CRITERIA: Completed or currently undertaking Advanced Diploma in Hospitality Current WHSO Qualification Current Qld RMLV or ability to complete qualification upon employment Knowledge of Point of Sale and Stock Control System Knowledge of time and attendance programs Desire to create a long lasting career in the hospitality industry Current First Aid Certificate Current Drivers Licence
