INTRODUCTION

LEAP application is developed to ease out the Consumer & Office Business Modern trade PO execution and tracking operation by supply chain & business respectively. The entire application is designed and created keeping in mind user ease of operation, artificial intelligence are built in where ever we find it necessary so that user get maximum benefit with less interference. LEAP is a web based application, which can be accessed any time, anywhere through 3M private network. Address of LEAP http://169.8.161.171/leap/.

2. ROLES & RESPONSIBILITIES For the success of any system, it is very important that, there is absolute clarity in the Roles & Responsibilities of user using the application. Who is accountable of what activity, etc. Who is Responsible? Responsible person is the doer of the task or activity. Responsibility can be delegated or transferred. Who is Accountable? Accountable person is the person who has the final authority and accountability to a given task. This person will be questioned if the responsible person do not do his task as prescribed. Accountability cant be delegated or transferred. Who is Consulted? Consulted are the person from whom advice is taken. Who is Informed? Informed are the person who are informed after the task is completed.

DOCUMENT PURPOSE

This document can be used as a reference or user manual by the supply chain & business team. Users can refer to this document to help them navigate around the LEAP application.

6. HOME PAGE

LEAP Server is referred as backend agent which is handling automation tasks. Things to Note in this screen: LEAP Server Status: Displays the server status, whether LEAP is running or not. POs from shared folder to LEAP Server: POs saved in shared folder by CSR will be transferred by this batch schedule. Correct PO submitted to Internet Gateway Pos once scanned and submitted as correct, this batch run extracts these Pos and submits to web gateway. Error Pos in the welcome bar By clicking this, you can view the failed in scanning Pos by LEAP scanner. My View in the menu bar You can create your regular menus to this menu,this will ease your maneuvering in LEAP application. Message Board Message board displays messages & feeds by admin.

7. TRANSACTION MENU

Transaction Menu is the only opera operational tional menu for CSR & Business, hence its vital to understand this menu in depth. Once the POS are scanned and verified, its flagged as Order if found correct and Errror if found in-correct. s you can view by clicking Pending Pos Menu. All the Error POs Pending PO Screen

In correct or error POs can viewed & tracked in this screen, things to observe in this screen. Post any changes in this page, you must refresh the page using Refresh option.

Header - Process Error POs POs-Pending for action(2) Header shows number of incorrect PO(s). From Date/To Date : You can filter/view in correct Pos based on date range too.For example, instead of all the pending incorrect Pos, you want to view only todays or this wee weeks ks incorrect Pos. You can do the same using this field. Customer You can filter further based on Customer.For example, instead of viewing all customer error Pos, you want to view only Hypercity error Pos. Action Bar Action Bar will allow you to Revalidate & Delete a PO. Action Bar also has controls to view no of Pos in a screen,default is 5 POS. i. Revalidate In case of changes made to the master post validation, select the respective PO and use this button & then click Refresh. ii. Delete In case you are e expecting xpecting a new correct PO in lieu of current inin correct PO, delete the current PO, so that the new PO with the same PO number will be allowed by LEAP, else the new PO will be considered as duplicate. To View details of errors in PO, click on the PO Number. Action can be taken in error PO 1. Ignore If user clicks on this button, line will be ignored and will not be sent to execution to ERP. 2. Override If this button is clicked, line will be executed considering the correct detail as per 3M record, while user clicks this option user will be prompted with remarks popup.

3. Change Stock Code In case user want to use alternate stock code instead of linked stock code, this option can be used.

While you use this option, please note, when you select alternate stock code, present stock code status will be changed to Inactive for the respective w/h.

View PO Details Screen This his screen provides all the details and information you need to know for a PO. What are the various information you can n get in this screen PO Execution Status o Error PO is having some error and cant be executed. o Order PO is correct, but still not sent for execution. While the PO(s) are not sent for execution, at this point of time, if user want they change the stock code using Change Stock Code option. o XML Correct PO got converted to XML. o IGATE PO sent to internet gateway through which it will be uploaded to BPCS. o Billed PO has been uploaded successfully into BPCS, it might be in SAL or OPEN. PO Status in pictorial format

Type Filter Based on billing location, this filter shows o 3M Location 3M CFA Locations Pos will be auto executed for these locations. o CSA- 3M CSA locations, POS will be only scanned and checked for correctness, however for execution, ASM must download the POS and forward it to concern CSA.

o Distributor POS will be only scanned and checked for correctness, however for execution, ASM must download the POS and forward it to concern Distributor. Download PO o You can download a single PO or multiple Pos, based on your tick. Tick(Figure1.2) the Pos you want to download and then click on download(Figure1.1)

DOWNLOAD To download incorrect Pos report in excel all at once, use the menu Error Pos Report. To download all POs status report with billed quantity, use the menu PO Download Report.

SETUP Use this menu to change your password. From Setup Menu go to User Setup

Click on Change Password, now provide the new password 2 times. My View MENU This menu will be empty initially when you log in, as you need to fill the menus or operation which you want to do directly on a regular basis. My View is equivalent of Favorites in your browser. For example, checking pending PO is one screen which you want to view frequently. In case you want to add Pending PO under My View View, go to Pending PO screen and d then click Add to MyView place at the bottom right. Curiosity corner - FAQs


Q1. PO not getting uploaded to ERP(BPCS) even though its correct. Check the status of the PO in View PO Details screen, if its showing IGATE and its more than 3 hours past, escalate the same to technical LEAP. Q2.Month end can I trigger the PO to scan from shared folder, instead of waiting for the server to run at the stipulated time? Yes, you can. Use the menu Schedulers under Transaction Menu & click on Process PDF files from location. Q3.What is the Lead time to update Price in LEAP? One must provide at least 4 working days to get the same registered in ERP & LEAP.Hence any promotional price to load from April 1st, admin MIS team should get the information not later than by March 27th. Q4.What is the Lead time to update Article Master in LEAP? MIS must be informed in advance of 4 working days to configure the same. Post PO generation if the new article code registration comes, it will not be entertained and the PO will be executed without the new article code. Q5.How the Customer Master & Ship to Master is updated in LEAP? Bill To Customer Master will be updated by admin MIS automatically at the time of new customer creation. But for new Shipto Master, respective location CSR must inform to admin MIS. Q6.What happens if any A/c change the PO format? As you know each A/c template is configured in LEAP and hence the same is recognized by the application, hence, any minor change in the PO Template must be informed to technical MIS at least a month in advance. You must communicate the same to A/c that any changes in pipeline technical MIS must be informed in advance.

Q7.I do not have direct billing, why should I follow LEAP? Even though your Pos are getting executed directly but still you must use LEAP to enjoy the following benefits : 1. Absolutely correct Pos are only getting executed by your CSA or Distributor. 2. You do not waste time in checking the correctness of the PO. 3. You avoid any kind of Debit Note or Credit Note by the A/c in future by executing 100% correct PO. 4. You can track & monitor the Pos are routing through LEAP.

Q8.I am not able to save PDF to shared folder? You are not authorized to use the shared folder, contact technical MIS. Q9.If my reportee(CSR) is going on leave, how can I get the mail alerts of executed Pos? Go to Master, Warehouse Master & select the User Name for the respective warehouse. Q10. Can I(CSR) update Return material in LEAP? Yes, LEAP is having screen to update material return by A/c. Go to Transaction =>Update PO Qty & select the PO you want to update. Mention the delivery Qty & Remarks for Return. Q11.If I (ACM) want to block 1 or set of Article to block from being executed even though the PO has come, how can I do the same? Contact admin MIS and provide the article code, warehouse & A/c Name. Once the same is updated by MIS these lines will be blocked by LEAP for being executed. ACM s, must inform back admin MIS to unlock the same. Q12.What are the important mail ids? Following are the important mail ids : 1.Admin MIS leapadmin@outlook.com 2.Tech MIS leaptech@outlook.com
