Oct 19 Meeting Minutes RJ Maru (Jillian) Pls take note guys!!!

<3 MKGT LETTER October- drafting of letters First Week of Nov- Final letter 1. Make letter more personal to sponsors 2. Customize per industry 3. Make benefits more integrated to companies (need to brainstorm on this) 4. Rebrand Adhoc in the letter 5. Customized letter for previous adhoc sponsors TARGET 1. Platinum- at least 5 2. Cash target- 380k 3. At least 50% companies give cash 4. Xdeals- at least 20% of xdeals get liquidated TIMELINE 1. Nov- at least 10 sponsors, 80% sure (negotiating) 2. Dec- at least 5 3. Jan- at least 10 + other minor/tiny sponsors *quality sponsors (w cash/ solid xdeal) 4. Last week of Jan- LAST call for sponsors 5. Feb- closing and negotiating deals (first wk) *At least 3 wks before- all companies finalized + super last call for pahabol sponsors *At least 2 wks before- all logos in and deals finalized DATABASE 1. Online- googledoc that everyone constantly updates

Dropbox- I will be the one to update each one's excel file of database for formality DISTRIBUTION OF WORK & REMINDERS 1. not accdg to industry per person 2. each will use their personal contacts + addtl companies they want to contact (making sure no one will overlap , I will check each ones databases constantly + pls check on your own the other database before adding a contact to yours) 3. ALL negotiations must go thru me first. DONT agree w any deal until the whole mktg team agrees. ALWAYS push w sponsors and be makulit esp if its a great asset for the event. BUT remember to keep good relations with all potential sponsors and those companies. 4. In case company needs a meet-up, pls let me know first 5. Pls be organized! J *Basic mktg- Call, get dets, update database, edit mktg letter, save as PDF, email w specific comp info using email body, follow up OTHER TEAMS- COORDINATION 1. Creatives and promo - We will send them logos, sponsors, give them access to mktg letter (specifically made for videographer, shoot venues, printing, etc) so they/we can edit accordingly 2. Log - We will give sponsor needs (log related)- booth, space allocations, etc, give them access to mktg letter (specifically made for venue, lights and sounds, etc) so they/we can edit accordingly, other requests of sponsors 3. Fin - We'll look for companies for their brandsale, food sale, etc, coordinate with their plans for the whole sem + timeline *Request from all teams: Let our team know at least TWO wks before if u will need a certain letter for a company, need us to look for some specific sponsor. CHECKLIST BEFORE PLANSEM
