In order to help you plan your company’s participation at GITEX TECHNOLOGY WEEK, well in advance, the
information contained in the Exhibitor Manual will provide you with all the information you need for a successful
exhibition.
The Manual has been divided into two sections - “Information” (Show Information, Rules and Regulations) and
“Action” (Order Forms). For your convenience, the service order forms are collated separately from the Manual.
Please take time to review this Manual carefully, taking note of appropriate deadlines and responsibilities.
Kindly nominate one person to co-ordinate and plan your participation, liaise with us and adhere to the required
deadlines. The Exhibition Timetable and Checklist on Pages 2 to 5 are a useful start. We all aim to give you
good service, please help us by returning your completed order forms on time.

ADMISSION POLICY − EXHIBITORS
EXHIBITOR BADGES
Exhibitors and their personnel who need to access the exhibition halls to be present at their stands during
GITEX TECHNOLOGY WEEK 2009 must register for an EXHIBITOR BADGE. Exhibitor badges are
strictly reserved for use by exhibitors and their stand staff and should not be transferred or “lent” to non-
exhibiting personnel/visitors.
Any visiting staff should register as a visitor. No request for an exhibitor badge should be made for any
person below the age of 21.
An Exhibitor Badge permits access to the exhibition halls during the build-up and open days of the show.
Kindly note that exhibitor badges requested for visiting clients will not be actioned as these badges are
exclusively issued for stand personnel only.
Badges must be worn by exhibitors at all times, as strict security will be maintained at the exhibition site.
Exhibitors may be inconvenienced at the entrances to the halls if they do not carry their exhibitor badge.
The number of badges will be allocated according to the size of the stand.
All requests for Exhibitor Badges have to be made ONLINE through our website www.gitex.com
commencing 02 August, 2009 till 20 September 2009.
Exhibitors will be provided with a personal log-in as well as a password by us by 02 August, 2009 which
will allow access to their secured exhibition area through www.gitex.com

ALL REQUESTS FOR LATE BADGES / ADDITIONAL BADGES OR CHANGES ONSITE, AFTER
20 SEPTERMBER 2009 WILL BE CHARGED @ AED 55 PER BADGE.
All exhibitors should register at the Organisers Office, Hall 4, on arrival at the Exhibition Centre to collect
their badges and Exhibitor Information Pack, commencing Wednesday, 14 October, 2009.
TRADE VISITORS
In order to maintain enhanced and quality visitors, GITEX TECHNOLOGY WEEK will continue to be a
TRADE and BUSINESS event only. The admission charge will be as follows:
Complimentary one-day trade invitations will be sent to exhibitors for mailing to key clients. Exhibitors can
extend these invitations to their clients and prospects who will be visiting the exhibition.
The number of trade invitations issued will correspond directly with the size of the stand.

ADMISSION POLICY − CONTRACTORS
CONTRACTOR BADGES (Valid for build up and tear down period only)
The following regulation has been introduced by our Security Department on the issuance of Contractor
Badges, as required by the Dubai Naturalization and Residency Department. Kindly follow the rules and
regulations hereunder to ensure a smooth work process and to avoid any unnecessary inconvenience on
site.
LOCAL CONTRACTORS (WITHIN THE UAE)
1. Each member of your team requires to carry a Contractor Badge procured from our Security
Department upon depositing either the Labour Card / UAE National ID Card / UAE Driving Licence /
UAE Government Organisation ID Card.
2. Each individual will have their Labour Card returned to them upon returning the Contractor Badge.
3. Each badge will be charged AED 10 and is valid for the complete build up and teardown period.
4. A fine of AED 100 will be payable on a lost Contractor Badge.
5. Permanent Badges: Should you wish to purchase a permanent badge, a representative of the
company should provide the Protocol and Security department with a list of all staff requiring the
permanent contractor badge. The submission should include the following:
- A valid trade license copy
- A company letter requesting the permanent DWTC contractor badges and detailing the list and
details of the staff.
- Passport copies with valid visa for each staff.
- 2 recent photographs for each staff.
- The completed Contractor Badge Application Form
- An annual fee of AED 50 per badge. (for DWTC Exhibition Complex OR Airport Expo Dubai)
(Fine of AED 100 will be imposed on a lost badge)
Note: The Company is responsible to return the badge to DWTC when the applicant is no longer under
their sponsorship and / or when the badge has expired.
INTERNATIONAL CONTRACTORS:
Kindly provide our Security Department with your passport copy together with payment of AED 110 per
Contractor Badge. The deposit of AED 100 will be refunded upon returning of the Contractor Badge.

The collection points are as follows:
1. Main Entrance Cabin in the Marshalling Yard behind Hall 4
2. Service Yard behind Sheikh Rashid Hall / Sheikh Maktoum Hall
3. Security Control Room at Hall 4 (beside Adnan Jewellers)
4. The Protocol and Security office located on level 1 above the Exhibition Hall 4 (for permanent
badges only)
The Contractor Badge is the property of DWTC and must be used in accordance with the agreed terms

Kindly note that there will be no exemption to the above regulation and strictly no admission will be
permitted without the Contractor Badge.
SPECIAL CONTRACTOR BADGES – VALID FOR THE OPEN PERIOD OF THE SHOW
Special Contractor Badges are available to contractors by paying AED 55 per badge and can be ordered
on site. However, these badges will be issued at the discretion of the Organiser and is only for the
purpose of essential services to be carried out on the stands.

OFFICIAL STANDFITTING CONTRACTOR
Eastern Exhibition Services Limited are the Official Standfitting Contractor for GITEX TECHNOLOGY WEEK
GITEX 2009. They are responsible for stand servicing and maintenance of Shell Scheme stands throughout
the whole period of the exhibition. Please find below their contact details:

All electrical work on a Shell Scheme stand should be done by our Official Electrical Contractor and items
not supplied and fitted by our Official Electrical Contractor may be removed from your stand.
The cost for providing single-phase mains supply and connection, including energy consumed to Shell
Scheme stands is covered by the stand rental charges. For complete details and specifications on Shell
Scheme stands, please refer to the Eastern Exhibitions Service Manual.
All additional standfitting and display must be contained within the Shell Scheme structure and may not
exceed 2.40mtrs in height.
No projections into gangways will be permitted; neither may additional display materials be fitted to the
Shell Scheme Fascia.
Those exhibitors who booked Shell Scheme stands and then get their own contractor to build a special
stand, kindly ensure that you advise the contractor that the total height of the stand must not be more than
2.5 meters. Proposed stand designs must be submitted to the Senior Operations Manager - Exhibitions for
approval by 01 August, 2009. All such special stands will be treated as Space Only and bare floor space
will be provided.
No Shell Scheme options will be made available and power supply will have to be ordered separately.
The Exhibitors Name and Stand Number will be in standard 50mm white Helvetica Medium Capital
lettering and fixed directly to fascia panel. The fascia panels will be blue with white lettering. Please
complete and return Form 5 before 17 September 2009.

FURNITURE
The Official Standfitting Contractor offer furniture such as counters, shelf units, display panels and plinths
on a rental basis for the duration of Exhibition. Full details, specifications, prices and order forms are
available in their Service Manual. Exhibitors, please ensure that all standfitments and furniture are
ordered through Eastern Exhibitions only.
ELECTRICAL SUPPLIES
Electrical installations of Shell Scheme stands require special fastenings, clips and brackets to fit the
aluminium extrusions. Under no circumstances may exhibitors modify this work or carry out their own
installations.
The standard of mains supplies at the exhibition are single-phase main 220 volts 50Hz and three-phase
main 380 volts 50 Hz. General lighting is provided in the Halls.
The Official Electrical Contractor will be solely responsible for the installation of electrical cables and
necessary switchgear between the mains supply and each individual exhibitor’s stand requirements. The
Organisers reserve the right to disconnect any installation, which, in their opinion, is dangerous or likely to
cause annoyance to visitors or other exhibitors. Should action be required by the Official Contractor to
render any installation safe for use, the exhibitor may be charged for this service.
EARTH LEAKAGE
Each Exhibitor shall provide exact details of earth leakage to prevent tripping and shall have provided by
the contractors, earth leakage (RCD/ELCB) protection (30 mA for lighting and 100mA for exhibit power)
suitably positioned beyond the termination point of the supplied mains cable. Please note that all power
supply to the stands will be turned off 15 minutes after the show closes every evening.
There are specific regulations concerning stairways, ramps, exits and means of escape. For further
clarifications, please see Manual on Standfitting and Electrical Regulations. These plans, sections,
specifications and written particulars shall be submitted in a clear and intelligible manner and to a scale of
at least 1:200.
These details are to be provided by 01 August, 2009 and accompanied by Form 6 (Notice of Intention to
Erect a Stand and/or Carry out Electrical Installations).

HEIGHT GRADING SYSTEM
The maximum height for Space Only stands is as follows, including name sign or trademark. All Space
Only exhibitors must follow the height grading system:
• Halls 1, 2, 5, 6, 7, 8, Sheikh Maktoum Hall, Sheikh Rashid Hall and Sheikh Saeed Hall – the maximum
height allowed – 6 metres
• The maximum height between Halls 2 and 3 as also between Sheikh Maktoum and Sheikh Rashid
Hall (under bulkhead) is 4 metres.
• Zabeel Hall – maximum height allowed – 6 meters. In the Link between Zabeel Hall & Hall 1 the height
allowed is 4 meters.
Space Only exhibitors, are reminded that the use of walls is restricted on the open sides of the stand.
We expect exhibitors to provide access to their stands on all open sides. The following guidelines must
be observed. Any walling shall only:
1. be located as centrally as possible within the stand
2. occupy a maximum of 20% of the total stand area
3. in the event of construction of any walls on the perimeter of the stand
a maximum walling of 30% of the total perimeter length is permissible.
It is the responsibility of exhibitors taking Space Only to make their own arrangements for the provision of
platform for their stand area, which would facilitate the passage of cables. The platform should have
timber finished edging and all corners should be rounded avoiding right angles. The finishing of stand floor
edges in metal strip sections is not allowed as they often leave sharp splinters and snags where they have
not been finished correctly. The platform / flooring must clearly demarcate the contracted space only.
However, kindly note that the height of the platform for all stands located in the Sheikh Rashid Hall must
be a minimum of 10 cms.
Provision for a special ramp for handicapped visitors on stands with platform is a MUST, with sides clearly
defined at not more than 1:12 gradient. We therefore, request exhibitors to adhere to this requirement.
On divided sites, exhibitors are responsible for erecting and decorating side and back walls facing onto
your stand areas to a height of 2.5m. Walls (above the height of 2.5m) overlooking adjoining stands must
be clad on both sides and finished in plain colour only, by the exhibitor who has them erected. All walls
must be of one level only. Exposed walls must not display copy, logos or graphics or other advertising on
the neighbour’s side.
In the interest of the Exhibition as a whole, it may be necessary to remove or alter part of a stand. If we
feel this action must be taken, this will be at the expense of the exhibitor concerned.
Exhibitors are responsible for their contractor’s observance of all rules and regulations, and are liable for
any damages arising directly or indirectly for any infringement.
MATERIALS
Shall be of a suitable nature and quality in relation to the purposes for and conditions in which they are
used, adequately mixed or prepared and applied, used or fixed as to adequately perform the function for
which they are designed.

STRUCTURAL STABILITY
The structure of a stand shall safely sustain and transmit to the floor the combined "dead" and "imposed"
loads without any deflection or deformation as will impair stability.
Any beams and or flooring that are for the purpose of lateral distribution shall be designed to carry a
uniformly distributed load per square meter of not less than 1kN/m2.
Any imposed loads shall be calculated as being equivalent to a uniformly distributed load per square meter
of area measured on plan of not less than 5 kN/m2.
Details must be submitted to Senior Operations Manager - Exhibitions for approval by 01 August 2009.
FIRE PRECAUTIONS
All materials used in constructing any wall shall be either:
• non combustible material
• flame resisting plastic
• flame resisting boarding
• timber of any thickness, treated so as to be flame resisting
• timber of thickness more than 25mm
• chipboard or blockboard more than 18mm thick
All materials used for decorative finishes to stands shall be:
• able to pass a test for flammability or for surface spread of flame
• be fixed taut or in tight pleats to a solid backing
• be secured at floor level
• shall not ignite when subjected to a flame for 10 seconds
• shall not have an afterglow when subjected to a heat source for 10 seconds
• Any paint used shall be water based and the use of paint sprayers in the Halls is not permitted.
ELECTRICAL
Electrical installations shall be of a nature to ensure safety in the utilisation of electricity and shall be
carried out in a competent manner. Where a fault becomes apparent the equipment shall not be used
until the fault has been rectified.
A separate mains cable will be supplied to each stand and each stand should have separate circuits for
lighting and mains. It is the responsibility of the stand electrical contractor to supply a distribution board,
fused isolator or circuit breaker, fitted with an earth leakage protector of not more than 30mA for power
and 100mA for lighting, suitably positioned in an accessible position and clearly labelled.
Guidelines regarding electrics at exhibitions:
• Each installation shall be effectively bonded to earth.
• Wiring shall be 3 core twin and earth not less than 1.5mm cross sectional and be in PVC, elastomeric
or other plastic sheathing.
• Joints shall not be made except when connecting into a circuit and insulated screwed connectors
shall be used and totally enclosed in insulated enclosures.
• All wiring shall be effectively protected and fixed to prevent damage and risk of injury.
• Cables placed under carpets are prohibited.
• Power circuits for exhibits are to be designed with consideration taken for earth leakage and suitable
protected.
• Test equipment and check wiring connections before connecting to stand circuits.
• The use of one socket per piece of equipment is recommended.
• Extension leads are not to be used.
• Adaptors should not be used.
• Never put 2-pin plugs into 3-pin sockets.

General Guidelines
• Where it is proposed that apparatus involving a specific risk of fire is to be operated, then Dubai World
Trade Centre (L.L.C.) must give their approval.
• No fixing, attachment or penetration of any part of the fabric, structure or floors of the building is
permitted.
• Suspended stand fittings will not be permitted.
However Dubai World Trade Centre (L.L.C) may permit suspension, from the hall roof, of banners or
overhead-suspended light banks provided that:
1.) All primary roof points needed should be ordered through our Events Services Department.
2.) They form part of an overall scheme of decoration approved by the organiser.
3.) Application is made to the Senior Operations Manager - Exhibitions by 01 August, 2009
4.) The proposed suspended units do not overstress the roof structure.
5.) Work is carried out by the exhibitor’s contractor.
6.) Sufficient time is available during the tenancy to install and remove.
7.) Full details are submitted at the time of application.
Installation of overhead suspended lighting rigs, are subject to limitations on weight loading. To
ensure complete safety, it is imperative that we are provided with, a detailed drawing specifying the
amount, dimension, load, proposed suspension points and positioning of the banks which require to
be suspended. This drawing along with the stand design needs to be submitted to us by 01 August,
2009, for checking prior to issuing final approval.
For detailed information and costs, please refer to the Rigging Order Form No. 11
• Adhesive tapes to fix carpets must be easily removable without damage to the floor. Packing tape,
masking tape, gaffer tape and glue are not to be used. Any tapes not removed after use will be
removed by Dubai World Trade Centre (L.L.C.) and a charge of AED 50 per linear metre will be
made.
• Trenches in the floor are not to be used except by authorised personnel of Dubai World Trade Centre
(L.L.C.).
• Any grinding, cutting, welding machines are not allowed to be used in the exhibition halls.
• Any electrical operated wooden cutting machines are not allowed to be used in the exhibition halls.
• Any type of spray paint (compressed paint) is not allowed to be used in the exhibition halls.
• Any type of air conditioning units are not allowed to be installed on stands inside the exhibition halls.
• Any erecting of scaffolding should be inspected by a Third Party inspector, appointed by DWTC
Engineering.
• Any access equipment, used inside the exhibition halls, has to be electrically operated only.
No boom lifts or scissor lifts are allowed to be used within the DWTC premises without approval.
All Contractors must advise the Organiser well in advance on the use of any Boom lift / Cranes etc, in the
halls. Without prior approval access will be denied. Please advise on the type, duration and contact
mobile no. of the responsible person.
SOUND CONTROL
Exhibitors are requested to keep the noise levels of videos, music systems, etc., down. As a rule of thumb
to volume levels, they should not interfere with normal conversation on neighbouring stands.
Sound levels recorded at adjacent or opposite stands should not exceed 70 db for all speech, music and
sound effects.
If you plan to demonstrate sound equipment on your stand, please complete Form 4A and return the same
to us.

GENERAL RULES AND GUIDELINES
i) Exhibitors must ensure that all gangways adjoining the stand are not blocked during build-up and
break-down to a degree, which inhibits the movement of other exhibitors and freight. The exhibitor
is also responsible for ensuring that no obstruction is placed in the aisle adjacent to his stand
throughout the open hours of the exhibition. The Organisers reserve the right to restrict the area of
scaffolding or plant and limit the times during which it shall remain in the Halls or on the stand.
ii) During the build up and dismantling periods, exhibitors and/or their appointed contractors are
responsible for the removal of stand construction debris/rubbish on a daily basis. All aisles must be
left clear. If this is not adhered to, exhibitors/contractors will be liable to a fine involved in removing
the debris.
iii) No part of any stand or exhibits including fascia, signs, lighting, corner posts or other fittings shall
project into or overhang any gangway or adjacent stands or obscure any fire or exit signs, or be
suspended from the roof or facility structure. Additionally, any display or other items attached must
not project over the frontage of space taken by another exhibitor.
iv) Logos, flashing lights, lasers and the like may not be used outside the contracted stand (i.e.
exhibitors cannot shine logos onto the ceiling on the halls’ walls.)
v) It is strictly prohibited to affix nails, hooks, tacks, screws, adhesives, paint or similar items to the
floor, walls, ceilings or other parts of the premises.
vi) Demonstration and presentation may be performed as an integral part of the stand activity.
However, exhibitors should exercise discretion towards other exhibitors.
vii) All sound devices/image projection equipment must be placed in such a way that the sound/image
is directed downwards and into the stands and not towards or across the aisles.
viii) The exhibitor is not allowed to paste or otherwise to affix or exhibit advertisements anywhere in the
exhibition Halls except on his own stand. The exhibitor may not distribute handbills,
advertisements, photographs or other printed matter from the gangways and outside areas of the
exhibition.
ix) The exhibitor is not permitted, and shall not permit others, to connect or otherwise interfere with the
electrical, gas, water or other fittings of the Halls and shall not introduce into or use in the Halls any
supplementary plant for the generation or supply of electricity or of other means of artificial lighting
or generating power.
x) Exhibitors providing their own displays must ensure that these are completely finished including
pre-mounting of samples, exhibits, lettering, photographs, etc., on plywood or other suitable board
before delivery to site.
xi) It will not be possible for exhibitors to obtain on-site services or labour for the erection of their
stands and displays unless prior arrangements have been made. If on-site service or labour is
required, please contact the Official Standfitting Contractor for the rates. Advance notice of at least
one month must be given.
xii) The floor loading capacity is 1500 kgs per sq m on all main floor areas in the Halls. However, the
floor loading capacity in the Sheikh Rashid and Sheikh Maktoum Halls is only 500 kg per sq m.
Exhibitors with heavier exhibits should provide the Organisers with details of the exhibits together
with their exact position so that they can ascertain whether special weight spreading facilities are
necessary.
xiv) Maintenance of stands and delivery of stock, catalogues, etc., during the exhibition period should
be carried out before the exhibition opens or after it is closed to visitors.
xv) Any vehicles displayed within the exhibition must contain no more than quarter of a tank of fuel,
have battery leads disconnected and have locked or otherwise secured fuel filler caps. A car arrival
schedule form will have to be completed in the event you propose to exhibit any vehicle.

xvi) Time of Operation of Electricity Supplies
Please Note:
The Senior Operations Manager - Exhibitions must be informed by at least 01 August 2009 to give their
written approval, where any of the following is proposed:
· Any material, exhibit or substances that are of a hazardous, dangerous, noxious, explosive or
objectionable nature
· Any recording, broadcasting or use of radios (two-way or for microphones), film sound, music or video
or any other presentation likely to generate excessive noise

EMERGENCY PROCEDURES
FIRE
The Dubai World Trade Centre is protected by a sprinkler and fire alarm system. Should you discover a
fire:
1. Break the glass on the nearest fire alarm point. These are located at each Goods and Exit / Entry
doors and strategically placed around the Centre;
2. Telephone the DWTC Control Room on (+971 4) 308 6700, or Exhibition Security Control Room on
(+971 4) 308 6199 / 6299 giving the location and nature of the incident.
3. Calmly notify adjoining Exhibitors of the situation and, only if safe to do so, tackle the fire with the
appropriate fire extinguisher.
EMERGENCY ANNOUNCEMENTS
In the event of an emergency, a pre-recorded voice message will be sounded confirming that the alarm
has been activated and that the situation is currently being investigated.
If it is established that there is no need to evacuate the building then the message will confirm this.
EVACUATION PROCEDURE
If it becomes necessary to evacuate the building, a pre-recorded voice message will be activated
instructing everyone to leave the building by the nearest exit.
Security staff will assist Exhibition staff and visitors to the nearest exit. Please make your way to one of
the following assembly points:

SHIPPING AND TRANSPORTATION OF EXHIBITS
Airlink International UAE/ Agility Logistics will take care of the shipping and transportation requests of our
exhibitors. They have total responsibility for the movement of all exhibits on the exhibition site. Their

We recommend that exhibitors use the services of Airlink International UAE/ Agility Logistics as they have
experience in handling exhibition shipments and will supply comprehensive pre-exhibition, site and post-
exhibition services.
Storage
Cavities and spaces around stands shall not be used for storage of empty crates, cartons, boxes or
packaging material. Exhibitors bringing material into the halls for display purposes must consider the
storage arrangements for any spare materials or packaging.
The rears of the stands are designated utility areas and do not form part of the exhibition or sold space.
It is a requirement from Dubai Civil Defence to keep a 1 meter clear gap between stands and the walls.
Direct arrangements for storage of empties and show consumables should be made with the Official
Freight Forwarder. Otherwise, exhibitors must arrange for their cartons and cases to be transported
back to their own premises.
DWTC reserves the right to remove/dispose of any cartons, cases and / or packing material left in the
exhibition halls/behind stands. Any cost incurred will be borne by the exhibitor.

TELECOMMUNICATION SERVICES
Telephone and facsimile services are provided by Dubai World Trade (L.L.C.). The telecommunication
facility will flow from state of the art technology provided by a highly sophisticated PABX system. Any
network connections (to any hosts within or outside UAE or Internet) made using the PABX extension is
entirely your decision.
• The system can provide telephone and facsimile connections at local, national (UAE) and
international levels as required. Please indicate your choice on the order form. Each telephone
can be code locked to prevent un-authorized use.
• Orders through PABX - Charges are payable 100% in advance and cover installation,
connection, line rental, equipment rental and purchase of units against line usage. Should your
line usage exceed your deposit during the exhibition, the option to purchase additional units is
available. (A statement, including a printout of line usage and any refund will be sent to you
following the exhibition). Service will not be provided without payment.
• Orders received 14 days or less before the start of the exhibition will be subject to a 100%
surcharge and may not be processed.
• Devices attached to Etisalat line require to be 'type approved'’ by Etisalat. Devices which are not
'type approved' cannot be guaranteed to operate. Installation of exhibitor-provided equipment is
entirely at the exhibitor's risk and DWTC is unable to take any responsibility for malfunction or
failure to operate.
• If at any time during the exhibition a virus has infected one or more of the exhibitors’ computers,
the DWTC will not be held responsible.
• DWTC will only provide telecommunication lines to exhibitor stands. DWTC is unable to provide
any modem or set-up support. An ISDN Modem is must for ISDN Line.
• All line and equipment usage during the period of hire is the responsibility of the person/company
applying on relevant Form Numbers. Once handed over, the equipment becomes the
responsibility of the hirer and must be returned to the organizers office within 1 hour of the close
of the last day of the show.

VISITOR PROMOTION
Complimentary one-day trade invitations will be sent to exhibitors for mailing to key clients. Exhibitors
can extend these invitations to their clients and prospects who will be visiting the exhibition. The number
of trade invitations issued will correspond directly with the size of the stand.
GITEX TECHNOLOGY WEEK will be promoted exclusively to industry professionals and trade visitors
through an extensive and carefully planned multi-media campaign including direct mail and e-newsletters
sent to thousands key decision makers from a comprehensive database. Strategically positioned
advertisements - both in English and Arabic – placed in leading online and offline trade magazines,
journals, websites and newsletters, as well as local, regional and international press to ensure high
visibility, and to attract large numbers of top-level professionals.
In addition, a major public relations campaign will ensure high exposure in the local, regional and
international specialist and general media, both print and online. A combination of special reports,
feature articles, previews and one-to-one interviews will guarantee that industry is kept abreast of what is
going on at the show. Exhibitors are requested to inform our Marketing Department of the products and
services they are exhibiting as soon as these are finalised, so as to take advantage of this publicity
opportunity.
Do highlight any special promotions or product launches. Exhibitors are requested to inform their
customers and potential clients of their participation at GITEX TECHNOLOGY WEEK to ensure high
attendance on their stand. Pre-show advertising can be as simple as including details of your stand
number in general correspondence e.g. letters, invoices, newsletters, emails as well as listing details in
adverts and on company websites.
Please Note:
a) Exhibitors are reminded that completion of Form 2 qualifies them for a free entry in the Exhibition
Catalogue.
b) The Organisers will take no responsibility for the omission of any exhibitor who fails to complete this
form.
c) Exhibitors are requested to inform the Marketing Department of the products and services that will
be exhibited as soon as these are finalised to give the media (especially those publishing special
supplements on the Exhibition) the maximum possible time for preparation. Additionally, the
Marketing Department should be kept informed of any special promotions or product launches.
d) A press office will be in operation during the exhibition to enable exhibitors to liaise with the media
and pass on information, important news and photographs. Publicity material - both in Arabic and
English - and photographs should be suitably captioned for display and distribution.
We will provide you with the necessary letter confirming your participation at the exhibition. This letter
must be attached to the application form.
International exhibitors will need to process this permission through their local office/PR Agency, as the
Department of Economic Development requires a local Dubai contact address for follow up purposes.
LIVE ENTERTAINMENT
For any live entertainment conducted by Exhibitors on stands, the same will have to routed through Dubai
World Trade Centre to obtain the necessary approval from the Department of Tourism and Commerce
Marketing (DTCM).
Please provide a copy of the passport of each performer, together with a photograph, in JPEG format (not
exceeding 200 KB per document) with the details of the proposed activity. This will be forwarded to the
concerned department who will advise on the relevant costs.
Kindly note that it takes a minimum of 15 days to receive the approval and all such requests by be
submitted latest by 14 September 2009.

Banner sites are available for additional advertising purposes:
Any suspension from the ceiling, for branding purposes will attract an advertising cost and must be notified
in advance
A. Banner sites above the Stands
o The proposed dimensions of each banner must be 2m (width) x 1m (height).
o Please provide the Senior Operations Manager – Exhibitions with the proposed dimensions of the
banner above your stand for prior approval.
o The banner should be provided by the exhibitor, be made of fabric and weigh less than 5 kgs,and
have sleeves top and bottom. Please also provide pipe work for insertion in the sleeves.
o The cost per banner site is AED 1,100 (per sq mtr)
o The rate is for single sided banner only. Double sided, three sided and four sided (box or ring
banner) will be charged as per number of sides.
o The banner must be confined within the borders of the space contracted for by the exhibitors.
As per Management policy, please be advised that all banners hung inside the halls will have to be done
internally by our Event Services Department at a cost. Kindly note that all banners must be delivered to
Dubai World Trade Centre (L.L.C) 10 days prior to the exhibition and collected, if required, within 3 days

Operated by the Dubai World Trade Centre (L.L.C.), the Business Centre, located in the concourse
between Halls 3 & 4, is open daily from 9.30am to 7.00pm, offering the following services:

FedEx SERVICE CENTRE
FedEx’s new World Service Centre comes complete with the FedEx agent on hand, located in the
concourse between Halls 3 and 4, open from Sunday to Thursday. Working hours: 9.00 - 13.00 & 15.00 -
19.00. The centre offers all FedEx services from package tracking and tracing to FedEx 10 kg and 25 kg
boxes. Please contact FedEx Customer Service 24-hour toll free no. 8004050, for any assistance.
Plants and planters are available on hire from the Official Floral Contractor – Blooms and will be available
from the Exhibition Halls on the eve of the opening day. Flowers may also be purchased.
The Organisers may be held responsible by the Authorities in Dubai for the payment of any customs levy,
tax, fine or other monies due from an exhibitor. Accordingly, exhibitors must undertake to indemnify the
Organisers from any payment, which they are called upon to make to the Authorities on the exhibitor’s
behalf.
The exhibitors also waive any and all claims that they may have against Dubai World Trade Centre
(L.L.C.) of any kind whatsoever, in anyway related to the storage and display of exhibits/equipment during
GITEX TECHNOLOGY WEEK whether during, before or after regular show hours.
It is, therefore, compulsory to complete and return Form 4
INSURANCE
The exhibitor shall indemnify and hold harmless Dubai World Trade Centre (L.L.C.), its personnel, agents,
etc. against and from all liabilities, losses, damages, costs, charges, expenses, actions, proceedings,
claims and demand incurred by it or them as a result of or in connection with any loss, injury (including
death) or damage, directly or indirectly, resulting from any act or omission of the Exhibitor or any of its
personnel, agents, contractors, sub-contractors.
The exhibitor shall at its own expense have in full force and effect for the duration of the exhibition
including build up and break - down periods, a Public Liability Insurance Policy.
The Exhibitor shall ensure that the Public Liability Policy referred to above, contains a waiver by the
insurers of any and all rights of subrogation they might otherwise be able to exercise against the
Organiser or any of its directors, officers, employees and agents. They shall be entitled to inspect the said
Policy and have produced to its satisfactory evidence that it is in full force and effect and also to require
the exhibitor to deliver to it a copy.
The Organiser will not be responsible for any incident in the event the exhibitor does not hold a Public
Liability Insurance Policy.

PAID CAR PARKING
In order to help streamline the flow of the rapidly increasing visitors to events held at the Dubai
International Convention and Exhibition Centre and to optimise the use of the parking facilities, the Dubai
World Trade Centre has introduced a paid parking system.
o Charges
The parking fee is 5 AED per hour with lost parking tokens being charged 100 AED.
o Payment
Credit card machines will be available one at the exit cashier on the fourth floor of the
Multi-storey car park.
RESERVED PARKING
Any visitor may reserve a parking space by purchasing a temporary parking card or ticket for a single day
or a short specified period.

PHOTOGRAPHY
The Official Exhibition Photographer will have the photographic rights in the Exhibition Hall. The
photographer will be on site during the event. Private photography is permissible but prior notification
must be given to the Organiser.
The Public Address System will be used for Exhibitors’ messages during build-up and break-down.
During the exhibition, its use has to be restricted to emergencies only.
SECURITY
General security arrangements for the exhibition will be controlled by the Organisers in conjunction with
the local authorities in Dubai. Security personnel will patrol the exhibition halls in general, but their duties
will not include special attention to individual stands. Exhibitors should exercise due care and attention
with regards to safety of their exhibits. Valuable items and smaller exhibits, which may be easily stolen,
should be kept in a secure place. If your displays are valuable and sensitive and you wish to hire security
personnel to attend to your stand exclusively, please contact our Security Department for security
services.
It is recommended that a member of staff man the stand at least half an hour before the exhibition opens
and until all visitors have left the hall. Under no circumstances should a stand be unmanned during the
open periods of the exhibition.
While the Organisers will make all reasonable arrangements for security coverage, they are not
responsible for any loss or damage, which may occur, and it will be the exhibitor’s responsibility for the
security of their stand, its exhibits and contents including personal property. Appropriate insurance
coverage should be arranged.

STAND CATERING
Due to Health and Safety regulations of Dubai Municipality and as per Dubai World Trade Centre (L.L.C.)
policy, all food & beverage items that are consumed within the exhibition must be supplied by the Dubai
International Catering Centre ONLY. Any food or beverage that is brought in from outside will not be
allowed into the venue. For your catering requirements you can contact telephone +971 4 3086999 or fax

Located on Level 33 of the Dubai World Trade Centre Tower, the facilities include a luxury restaurant

2. Exhibition Halls
The Cafes are located at the rear of Halls 4, 6, 7, 8 & Zabeel Hall. They serve wide varieties of light
snacks, sandwiches, salads and beverages.
3. The Loop
The Loop is located outside Hall 8 in the DICEC concourse. The Loop is open daily from 8am to 6pm
except Fridays.
4. Za’abeel Bistro
Located at new Za’abeel Hall Concourse. Za’abeel Bistro welcomes exhibitors and visitors sit back, relax

5. Trolley Service
Trolley service with a selection of hot & cold beverages and light snacks is available inside the exhibition
halls for your convenience. The trolley comes to you at your stand for service.
6. Refreshment Carts
Refreshment Carts serving a variety of snacks and beverages are available in the concourse. You can
enjoy a hot dog or sandwich or sweet corn etc while moving in the concourse.
7. Stand Catering
Stand Catering is available in the exhibition halls. You can fill the stand catering order form and give it to
the organizer’s office or send to us directly by fax or e-mail and we shall make sure that the order is
delivered to you at your stand. This is recommended for your lunch orders and special menus can be
provided upon request.
8. Catering Service
Catering service for your stands is also available. You can hire a waiter/waitress to serve you and your

STAND CLEANING
Dubai World Trade Centre (L.L.C) has the exclusive rights for housekeeping services inside the halls.
Stand cleaning is not part of the stand rental cost. Stand cleaning services will have to be ordered
separately from our House Keeping Department. Please refer to Form 15 for more details.
The Dubai World Trade Centre offers cleaning and waste disposal services for all areas of the exhibition
and convention industry. Our fully trained staffs are here to advice on all requirements from carpet
cleaning, glass cleaning to special waste removal. We offer a one stop shop for all your cleaning
requirements with our years of experience in this very challenging industry. We have a commitment to
superior service and an eye for details.
In order to provide the best service we require a minimum of two business days notice prior to the
tenancy. Cancellation of service can be done 24 hours prior to service. DWTC shall not provide any
cleaning material to be used by the exhibitor.
All housekeeping service ordered must be paid in full prior to any service commencing. DWTC will accept
Visa, Master & American Express cards or cash. All service orders during the show must be guaranteed
by credit card; any balance of charges due will be billed to this credit card unless payment is received at
the end of the show.
DWTC cannot be held responsible for any loss, claim or damage related to cleaning of exhibits or for items
claimed as lost after the event is over. Dubai World Trade Centre Housekeeping Department holds
exclusive rights to all housekeeping services within the DWTC complex.
