QUESTION 3 PARTS OF A PROPOSAL (20 marks) Funstasticz Sdn. Bhd. is a fast growing organization.

Due to the increasing number of newly recruited staff, the Human Resource Manager, Mr. Muhammad Lutfi Latif feels a team-building weekend needs to be held. Below is the proposal to be submitted to the CEO of Funstasticz Sdn. Bhd. Bearing in mind the 5C's of communication, complete the parts of this proposal. You are advised to include your own additional information wherever necessary.

Executive Summary This proposal recommends an initial series of 3-day team building weekend program for our newly recruited staff to address key issues and skills needed based on our fast growing enterprise. It is also in response to a request to enhance integration and performance of individuals, groups, departments, systems, processes, methods and resources within the company. Many practices realize from experience that a lack of teamwork leads to office inefficiencies, low morale, staff turnover, and many lost hours sorting out staff controversies. Thus, the first step to creating a winning team is hiring and retaining top performers. Management should assess its current and future personnel needs and ask itself the tough questions. Do we encourage high performers to excel in our practice? Do we consistently ask our staff what is going well and where can we improve? Have we created an environment that attracts quality people? Based on these issues, a team-building programme is deemed to help the organization to overcome possible potential problems with our new staff.

Background 2.1 A search through human history would reveal that no great achievement has ever been achieved solely by the efforts of one individual. Success is the result of people pulling together to meet common goals believing that there is no limit to their potential as a team. Team-building is a process of preparing people to work together to attain the highest performance possible. Many organizations have rushed into creating team-based workplace without taking their people thru proper team-building and bonding process. This will result in poor team cohesion, internal conflicts, power struggle, unclear goals, lack of motivation and others. As a fairly new company with staff joining from organizations with different cultures, values, work ethics, paradigm and practices, Funstasticz Sdn. Bhd has experienced the typical harmonization challenges between diverse sets of staff. After recruiting and empowering competent staff, the next logical step is to enhance their ability and willingness to work together as a team. The team-building program builds understandings of team dynamics and the role of team work in meeting overall organizational goals.

Problems/Needs

Many companies inadvertently create a negative first impression by putting together a quick and ineffective orientation program that neither prepares new employees intellectually or emotionally for their jobs. By not putting the time and effort into designing an effective orientation program, these companies set the stage for high turnover, low morale, and poor work quality. 3.2 In real life, team work success rarely happens by itself, without focused team building efforts and activities. There is simply too much space for problems. For example, different personalities, instead of complementing and balancing each other, may build up conflicts. Or even worse, some people with similar personalities may start fighting for authority and dominance in certain areas of expertise. Even if the team goals are clear and accepted by everyone, there may be no team commitment to the group goals or no consensus on the means of achieving those goals: individuals in the team just follow their personal opinions and move in conflicting directions. There may be a lack of trust and openness that blocks the critical communication and leads to loss of coordination in the individual efforts. This is why every team needs a good foundation in working as a group effectively. This will enable them or the team to deal with all such team work issues.

Objectives

4.1 The team building is based on optimising mind power using radiant thinking through fun
filled indoor and outdoor activities. Individual team members will learn to work together as a team, utilizing available resources and focusing on achieving their shared goals. The following qualities will be instilled to the participants; Time management and Leadership qualities Self awareness and Competitiveness Effective collaboration and Team work Build self confidence and Stretching your limits Research & Analytical skills Evaluation of possible solutions Fun, excitement & memorable thoughts to cherish Thinking out of the box creative thinking Decision-making skills and Problem solving skills Boost employee morale to perform Communication Skills Getting to know each other after work and thus strengthening the bond Tap the employees knowledge and thinking skills

4.2 The training will also encourage the participants to take initial steps of exploration of superior
team dynamics that will open the doors to their continuous development and performance improvement.

Conclusion

This programme provides an excellent opportunity for Funstasticz Sdn.
