General Information

1.1 System Overview


FBO Registration Management platform designed by HarTeT Technologies aims to establish a reliable source of data of farmers, and farm lands. So that the delivery of agricultural programs and services by the MOFA and other Government agencies could be accessed by and timely delivered to the intended farmer clientele.

1.2 System Requirements


FBO Registration Management platform requires the following 3rd party software to be first installed. Please refer to the instructions from the vendors on how to successfully install these applications:

Mandatory: A relational database management system (preferably MySQL) A working internet connection (necessary for uploading the captured data to the MoFA Head office. It will be done automatically by the software after a user prompt.) Optional : highly recommended for support and necessary for installation Team Viewer maintenance purposes, not

1.3 System Installation


Please follow the steps below to guide you through the process of installing FBO Registration Management. 1. 2. Double click the folder labeled FBO Registration Management. Double click on the file setup.exe to start the installation. The following window will appear.

Click on the button labeled Next to continue to the next window. Select the preferred location for the installation or simply use the specified default location.

Click on the button labeled Next to confirm the installation and then Next again to start the installation.

Starting FBO Registration Management platform

2.1 Things to know before starting the application


The application requires a software license for activation; please contact the administrator for a copy of your license.

2.2 Starting the application


The application can be started in one of two ways: 1. By double clicking the shortcut on your desktop as indicated below:

2. Or by selecting MoFA Registration from the Windows Start menu and click All Programs as shown below:

3. The following login window will appear after the application has been started and has been successfully validated. Please contact your administrator for a username and password.

2.3 Setup ODBC

FBO Registration Management platform requires a working database for data storage. The MySQL database is the recommended database for use. A copy of the database is included in the installation package; however a later version can be freely downloaded from http://www.mysql.com/ Please refer to the vendor for instructions on how to install and setup the database. FBO Registration Management communicates with the backend via Open Database Connectivity (ODBC). ODBC is freely available on the Windows platform and can be setup quite easily. More information on ODBC can be found at http://support.microsoft.com/kb/110093

2.4 Configuring ODBC


1. Open the ODBC Data Source Administrator window located within Administrative Tools of the System and Security option of the Control Panel section of your Windows 7 Operating System. 2. Add a new User data source using the MySQL driver. The following window below should appear.

3. Configure the data source as shown in the window. You may need to contact your IT administrator or HarTet Helpdesk for the username and password to use.

4. Test the connection and accept the changes or configuration.

Configuring the system

FBO Registration Management provides a user interface through which the system can be configured. The following parameters can be configured: Databases and Email configuration, System Alerts, Secretariat Information, AEA Registration, Operational Areas, Executive Offices, APEX bodies ,Banking Institutions, Types of Crops, Types of Livestock and Types of Fish.

3.1 Changing Systems settings


The configuration can be done as follows: 1. Select the configuration window by selecting Settings from the Tools menu as follows:

3. Select an entry to configure by click on the entry on the left hand side of the window. The form specific to the selected entry will appear on the right hand side. For example, perform the following if Email Setup needs to be configured .

4. The user must make sure to input all the information under System Alerts before moving on.

5. The user must make sure to input all the information under Secretariat Information before moving on.

6. The user must make sure to input all the information under AEA registration Information before moving on.

7. The user must make sure to input all the information under Operational Areas Information before moving on.

3.2 FBO Information


The FBO information, which are the Executive offices, Apex bodies, Supervisory Institutions, Banking Institutions, Types of crops, Types of Livestock and Types of Fish will be downloaded from the Central Server, so the user will not have to input them directly. Also any changes or updates will also come from the Central Server.

8. Click on the Save button to save.

Review and Approve FBO information

1. This function will be used by the Regional Offices to review posted FBO information and if correct approve it, so therefore the records will then be made available to the FBO website to generate reports. To open this window click on the highlighted icon shown below.

2. This will open another window which shows all the posted FBO information. The user can then double click on the FBO the user wants to review. Records that have already been approved are highlighted in Green and records waiting for review and approval are highlighted in Yellow.

3. This will open a new window in which the user can view the posted information ,review If necessary then click on the highlighted button below to approve it.

After the FBO information has been given approval it will be made available via reports on the FBO web portal.

Back up and Disaster Recovery Management

5.1 What Is a Backup?


Simply speaking, a database backup is a representative copy of data. When the original data is lost, you can use the backup to reconstruct lost information (the physical files that constitute your MySql database). This copy includes important parts of your database, such as the control file, archive logs and data files-structures. In the event of a media failure, your database backup is the key to successfully recovering your data.

5.2 When to Take Backups


You should tailor your backup strategy to the needs of your business. For example, What if your database must be available twenty-four hours a day, seven days a week? In this case, your database would have to be frequently backed up.

5.3 How to perform Data back up using MySql (Logical Back up)
Please follow the steps below to guide you through the process to perform a backup of MySql data.

3. To start the backup procedure, Select the database from the Server Administrator and double
click as shown in the example.

4. This will open a new window which is shown below. Select Data export from the window.

5. This will open a window which is shown below. Select the Database the user wants to perform
the back-up on. This will open an adjacent window which will show you all the tables the selected database contains.

6. After Selecting the Database and tables the user want to perform the backup on, The next step
is to select a destination folder or where the mySql backup file will be stored. The user should select export to self-contained file as shown below, then choose the location the backup will be used to store the backup. Then click on the start export shown highlighted below.
