INTRODUCTION Executive meeting is an official gathering of the execuitve members of an organization in one room, with a quorum present to transact business. The members do not leave the meeting, except for a short recess, until the business has been completed or the chairman decides the meeting adjournes. The bacis rules of an interview meeting : i) A quorum must be present ii) Someone is in charge of conducting the meeting. iii) Someone is responsible for taking the minutes. iv) Business is conducted according to the specific rules that state who can attend, who can participate in the discussion of business and who can vote. This meeting is closed to all but the members. However in many organizations, guess can attend the meeting to observe the business proceeding of the organization.

2.0

OBJECTIVE 1. To prepare students on how to conduct a meeting. 2. To familiarize students with meeting environment. 3. To expose the students to the real business situation. 4. To let students practice and use English as a medium of communication.

JUSTIFICATION This programme is a cumpolsary programme as it carries 60% mark of total assessment for SGDK 4023 Oral Pedagogy for secondary Classrooms and SGDK 4013 Literacy Pedagogy for secondary classrooms respectively.

ACTIVITIES The activities are devided into two different days as the meeting will be held earlier than the exhibition/presentation day. The first part of the activity which is the Executive Meeting will be held on 9th December 2012 and the second part will be held on the the exhibition day which is on 16th December 2012. REFLECTIONS The executive meeting was held on 9th December 2012 at Suria Rooms, School of Education

and Modern Language College of Art and Sciences. Regarding to the executive meeting, we had attended three executive meeting groups. The first executive meeting was about travel agency. There were five people involved in the meeting. This group have high cooperation and confidence level individually. Most of the executive members were able to give their own opinions and tried to debate among themselves. However, we noticed some of the weaknesses in this group. The weaknesses were the leader did not have capability of leadership especially in making final decisions he looked so plain and his tone was not suitable. At the same times, the leader was reluctant to give his own opinion regarding to the matter discussed he just simply agreed with all the opinion and decision made by the committee members. Besides that, the members of executive meeting did not have the proper way of tackling the situation when it came to heated argument between them. The second group meeting was about menus of the restaurant. There were also five people in the group. The strength of this group was that, most of the members had shown good cooperation among their members, they respect their group ideas and run the meeting smoothly.

For the weaknesses, the members of the meeting had low confidence level in terms of expressing their opinions. Some of them were nervous and did not naturally deliver their ideas. The third executive group meeting was about the development of new software. The group consists of four executive members. For this group, all the group members had shown a very good communication skill, where we were able to see the executive member was having high spirit in giving opinion and argued on the problem matter. The cooperation among the members was also good. The leader has displayed a good relationship between the members and he was able to refer the problem according to right department and able to make final decision based on the capability and his analysis of the company. For the weaknesses, one of the members just read the scripts without planning well and not able to communicate fairly among the group members.

RECOMMENDATION Through the executive meting, we found that there are several weaknesses from the

meeting as we mention on the reflection above. So, as overall we would like to mention some of the recommendation to improve and manage the meeting. We notice that all the students have a low confidence level, leadership and communication skill in term of expressing their views and opinions. So we have come out with some of the problem solving for this meeting. First, we need to ask the students to attend any programs to improve their confidence level, communication skills and leadership. The University has offer a lot of programs for the students in the term of confidence level, communication skills and leadership. They need to attend the programs that been offered by the university to improved their weaknesses. Second, the members need to prepare well before they are going to handle the executive meeting. They need to know the flow of the meeting and not only focusing of the script that they

had made. The leader need to make sure that all the members prepared well and know their executive meeting movement. This will make sure that their executive meeting going well.

Third, they used the power point but they did not focus on it. For example the graph, the students need to explain more on the graph. The students only show the graph on the screen but did not explain more on the graph.

CONCLUSION This program is a good opportunity for the students to communicate in English

spontaneously. It also prepared the students for the future working enviroment and experience. This kind of knowledge is important to them especially when they will enter a real meeting in the working place. Apart from that, this programme is able to make the students realized their strengh and weaknesses from the meeting that they conducted. They also know their level of communication skills in english. So from this they will be able to improve and develop themselves to become a good communicator. Finally, the students able to improve their self confidence, leadership and decision making. The meeting will expose the students on those skills.
