This FAQ is designed to provide Homeroom Advisers and Student Facilitators of the Introduction to Ateneo Culture and Traditions (InTACT) Program with basic knowledge regarding academic policies, procedures, and services within the Loyola Schools. Note: The information provided here are not intended to serve as quick-fixes for students with academic problems. This primer will allow HAs and SFs to help students obtain a clearer understanding of their academic status and to determine which office can best help them.

Regarding the Quality Point Index (QPI)


How to Compute for the QPI As mentioned above, the QPI is the weighted average of your grades for a particular semester. This weighted average is arrived at by dividing the sum of the equivalent of the letter grades by the sum of the number of units taken for that semester. You may use the table below for this. Academic Policies
Note: The following quoted academic policies were taken from the Academic Regulations section of the 2008 Undergraduate Student Handbook of the Loyola Schools. (Some sections may reflect revisions for the 2010 Edition of the handbook.)
I am a Deans Lister for the previous semester, do I get unlimited cuts? Answer: Academic Regulation #23 states that Honor students are allowed unlimited absences, unless specified otherwise by the instructor in the class syllabus. However, please remind the student that the same regulation also states that Students are held responsible for all matters taken and assignments given in their absence. How many free electives does my course have? What classes can I take as a free elective? Answer: Academic Regulation #30 states that Six units of FREE ELECTIVES are provided for students to pursue their own interests. They can choose FREE ELECTIVES only from the outer core curriculum subjects and from subjects not required by their home department/program. Is attendance part of my grade for the class? Answer: Academic Regulation #32 explicitly states that Attendance does not form part of the students grade for the subject. What QPI should I get to advance to 2nd year? How about to graduate? Answer: The following are the required QPIs for promotion in the Loyola Schools: 1.80 freshman

TP (Total Points) / NU (Tontal Units) = Semestral QPI You may also use the table in reverse to determine what grade combinations you need in order to be a Deans Lister, etc. What are the required QPIs for honors? Semestral Honors: First Honors = 3.70 4.00 QPI for the semester Second Honors = 3.35 3.69 QPI for the semester Graduation Latin Honors: Summa Cum Laude = 3.87 4.00 cumulative QPI

QPI (for promotion to sophomore year), 1.90 sophomore QPI (for promotion to junior year), and 2.00 junior/senior QPI (for promotion to senior year/ graduation respectively). Academic Regulation # 37 details the rules on promotion, graduation, and separation of a student from the Loyola Schools. If I do not reach the 1.80 required QPI for freshman year, what do I do? Answer: A student who does not obtain the required QPI for his/her year may apply for probation. A student may be granted probation only once during his/her stay in the Loyola Schools upon the recommendation of the Standards Committee to the Vice President for the Loyola Schools. No second probation is given. (For the process for applying for probation, please refer to the section on Academic Procedures and Services of the FAQ Sheet.) What are the conditions I have to satisfy if I want to cross-enroll in another school? Answer: Academic Regulation #43 enumerates the following conditions for cross-enrolling in another school: the subject is not a core curriculum subject the subject is not offered in the Loyola Schools for that particular term the subject is validated by the department concerned *Cross-enrollment forms may be obtained from the Office of the Associate Dean for Academic Affairs.

Students who may feel awkward in initially approaching a guidance counselor may also be suggested to talk to their parents, one of their teachers, a Campus Minister, or the Homeroom Adviser. Note: Students should be mindful of the deadlines for voluntary changes of concentration/shifting. He/She may check the announcements posted by the Office of the ADAA or the Office of the Registrar. (A change of concentration that is requested by the department can be processed any time.) I am interested in taking a second major/degree, how do I go about this? Answer: 1. Ask the student to inform his/her Department Chairperson. The student also has to ask advice from the Chairperson of the department he/ she wishes to take a double major in. 2. Upon receiving favorable advice from both Department Chairpersons, the student must submit a letter of request for a double major to the Office of the ADAA. The student should have this letter endorsed by both Department Chairpersons and also attach a copy of his/her plan of study integrating both degrees. I want to take a minor or specialization, what should I do? Answer: 1. Ask the student to inform his/her Department Chairperson. The student also has to ask advice from the Chairperson of the department he/ she wishes to take a minor in. Note: A Load Revision Form will be required either when the student starts taking classes for the minor or when the student has completed all classes required for the minor. What is the process of applying for probation? Answer: 1. Ask the student to go to the Office of the ADAA to obtain a Standards Committee Form for Probation. 2. The student completes this form and submits it back to the Office of the ADAA for deliberation by the Standards Committee. 3. Decisions are released by the Office of the ADAA after the meeting of the Standards Committee.

I dont think my current course fits/interests me, how do I shift to another course? Answer: 1. Ask the student to consult the LS Office of Guidance and Counseling (LS OGC) about shifting to another course. A counselor may be able to help the student arrive at a good decision based on his/ her abilities, interests, and strengths. 2. Students generally have to attend a Career Exploration Workshop given by the LS OGC after which a shifting endorsement form will be given to the student. The student presents the shifting en-

Note: Strict deadlines are observed for appeals concerning the Standards Committee. These deadlines my be checked with the Office of the ADAA. It is recommended that as soon as a student finds out that he/she did not obtain the required QPI, he/ she should already go to the Office of the ADAA to inquire about probation. What is a leave of absence (LOA)? How do I apply for this? Answer: A student in good academic and disciplinary standing may apply for probation if he/she wishes to temporarily separate from the University for non-academic or non-disciplinary reasons. 1. Ask the student to submit a letter of request from his/her parents to the Office of the ADAA. Documents pertinent to the request for LOA may be attached. 2. Once approved by the ADAA, the student must accomplish the LOA form given by the Office of the ADAA. 3. If a student is currently enrolled during the semester when the LOA will start, he/she needs to accomplish a Load Revision Form to withdraw from his/her classes. Note: The LOA, which normally does not exceed one academic year, is normally secured only once during a students entire stay in college. Enrolling or studying in another school during the LOA is prohibited. Note: A student who is returning from an official LOA should inform the Office of the ADAA through a letter that he/she is already re-enrolling. I am moving to another school/abroad, what should I do? Answer: A student may withdraw voluntarily from the University, and be entitled to a transfer credential, provide that the dismissal is not due to disciplinary reasons. 1. Accomplish a clearance form which may be obtained from the Office of the Registrar. 2. Accomplish a Load Revision Form if the student is currently enrolled. 3. Obtain the Honorable Dismissal Card/Transfer Credentials from the Office of the Registrar.
