You are the sales coordinator for a local hotel (Mountain Top Inn & Suites) where many

events/ceremonies take place. As one of the top locations for these events, you commonly receive this type of request. The letter you opened today read as follows:

Dear Mr./Mrs. __________:

Would you please provide information regarding your banquet facilities?

We are considering hosting our annual student awards luncheon for 265 student employees at your hotel on April 15. Our decision will be based on the answers to the following questions:

1. Is your facility available from 9:00 a.m. until 3:00 p.m. on that date? We will need the additional time for setup and takedown.

2. Do you offer free use of audiovisual equipment? We would need a projector and screen but will bring our own computer.

3. Do you have a variety of lunch options that range in price from $15 - $18 including tax and gratuities? If so, please provide us a few options. (come up with a few options)

Thank you for providing this information in time for us to make our site selection by March 15th, 2013.

1.Respond to this request letting Ms. Jones know that your facility, specifically the Hilltop room, is available until 4:00 p.m. on April 15. You may specifically wish to discuss that this room will seat up to 300 guests and provides a beautiful view of the University to enjoy during lunch.

2.Make sure to let Ms. Jones know that audiovisual equipment is available but there will be a charge for the use of the projector. While the screen is free, the projector will cost $75 (this is a discount from the typical charge of $150). To set up audiovisual needs, Ms. Jones will need to contact Ron Reynolds, GuestServices Manager, at 555-1101. If there are any other services you will provide, let Ms. Jones know that also. (no negative words like unfortunately or sorry, more like, we are willing to reduce)

3.Feel free to come up with two different options of meal choices for the University that meet the $15-18 price range. Also tell them about two other lunch options that include more (possibly drink and dessert included) for approximately $20.can also done (bullet the menu choices)

End the letter with a sales appeal (why Ms. Jones should decide to host her event at the Mountain Top Inn & Suites) and a goodwill close letting her know how excited you are to host the event. In order to confirm the event, please ask Ms. Jones to reserve her event by March 15, 2013.
