12 General Information & Terms/ Conditions Let us welcome you and your guests to Auckland’s most

General Information & Terms/ Conditions

Let us welcome you and your guests to Auckland’s most prestigious address. We believe that our qualified, experienced staff will handle every detail and request professionally.

We are sure you will appreciate the following general information & terms/conditions, which will enable us to service your forthcoming function. Should you have any inquiries regarding this information we will be only too happy to answer them.

Tentative Bookings

A tentative booking will be held for a period of 14 days, after which the space will be released. Confirmation of a booking is

to be made in writing, fax or e-mail together with a deposit of 25% of the estimated function value and written agreement with the terms & conditions. Such confirmation will constitute a binding contract between the hotel and yourself/ your organisation. If the booking is made and confirmed within 30 days of the function date, the deposit is non-refundable.

Catering Details

We are most pleased to assist in the choice of menu from our superb range of food and beverage items. To achieve the

highest possible standards, we would like to receive confirmation in writing of all relevant details of the function 14 days in advance. Information such as function room set up, menu selection, beverage requirements, musicians and entertainment requirements, estimated number of guests, duration of function and miscellaneous equipment is required.

Guaranteed Number

The hotel requires a guaranteed number of guests attending the function 48 hours prior to the event. This is the minimum number of guests you will be charged for. If no guaranteed number is received then the original number will be prepared and charged for. The hotel reserves the right to reallocate another function room if the minimum number of guests varies significantly from the original number.

Cancellations

We would be disappointed if a function were to be cancelled. If, however, cancellation does occur then the following

conditions will apply:

  • 1. For Functions cancelled 60 days or more prior to the scheduled event, the deposit will be refunded.

  • 2. For Functions cancelled within 60 days and up to 30 days prior to the function, 50% of the deposit will be refunded.

  • 3. For functions cancelled within 30 days and up to 14 days prior to the function, the full deposit will not be refunded.

  • 4. For functions cancelled within 14 days and up to 48 hours prior to the function, full deposit is non-refundable and the

client will be additionally liable for the full room hire charge.

  • 5. If cancellation occurs within 48 hours prior to the Function, the full deposit will not be refunded, and the client shall be

liable to the hotel for the full value of room hire and catering quoted.

  • 6. All cancellations must be advised in writing to be effective.

Accommodation

If accommodation is required as part of function arrangements, a separate contract will be issued by our Sales department

on receiving your requirements.

Damage / Insurance

The hotel will not accept any responsibility for damage or loss to equipment or merchandise left on the premises prior to, during or after functions. Organisers are financially responsible for any damage sustained to hotel property during functions / exhibitions by him/her or any of their guests, invitees or other persons, i.e. - contractors, whether in rooms reserved or in part of the hotel. Nothing may be nailed or screwed, stapled or adhered to any wall, door or other surface or parts of the building. Any damage caused by displays, decorations or attendees will at the client’s expenses. (Hotel property includes all equipment hired by the hotel for use on the occasion). The hotel recommends that you arrange your own insurance to cover any such eventualities.

Compliance

It is understood that the organiser will conduct their function in an orderly manner in full compliance with the Hotel

Management and with all applicable laws. The hotel reserves the right to exclude or eject any objectionable persons from the function or hotel premises without liability.

Musicians

A wide variety of musicians ranging from string quartets, big bands to solo cabaret artists are available and can be

arranged though the hotel. Requirements such as Food & Beverage, Dressing rooms, Car Parking Facilities etc, are not included in the hiring of the contractors. Arrangements can be made prior to the function.

Price Variation

Every endeavour is made to maintain prices as printed, but these are subject to alteration without notice to meet rising costs.

Rental Charges

Rental charges if applicable are subject to period required, number of guests in attendance and overall catering

requirements. Our catering staff will discuss rates along with your requirements

Force Majeur

Where matters beyond the reasonable control of Stamford Plaza Auckland impair or prevent Stamford Plaza Auckland being able to perform its obligations under the Banquet Event Order Contract, the client releases Stamford Plaza Auckland from

any liability or loss incidental or consequential to such matters. Where with reasonable opinion, of Stamford Plaza Auckland, the nominated function room is inappropriate for the function, the Stamford Plaza Auckland, may assign a different function room for the function.

Prohibition on Food & Beverage

The client shall not and shall ensure guests shall not bring any Food or Beverage of any kind into the hotel without prior

permission from the Food & Beverage Manager. The client shall not, and shall ensure guests shall not remove any Food or Beverage of any kind from the hotel without prior permission from the Food & Beverage Manager.

Payment – Wedding & Social Functions

The event shall be fully pre-paid via bank cheque no less than 7 days prior to the event. Any additional charges incurred on

the evening must be paid prior to departure from the event by cash or credit card.

Set up and Delivery of Equipment

Clients are responsible for the costs involved in ensuring set up and break down time on all functions. The client must advise

the Conventions and Events Co-ordinator prior to despatching goods to the hotel. All deliveries must be addressed to the Conventions & Events Co-ordinator and clearly state the name of the function and contact name.

The hotel does not have storage facilities other than rooms blocked by the client and will not accept liability for any damage incurred to uncollected goods. The storage of this will be $250.00 including GST per day.

Safety Regulations

All equipment, stage setups, exhibitions arranged by the client or contractors arranged by the client must conform with safety regulations and the hotel reserves the right to inspect and reject any equipment or setup which in it’s opinion, compromises the safety of the hotel, its staff or clients.

Extension of Duration

If the function is extended beyond the duration booked, an additional charge will apply for labour cost at $25.00 per staff

member per hour.
