June 2014
Dear ANCA members,
I look forward to seeing you at the upcoming National ANCA Annual General meeting, which will take
place at the Queensland Choral Convention on Saturday June 21
st
at the Crowne Plaza, Gold Coast.
The ANCA National Council would like to propose the following three (3) resolutions to be voted on at
the AGM, the first and second constituting an amendment to the Constitution, Appendix 3, sections (5) &
(6), and the third an addition to the sections of Appendix 3:

1). It is proposed that Section (5) be amended thus:

(5) Chapter committees shall consist of the following office bearers:

(i) President
(ii) Vice President
(iii) Treasurer
(iv) Secretary
(v) IT officer
(vi) What's On manager

2) It is proposed that Section (6) be amended thus:

(6) Additional committee members as determined at the annual general meeting but not to exceed
13 members in total. Ordinary members of the Chapter should cover the following sectors of choral
activity where possible: Primary/ childrens choirs; Secondary/youth Choirs; university aged choirs;
community choirs; chamber choirs; Symphonic choirs; choral organisations. The Immediate past President
is ex-officio and should be invited to meetings.

This is in recognition of the increasing workload state chapters have been facing in recent years in the
hope that a larger number of Chapter members can better deal with the workload involved without burnout
of committee members or indeed, committees themselves.

3) Adding an additional subsection under Appendix 3 (17)
That all terms of elected or appointed members of state chapters and National Council be limited to
a 6-year term. This is in accordance with standard governance procedures around Australia.
Amongst other things it prevents burn out of Chapter members. Once having served for 6 years in a
role, or combination of roles, an elected member would be obliged to stand down (i.e not stand for
re-election) for 12 months. At the end of that 12-month period that same member would be entitled
to nominate again for election to a Chapter or National Council. Elected Chapter members or
National Council members who have already served 6 years or more would be deemed to have
served 5 years for these purposes to allow chapters to establish a succession plan.

Please see the documents attached for the Agenda for the AGM, and the proxy form if you would like your
vote counted, however cannot attend the AGM in person.
Yours sincerely,
Michael Fulcher
