Live Life Local Vendor Information Guide

What will the festival encompass?
Small local business food & beverage vendors, artists and artisans (including, farmers, food
vendors, butcher shops, bakeries, restaurants, painters, craftsman) operating in Albany County
are invited to sell and provide samples of their products/services to the public. Special programs
to be held during the event are in the planning stages.

Benefits of small businesses participating:
This festival provides an opportunity for vendors to reach a greater audience, sell
products/services directly to the public, and educate the public about their business. Additionally,
this festival will serve as a networking opportunity where vendors will meet likeminded, creative
business owners, uncover partnering opportunities, and feel more connected to the local
community.

Vendor Information, Eligibility & Requirements:
Businesses must be privately held (not publicly traded).
Businesses are registered in the State of New York and are either headquartered in the
County of Albany or have at least 50% of their stores in Albany County.
Businesses do NOT operate under a franchise, licensing or similar agreement with an entity
located outside the Capital Region.
Businesses can make independent decisions regarding the name and look of said business as
well as all business purchasing, practices and distribution.
Businesses selling products/services related with food, beverages, crafts and the arts.
All vendors must sign the attached disclosure and the hold harmless form, as well as provide
insurance to ensure that Albany County, the Times Union Center, and Aramark are held
harmless from any liabilities related to vendors products.
All vendors are responsible for their own sales, sales tax, and must display their sales tax I.D.
at their assigned booths.
All vendors distributing alcohol (tastings, samples, sales) must obtain a marketing permit by
applying online at www.sla.ny.gov. This permit will be submitted on the SLA website under
Online Permit Applications.

Cost for vendors:
A fee of $85 must be submitted in order to participate; the fee for non-profits is $40. The fee will
cover overhead costs as well as publicity. Checks should be made out to Community Loan Fund
with Live Life Local in the memo. All checks should be submitted to:

At the time of submitting their online application, all vendors must identify what products will be
available for sampling. No Temp Food Service Establishment (FSE) from the Albany County
Health Department is necessary for this, as Albany County will be submitting one application for
all vendors.


Legal requirements:
All vendors must PRINT and complete the indemnification form located on the event
website.
Additionally, an event insurance certificate under your business General Liability
Insurance amounting to $1,000,000 is required. Your insurance company should be able
to provide additional information on how to go about obtaining the certificate.
All vendors must PRINT and complete the Resale Certificate which can be found on the
event website. All vendors are responsible for any sales tax obligations both on the state
and local level from transactions.

Helium
Open flames
Weapons
Explosives

disqualify vendors from participating in this event. Vendors who need electric or water at their
booth must indicate such need in their application. All questions should be directed to either our

Summary: Live Life Local is an event which will highlight small businesses owned and operated
in Albany County. This festival will be an opportunity for residents from the Capital District to
taste and purchase products from vendors who represent the diversity that Albany County has to
offer in the areas of food and the arts. There will be no cost to the public to attend. Vendors must
register by August 29 in order to participate. Space is limited.

REGISTRATION FORM:
All vendors will be required to pay $60.00 by August 7, non-profits $40.00 in order to participate
in the event which will cover overhead costs as well as advertising. The check for this fee and
the required documents must be postmarked by August 7. Late registration August 7 through
August 29 is $85.00. No cash will be accepted.
