PowerPoint and Word 2000 allows you to create an organization chart. An organization chart
consists of individual boxes that are connected by lines and placed on different levels. It is a
graphic illustration of a hierarchy of reporting relationships within an organization. In
PowerPoint and Word an organization chart is an embedded object created in MS Organization
Chart 2.0 which is a separate application that is automatically installed with office 2000. All
creating, editing, and formatting of organization chart are done in MS Organization Chart.

To add an organization chart using Powerpoint

1. From the menu, select Insert, New Slide.

2. From the New Slide Window, click the organization chart Autolayout and click ok.
3. Double click inside the placeholder to add the org chart.


To add an organization chart using Word

1. From the menu, select Insert, Object.

2. From the Object window, Make sure the Create New Tab is selected.

3. Scroll through the list and select MS Organization Chart 2.0 and click OK.


CHOOSING A STYLE

The default organization chart style includes a manager box with horizontal subordinate boxes.
You can select a different style from the style menu that best fits your needs. Some of the other
styles are grouped boxes, vertical boxes, and styles that omit boxes altogether.

1. To change the style of your organization chart select the entire chart or a portion of the
chart.

2. Choose the Styles Menu and select a new style from the pallette.

1. To add an assistant click the assistant button on the toolbar, and select the box of the person

to whom the assistant reports.



ADDING SUBORDINATES

1. To add a subordinate from the toolbar click the subordinate
button and select the person to whom the subordinate reports.
If space is a problem you can eliminate subordinate boxes by
clicking on the subordinate box and selecting the style
without the boxes.



ADDING MANAGERS

1. To add a manager to an existing subordinate, click the manager button on the toolbar and
select the box of the subordinate.

ADDING CO-WORKERS

1. There are two options in adding co-workers. You can add a co-worker to either the left or the
right. To do this click either the left or right Co-worker button on the toolbar and click on the
existing staff member.



FORMATTING TEXT

1. Click inside the box placeholder to add text. Each box can hold from one to four lines of data
that can include: name, title, and two comment lines.

CHANGING FONTS

1. Select the text you want to modify whether it be a box or the entire chart.
2. Click the Text Menu and select Font.
3. Choose the desired font style and size and click OK.

CHANGING TEXT COLOR

1. Select the text and click the Text Menu.
2. Choose the color from the color dialog box and click OK.


CHANGING TEXT ALIGNMENT

1. By default your text is center aligned, but you can left or right align your text.
2. To do so you will go to the Text menu and select either Left or Right.



**Note: Remember to consider readability when you are making changes to your
organization charts default. Some formatting can enhance your charts appearance, but too
much can make it unreadable.

1. First select the boxes you want to change.
2. Select the Boxes menu, and choose Color.
3. Select the new color and click OK.


CHANGING THE BORDER STYLE

1. Select the boxes you want to change.
2. Click on the Boxes menu, and choose Border Style.
3. Click the border style you would like to use.

CHANGING THE BORDER COLOR

1. Select the boxes you want to change.
2. Click on the Boxes menu, and choose Border Color.
3. From the color box select the color.
4. Click OK to apply the changes.

CHANGING THE BORDER LINE STYLE

1. Select the boxes you would like to change.
2. Choose the Boxes menu, and click Border Line Style.
3. You have three options, a solid line, a broken line with wide spaces, and a broken line with
narrow spaces.



USING DRAW TOOLS
Drawing tools provide more formatting control. You can use these tools to draw your own
organization chart. You can also use them draw your own additional lines and boxes. To view
these tools, select View, Show Draw Tools.

Button Name Description

Horizontal/Vertical Line Draws a horizontal or vertical line

Diagonal Line
Draws a diagonal line

Auxiliary Line
Draws a connecting line from one box to the edge of
another box.

Rectangle Creates a rectangular -shaped box.



MODIFYING AND SAVING CHARTS
After your chart is complete you will need to save it. There are several options for closing and
exiting.
Close and Return to Presentation- Closes Organization chart from within powerpoint
Update Presentation- Updates the presentation with the new chart, but dose not exit
Microsoft Organization Chart.
Save Copy As- Opens the save chart dialog box, and allows you to save your chart
outside of powerpoint.
Your chart will be saved externally and not updated in powerpoint.
Exit and Return to presentation- Closes the chart and exits Microsoft Organization Chart.
You will be prompted with a dialog box asking if you want to update the object
before proceeding. Yes will save changes in the presentation. No will not save
changes in the presentation.
