ADMISSION TO THE PREPARATORY CLASS OF 2014-15
Parents who wish to educate their children at St. Xaviers are expected to acknowledge the Christian
Minority status of the school and show readiness to share the values, vision and mission of the School.
For the Preparatory Class usually there are several candidates applying for every available seat. To
minimize the chances of elimination of their children from the admission process parents should adhere to
the time schedule and provide true, accurate and complete information in the application form and attached
documents.
The candidates applying for admission are expected to have the elementary literacy, quantitative
reasoning and social skills appropriate for children of about five years of age. Those who have completed
the level of schooling equivalent to that offered in the Prep class (e.g. UKG) will not be eligible.
At the time of submission of the completed form, the applicant receives a card with a serial number.
A passport size photo of the candidate with the date stamp (taken within the last thirty days) should be
affixed on it. The number on this card is to be used for all references until the completion of the admission
process. The card should be produced on the first day of class if the candidate secures admission.
As per the rules of the Right to Education (RTE) Act, for the admission to the entry class (Prep) no
aptitude test will be conducted. In the matter of admission the school gives preference to the children of
Christian Minorities, SC/ST communities, economically less advantaged, school staff and alumni who are
regularly involved in HOXA activities. Children from the neighbourhood and those with siblings in the
school may also get preferential consideration. However, all the children under these categories may not be
automatically admitted.
Scrutiny of application forms and the verification of the given data and supporting documents as
explained below will be done prior to listing the candidates who are eligible for admission. If after these
processes the number of candidates who qualify is more than the seats available lots may be drawn.

Verification of Information
After careful scrutiny of the application forms and documents, the list of candidates whose forms are
found in order will be displayed on the school notice board with the reason/s for the non-acceptance of the
application. The school authorities will not be in a position to meet the parents/ guardians/ representatives of
the candidates whose form numbers are not included in this list.
The above-mentioned list will include a time table for the candidates to come to the school with both
parents. This interaction is arranged for the identification of the candidates, verification of the information
provided in the form and the examination of the submitted documents. Parents should take care to bring their
identity and address proof as well as the original documents of which copies were submitted with the
application form.
Age:
Between 4 and 5 years of age on April 1, 2014
Date of Birth Certificate:

A birth certificate issued by the relevant government agency from the place of birth of the child is
required.
Birth certificates obtained after 1/10/2013 may not be considered.
If the birth was not registered and the certificate issued within six months of the childs birth, credible
documents (e.g. immunisation record, hospital certificate, baptism certificate in case of Catholics) to
corroborate the given date should be submitted.
Affidavits will not be accepted in lieu of birth certificates.

Documents Required of All
a) A passport size photo of the child taken after 01/10/2013. The childs name and the date of taking the
photo should be printed (not written or pasted) on the photograph.
b) Date of birth certificate (and a corroborating document) as mentioned before.
c) A certificate issued by the head of the preschool where the child has been studying stating the date of
admission and the date of birth entered in the admission register.
d) A copy of the latest progress report from the childs present preschool.
e) A copy of at least one of the parents' photo ID (with present address) issued by a government agency (e.g.
Aadhaar Card, Voter Id, Driving License, Passport, etc.)
Documents as Applicable for Special Categories
a) Caste/income/ disability certificate.
b) A letter from the Pastor/Parish Priest to certify that the candidate is a practising Christian.
Dates to Remember
o I ssue of Forms: 4- 7 Nov 2013 (9:00-11:30 am)
o Return of Completed Forms: 11-13 Nov, 2013 (9:00-11:30 am)
o Listing of applications found acceptable after scrutiny: 08 Dec, 2013 (8:00 am).
o Verification of I nformation: 13-15 Dec, 2013.
o Further procedures for the next round: 5 Jan 2014 (8:00 am)

Care should be taken while filling the form to:
a) Provide all the information asked for in the form/forms.
b) Write clearly and accurately the childs name and date of birth.
c) Affix on the application form a passport size photo of the child taken within the last one month. The
childs name and the date of taking the photo should be printed on the photograph.
d) Attach the appropriate date of birth certificate and the corroborating document mentioned before.
e) Attach a certificate issued by the head of the preschool where the child has been studying stating the
date of admission and the date of birth entered in the admission register.
f) Attach a copy of the latest progress report from the childs present preschool.
g) Attach relevant certificates for special categories (Caste Certificate, Disability Certificate, BPL
Certificate, Pastors or Parish Priests Recommendation)
Please note:
a) The schedule announced here may be subject to change for unforeseen reasons. Such changes will be
announced on the school notice board.
b) Parents are requested to follow the time table announced by the school strictly to complete all
formalities related to the admission process.
c) The school authorities or staff will not entertain admission related matters outside the school offices.
d) Applications will not be issued or accepted outside the dates and times mentioned here.
e) Applications of the candidates who had applied previously will not be considered.
f) Forms with incomplete information and/ or those submitted without the required documents will be
rejected.

g) The date of birth registered at the time of admission will not be altered. The school will not entertain
requests for such change throughout the school life of the candidate.
h) Candidates, on whose behalf attempts to influence the admission process unduly are noticed, will be
disqualified.
i) Incorrect declarations of age or any other matter will disqualify a candidate for admission.
Subsequent discovery by the school authorities of wrong declarations may lead to cancellation of
admission.
