Introduction
Documentationisnecessaryfortheprovisionof
informationforallactivitiesduringthelife-cycleof
technicalproductswhichincludeplants,systems
andequipment.Itmaybeproducedinanyphaseor
activity.Documentsmaybereceivedfromand
deliveredtootherparties.Differentpartiesmay
needdifferentinformationordifferentviewsonthe
sameinformation,dependingonwhatismost
suitablefortheintendedpurpose.
Inthisstandardthetermdocumentisusedina
verygeneralsense.Itcoversinformationonall
possiblemediaonwhichdatacanberecorded.
Howeverthedescriptionofdocumentkindsis
derivedfromthepaper-basedpresentationofthis
information,i.e.howtheinformationismadevisible
andreadablefortheuser.
Oneaimofthisstandardistoestablishamethodfor
bettercommunicationandunderstandingbetween
partiesinvolvedindocumentinterchange.Inorder
togetabasisforasystem,itisnecessaryto
disregard,moreorless,whatadocumentiscalled
today.Differentnamesareinuseforthesame
documentkindorthenamesmayhavedifferent
meaningsfordifferentparties.Thepurposeand
objectofinterestaresometimesalsopartof
documenttitles,whichhampersgeneral
understanding.Thereforethebasisforacommon
understandingshouldbeaclassificationscheme
whichisbasedonlyonthecontentofinformation.
Anotheraimofthisstandardistosetuprulesfor
relatingdocumentstotheobjectstheydescribe.For
thispurposeadocumentdesignationsystemis
provided,linkingthedocumentkinddesignationto
theobjectdesignationusedwithintheplant,system
orequipment.Followingtherulesand
recommendationsgiven,thedocumentationreflects
thestructureoftherealinstallation.Bythatalso
guidanceisgivenfororderandfilingaswellasfor
structuredsearchingforinformation,forexamplein
documentretrievalsystems.
Theprincipleofclassificationalsocoverstheneeds
ofcomputer-baseddocumentationingeneral.An
increasingamountofinformationwillbestoredand
interchangedinastandardizeddatabaseformat.
Theinformationtobedeliveredmaybespecifiedin
suchawaythateachdocumentkindrequiredand
agreedbypartiescanbederivedfromthatdatabase
bythereceiverscomputersystem.Thismayinitiate
futurestandardizationwork,forexampleon
informationanddataelements,detaileddocument
kinddefinitionsanddetailedpresentationrules.
Althoughthisstandardhasbeenpreparedmainly
byexpertsfromthefieldofelectrotechnology,high
valuewassetontheintegrationof
non-electrotechnicaldocuments.Expertsfromthe
moreISO-relatedfieldsoftechnologymade
considerableinputtothisdocument.
1Scope
ThisInternationalStandardprovidesrulesand
guidelinesfortheclassificationanddesignationof
documents.Itservesasabasisforagreements
aboutthepreparationofastructured
documentation,primarilyrequiredforlarger
installations,forexampleplantswiththeirsystems
andequipment.Itcoversalltechnicalareasandis
openforfurtherdevelopmentofdocumentationand
documentationsystems.Guidanceisalsogivenfor
applicationssuchascommunicationinthefieldof
documentationandfordocumentidentification.
Documentsfromnon-technicalareasareincludedto
theextentrequiredforandduringtheengineering
process.

Documentsprovideinformationnecessaryfor
differentactivitiesandpurposesduringthelife
cycleofaplant,systemorequipment.Theterm
documentisnotrestrictedtoapaper-based
presentationoftheinformation.Italsocoversother
formsofinformationstorage,suchasdatafileson
electronicmediaorinadatabase.
Informationbyitselfisnotunderstandablefora
humanreader,unlessitispresentedinanagreed
readableandinterpretableform.Inmostcases,
suchaformisdefinedonlyfortraditional
paper-baseddocuments.Thereforethedescriptions
ofdocumentkindsarederivedfromthepaper-based
presentation.Otherformsofvisualisation,

Theclassificationofdocumentkindsisbasedonthe
contentofinformation.Theclassdefinitionis
independentfromtheobjecttowhichaparticular
documentbelongs.Thepurposeforwhicha
documentismadecannotserveasabasisfor
classification,becauseadocumentnormallyserves
morethanonepurpose.Thesameappliesforthe
phaseinthelifecycleofaplant,systemor
equipment,inwhichadocumentispreparedor
used.Noristheformofpresentationanadequate
meansforclassification,becausetheinformation
containedinadocumentmaybepresentedin
differentways.
Adocumentkindisdefinedwithrespecttoits
characteristicinformationcontentanditsformof
presentation.Twodifferentdocumentsareofthe
samekindiftheyhavesimilarcharacteristics
concerningthecontentofinformation,andifthey
havethesameformofpresentation.
Adocumentcanbedefinedasadocumentkindwith
aspecifiedcontentofinformationandformof
presentation,preparedforaspecificobjectand/or
purpose.
Alargevarietyofnamesofdocumentkindsisused.
Manyofthemarenotstandardizedbutmaybewell
knowntoaspecificgroupofusers.Thesamekindof
documentmayhavedifferentnamesamong
differentgroupsofusers.Theuseofnamesof
documentkindsisforthisreasonnotsufficientfor
communicationbetweendifferentparties.
Inordertoreachacommonunderstandingamong
partiesaboutdocumentstobeexchangedor
delivered,adocumentkindclassificationcode
(DCC)hasbeenestablishedinthisstandard.This
codeshallbethecommonbasisofunderstanding
aboutthecontentofinformation,independentfrom
thenon-definedorstandardizednamesofdocument
kinds.
Eachdocumentkindclassificationcodeis
accompaniedbyashortdescriptionofthecontentof
informationandexamplesofdocumentkinds
belongingtothatclass(seeAnnexA).Examplesof
establisheddocumentkinds,whichare
standardizedorcommonlyknown,arealso
presented,togetherwithashortdescriptionofthe
contentofinformation.Wherefeasible,the
descriptionhasbeendividedintotwoparts:alistof
theminimumcontentofinformationandpossible
additionalinformation(seeAnnexB).
Theobjectofthisstandardistocoveralldocument
kindswhichareinuseduringthelifecycleofa
plant,systemorequipment.Thefactthat
documentsfromdifferenttechnicalareasmaycome
togetherwithinoneprojectandthattheymustbe
clearlydistinguishablefromoneanothershallbe
takenintoconsideration.Futuredevelopmentwill
establishnewdocumentkindswhichshallfitinto

5Designationofdocuments
Documentsarealwayspreparedforspecified
objects.Itisimportanttoindicatetowhichobjecta
documentisassigned.
Forthisreason,eachdocumentshouldbe
designatedbyacombinationoftheobject
designationoftheobjecttowhichthedocumentis
assigned(forexampleafunction,alocationora
product)andtheDCC,asshowninFigure3.
NOTETheobjectdesignationchosenfordocumentdesignation
maybedifferentfromthereferencedesignationoftheobject

Fortheobjectdesignationastandardizedoratleast

6Documentsets
Acompletedocumentationmaycontainmany
documentsofdifferentkinds.Thedocumentation
shallbestructuredbytakingdifferentaspectsinto
consideration,forexample
flexibleadaptabilityoftheinformation
requirementsforthedifferentstages
(forexample:engineering,installation,
commissioning);
practicalstructurefollowing,forexample,the
function-orientedand/orthelocation-oriented
structureoftheplant;
centralisedand/ordecentralisedavailability;
organisationofthepartiesinvolved.
Eachoftheabove-mentionedaspectsstatesa
requirementforalogicgroupingofthedocuments.
Themainaspectsforgroupingshallbeagreedupon
bythepartiesinvolved.
Arecommendedmethodforanappropriate
groupingofthedocumentsistodividethe
documentationintodocumentsetsthatarerelated
tothestructureoftheobject(plant,system,etc.)to
bedocumented.
Thestructureofaplantorsystemisnormally
representedbyareferencedesignationsystem.By
usingareferencedesignationincombinationwith
theDCCwithinthedocumentdesignation,adirect
relationbetweenadocumentandtheobjecttowhich
itbelongsisestablished(seeFigure4).All
documentsbelongingtothesameobjectforma
documentset.
Figure4showsanexampleoftwodifferent
structuresofasystemandtheirrelationshiptothe
documentation.Withinthetreestructuresthose
nodesareindicatedtowhichdocumentsarerelated.

7.1Toolsforcommunicationaboutdocument
interchange
Themainobjectofthisstandardistoprovidemeans
forbettercommunicationaboutdocumentsand
documentationtobepreparedordeliveredwithina
project.Thedocumentdesignationshouldbeused
forthispurpose.
Thedocumentkindswhicharerequireddependon
theobjectandpurposeforwhichinformationistobe
provided.Itishighlyrecommendedfirsttoagreeon
thestructureandreferencedesignationoftheplant,
systemorequipmentinquestion,andthentorelate
thenecessarydocumentkindstothatstructure
(seeclause6andFigure4).Thereference
designationlateronbecomesanintegralpartofthe
documentdesignation(seeclause5and
subclause7.2).
Differentphasesinaprojectorinthelifecycleofa
product,suchasengineering,manufacturing,
installation,commissioning,operationand
maintenance,requiredifferentinformationand
possiblydifferentdocumentkinds.Veryoftenonly
subsetsofinformationfromspecifieddocument
kindsareneededforaspecificpurpose.Therefore,it
isofimportancetoknow
whichphasesaretobeconsidered;
whichdocumentkindsarerequiredfora
specificphase;
possiblywhichsubsetofinformationis
requiredforthispurposeasaminimum.
Thedocumentkindswhicharerequiredshouldbe
statedbymeansoftheDCC,clearlyseparatedfor
theobjectsinquestionandforthephases(purposes)
intheproject.BytheuseoftheDCC,thereaderis
ledtothedescriptionofthemainclassesand
subclassesofdocumentkinds(seeTableA.2).This
