Introduction
The purpose of this handbook is to provide students and parents with information about school policies
and procedures. It incorporates the academic and social responsibilities of students and parents. This
will ensure that all the stakeholders work in harmony and collaboration.
The handbook will be updated as and when required.
We have tried to cover all possible issues, and we request you to read the handbook carefully and save
it for future reference.
Students are expected to follow the given procedures and rules for self development and learning.
We anticipate a cooperative liaison with you in this journey of seeking Allahs Blessings for our
children and ourselves.

The Management

Admission Procedure
Registration will be open from January onwards for Nursery, Preps and senior classes, for the
session starting in August. Please contact the Office for further information.

Fee Payment Procedure


Admission Fee:One-time payment only which will be non-refundable.
Monthly Fee:Fee will be collected on a quarterly basis (August September,
November January, February April, May July). It should be deposited in the
schools admin office by the due date, through cross cheque or pay order as stated
on the fee challan.A new challan will be issued in case of change of date or
misplacement, with payment of rupees Rs.500/-. Kindly note that no manual
changes will be made in the fee challan. If a cheque is returned because of
insufficient funds parents to pay fees through pay orders ONLY.

School Timings
Punctuality helps discipline people in all walks of life. In order to inculcate discipline and
punctuality amongst students, it is important that they begin their lesson on time.

The school gate will be open for students at 07:15 a.m. daily prior to it; students
will not be allowed to enter the premises.
The school gate will close at 07:30 a.m. for Prep 1 till class 5, and 08:10 a.m. for
Nurseries.
Students staying back after school to wait for their siblings will not be the
responsibility of the school, except for 15 minutes after the school gets off. In
case child is picked up late 3rd time in a month, service charges of Rs.500 will be
charge every time.

: 8:10am 12:45pm(Friday 8:10am-12:05pm)
Prep 1 and Prep 2: 7:30am 12:45pm(Friday 7:30am-12:05pm)
Class 1 onwards : 7:30am 2:20pm

Zuhur Salah
Optional for students of Class 1 onwards
Timings: 2:20pm 2:30pm
Parents who want their children to offer Zuhur Salah in school are requested to
give the names of the children beforehand to the respective teachers.

Late Arrivals in the Morning


Students are allowed up to 3 late arrivals in the entire academic year. Students will be penalised
Rs.300/- per instance thereafter and the parents will be informed through the incidents. Siblings
with same morning timings will be treated as ONE and not charged individually.

Student ID Cards
A student ID card is issued to the parents/guardians (not drivers/maids)at the time of admission.
For safety precautions, parents are requested to ensure that the ID card is presented to the staff on
duty either by parent or their representative for taking the child home. Parents requiring an
alternate card for their child should contact Admin.
If the parent/representative fails to present the students ID card, they will have to request a
written permission from the Office for taking their child with them. The student will be detained
at the school and the parents/representative will be asked to bring ID card from home after the
third such instance.
In case the ID card is lost, parents/guardians are required to immediately send a Request Letter
with a recent passport sized photograph of the student and reissuance fee of Rs.500/- for the first
time and Rs.1000/- for subsequent loss.
Counterfeiting of ID cards will result in the students expulsion from the School.

Early Departure
Following a routine helps discipline the child. The school does not encourage any early leaves.
However, in case of emergencies, please obtain prior permission from the Coordinator.

Attendance
Regularity is an important aspect of our lives. It instils responsibility in students and enables
them to be successful both socially and academically.
Please make sure that there are no unnecessary absences from the school.
It is mandatory for the students to attend the first and last three days of the school. In case the
student fails to do so, he/she may be suspended.

The following may be considered excusable absences from the school:


Illness, quarantine.
Serious family emergency.
Learning trips. (Only if the school allows and should not be more than eight days)
Un-notified/Un-approved absences may result in cancellation of the childs admission,
and the child will have to re-apply.
It will be the students and parents personal responsibility to catch up with any missed
lessons (homework/class-work/worksheets), as soon as possible with the help oftheir
class- mates or teacher/s.

It is imperative to plan your vacations according to the school calendar in order to ensure
a smooth learning and assessment process for your child.

Uniform
Allah (SWT) orders the believers to maintain cleanliness:
Keep your clothes clean (Quran 74:4)
Allah (SWT) clearly explains the purpose of clothing in the Quran as,
O Children of Adam! We have bestowed raiment (clothing) upon you to cover yourselves and as
an adornment [7:26]
The children must be taught to wear clothes that cover properly and are clean. The schools
uniform covers the first category (i.e. covers properly); the second (adornment/neatness) has to
be developed by the child through the assistance of parents and teachers.

Uniform for Boys and Girls


For all classes, scarves (for girls) and caps (for boys) will be added in the uniform,
butwill be optional to wear.

Parents must ensure that their children attend school properly dressed in full uniform. The
uniform must be neat, clean and as prescribed by the school.

Note: Inorder to avoid misplacement of belongings, please ensure that all items are clearly
labelled with the childs name and class.

Personal Grooming

No jewellery except simple ear studs or small hoops.


No nail polishes or make up.
Undergarments are mandatory for both (boys and girls) from Class 1 onwards.
If a child is found missing on any or both of the undergarments, the child will be marked
late and the mother will be asked to come along with the same and change the child.
Same rule is applicable if the child does not adhere to the uniform guidelines.

Cleanliness checking is done on a regular basis in the school. You will be notified if your
child falls below the expected standard in any of the given area.

Books & Stationery


A complete set of books and stationery will be provided at the beginning of each academic year.
It will be the responsibility of the parents to replace any lost books and update the work
in the given time.
For those classes that are provided stationery by the school, parents must ensure that the
children do not bring the school property home. If they do they must be returned to the
teacher. The parents must explain to the child that it is an amanah and that one is
accountable to Allah (SWT) for it.
Stationery, bags, lunch boxes, bottles or any other item with characters pictures which are
unacceptable in Islam will not be allowed.

Homework should not be seen as a burden. At Fajr Academy, your child is given just as much
homework as he/she can comfortably do with minimum help/supervision. This enables him/her

to submit it on time, leaving him/her with ample time to relax. This will serve as a tool for
learning and punctuality.

Support Program
Support classes are a constant and ongoing feature in our school. They are aimed at helping
students who need extra help. This program will be conducted during and after school hours and
on Saturdays/other holidays, so that students can catch up on their lessons without missing any
activity.

Ways of Communication
Teachers and parents need to work together for a childs social and academic development.
Therefore, an effective communication system is imperative to achieve our goals.
One-to-One Meeting
If parents/school management need to discuss a particular issue regarding the childs
schooling, or if they have any queries/concerns, they are required to take an appointment
either by phone, in person, by email, directly from the teacher/coordinator.
Suggestions/Complaints
We expect the parents and the school to work as a team. If there are any
suggestions/complaints, we would appreciate if they are emailed directly to the Principal
through our web portal. When you send a suggestion to the Principal, you will receive an
auto reply. Please note that your suggestion may or may not be accepted as per schools
decision. When you send a complaint through email to the Principal please make sure that
you have followed the process:
1. talked to the teacher
2. contacted the Coordinator, if the problem persists.
3. contacted the Vice Principal, if the response was not satisfactory.
The Principal may only be approached as a last resort.
Please note if your complaint to the Principal is sent without following the process
then it will not be entertained.

Library Rules

Students will be bringing home one or more books daily for reading.
Books should be returned as per schedule.

Pre-Primary

Class 1 onwards

The books borrowed should be returned within a week after issuance.


In case the book is not returned, a reminder will be sent by the school to return the books
within 2 days.

If library books are lost, pages marked, torn, underlined or damaged (please check and report the
same at the time of issuance) the following will apply:

Parents will either replace the book or with a copy of the same.

In case a book is lost or damaged, a fine will have to be paid to the school, ranging
between Rs500 and the price of the book.

Returning the library book is the responsibility of the students in every and all
circumstance.Should a book not be eventually returned, parents will be obliged to pay the
cost of the book or provide a copy of same book.

Note: We have kept some educationally significant books that may contain material against
Shariah/Sunnah due to the limited availability of the Islamically acceptable books. Please
explain the problem to your child and offer Islamicaly suitable solutions. In case of any
confusion regarding the subject feel free to contact the teacher.

Snacks Rules
Please ensure that the snacks sent are according to the snack plan.

Hygiene
Cleanliness is a vital feature of Islam. At Fajr Academy we promote proper health and hygiene
from an early age. Students are expected to inculcate simple habits such as keeping their hair
tidy, washing their hands before and after eating, observing bathroom manners and keeping
themselves clean.
In the Quran, Allah praises those who are accustomed to cleanliness,

Allah loves those who turn to Him constantly and He loves those who keep themselves pure and
clean (Quran 2:222)

The Messenger of Allah (sallallahu alaihi wa sallam) said:


"There is no disease that Allah has created, except that He also has created its
treatment." [Sahih Bukhari]
We should teach our children perseverance in times of illness and discourage them from
excessive complaining.

If a student requires any kind of medication during normal school hours, then arrangements
should be made for it to be sent to school. It should be administered by the parent/parents
representative or the school doctor/nurse (after getting approval from the office).
If the school teacher is requested to administer any medication, the following information should
be provided:
childs name and class
name of medicine
dosage and timings

Please note, all medication should be sent in the original packing/containerproperly labelled with
the childs name and class to avoid any mishap.
Narrated Nazi: Abdullah bin Umar said,
The Prophet said Fever is from the heat of the hell, so put it out (cool it) with water.
Nafi added: Abdullah used to say,
O Allah! Relieve us from the punishment, (when he suffered from fever.) (Bukhari)

Isolation Periods for Various Illness/Condition


Allahs Apostle (sallallahu alaihi wa sallam) said,
The cattle suffering from a disease should not be mixed up with the healthy cattle (or he said,
Do not put a patient with a healthy person, (as a precaution). (Bukhari)

A child is not allowed to re-enter the school after an infectious disease without a medical
certificate. Children returning after such illnesses must report to the office before going to class.

Emergencies
It is extremely important for the parents to give an up-to-date emergency contact, where they may
be contacted if a student falls ill or meets with an accident during school hours.

Lost and Found

Lost and unidentified articles found in the school are kept in the lost and found area. Be
sure to label all items that your child brings to school.
The school will not be held accountable for any lost property.
After every two months, unclaimed items will be given away for charity.

Birthday/Parties
As Muslims, Allah has chosen the two Eidain as our celebration days. They should suffice for us.
Birthday celebrations are a part of the religious festivities of the Pagans, and thus, we request you
not to celebrate birthdays.
Moreover, there should be no music or any other activity in childrens parties which is against
Islamic teachings and values.
Invitation Rule: Mother can invite other children of the school by directly contacting the
respective mothers. The invitations will not go through the school.

Gifts
We understand it is the Sunnah of our Prophet (sallallahu alaihi wasallam) to exchange gifts, but
to ensure integrity of the school and its staff, gifts of any kind must not be presented to the
faculty.
The best gift you can give them is dua.

Please do not give anything directly to the domestic staff. If you wish to help them, contact the
office. There are a lot of people who just work as hard for your childs comfort. Should you wish
to give them anything, give them dua.

Withdrawal from School


From August to April:
At least one calendar months notice, in writing, is required for the childs withdrawal. If the
application is received by the end of the calendar month, the next months fee will be charged.
For example, if the withdrawal notice is received on the 25th of December, then only the fee of
January would be charged.
However if the letter is received on 1st January, then the fee for January and February will be
charged.

From April to July:


Fees for the months of June and July will be charged for all withdrawal applications received
from 1st March onwards.
