PROJECT PROPOSAL

INTRODUCTION
The aim of this project is to automate the booking system of a flower shop through the
computer with satisfactory user interactions.
The developed software will be easier and more flexible to handle. Computerization of the
booking system will be able to give fast services to the customers. We chose this system
because it is more efficient, it is cost effective and manual errors will be lessened. The
software is user friendly and menu driven. We have selected the flower shop in Tanjong
Malim, named ROSE ROSE INFORMATION BOOKING FLOWER SHOP. The flowers are
supplied by various distributers and customers can book flowers and or flower
arrangements 2 or 3 days in advance, before delivery.

ORGANIZATIONS BACKGROUND
The organization we have selected for our project is Rose Rose, it is situated in the town
of Tanjong Malim-Perak-Malaysia. It was incorporated and established as a private firm in
2006. It has about 4 employees and all transactions are done manually. The motive behind
this organization is excellent service which will equal in maximum customer satisfaction.
Their motto is We Take Flowers Personally.
The existing system is a manual system, whereby the customers have to walk into the shop
or make a phone call to make a booking, sometimes the flowers they want to book are
unavailable and that results in time and money wasted by the customer. `

PROBLEM STATEMENT
The existing system requires a lot of man power; to handle the number of available flowers,
flowers that are already ready to be delivered and customer details like the address where
flowers should be delivered, the need to calculate the payment of flowers, and all of this is
tediously time-consuming, it can result in redundant information being processed and a lot
of paperwork being produced. The system is less reliable due to human error, data
processing is low and the updating of written records is very difficult. The costs to do all of
this, runs high at the end of every month..

DISADVANTAGES OF THE EXISTING SYSTEM (Non-computerized system)


o Generation of various reports is very difficult and time consuming
o Updating of written flower is very difficult to manage
o The existing system needs a large number of registers for handling of flower
booking---this leads to tedious manual labour
o The system is less reliable due to the possibility of human errors that occur
while entering and calculating flower prices
o Accessing previously stored flower booking records is a time consuming task

SCOPE
The project titled ROSE ROSE BOOKING INFORMATION FLOWER SHOP SYSTEM is an online
comprehensive system designed to co-ordinate booking operations in a flower shop. These
include a variety of collections of flowers and flower made products such as flower
bouquets, flower arrangements, etc.
The system first checks for the availability of a particular flower or flowers, then if it is
available it avails it the customer. The software will be able to extract information from
databases and make the reporting very easy. The software and its operations will be safe
and unauthorized access will not be allowed.

To overcome the disadvantages of the existing manual system
To save time
To maintain flower booking details effectively
To manage current status of orders and flower availability
Calculations of booked flowers are done in a few seconds
To provide a Web system for customers to obtain pricing information and
booking of flowers

FEASIBILITY STUDY
According to Kendall & Kendall (2014), feasibility goes much deeper than the usage of the
term. They claim that systems projects feasibility is assessed in three principal ways namely
operationally, technically and economically. They further state that a feasibility study is not
a full blown systems study, but rather a feasibility study is used to gather broad data for the
members of management that enables them to make a decision about whether to proceed
with a systems study. A System that meets the performance requirements at feasibility
study is to choose the least cost. The most essential task performed by the feasibility
analysis is the identification and the description of the new system, evaluation of the new
system and selection of the best new system. In general a feasibility study of a system
means checking whether the system proposed is practically possible or not. (Flower Shop
Management System, 2014)
Many feasibility studies are desirable for both users and analysts. Firstly, the study often
opposes that when the feasibility document is being prepared, the analyst is in the position
to evaluate the solution; secondly, most studies tend to overlook the confusion inherent in
the system development.
FEASIBILTIY CONSTRAINTS (3 key considerations)
Economic Feasibility
Kendall et al (2014) propagates that in economic feasibility a number of factors have
to be considered like time, cost of doing the full systems study, the cost of business
employee time, estimated cost of hardware and software. The most frequently used
method to test for the effectiveness of a new system or cost/benefit analysis. The
procedure is to determine the benefits and savings that are expected from the
flower booking system.
Technical Feasibility
Centres on the existing computers whether it is possible to develop a new system
given the current technical resources. Our proposed system is technically feasible
because there was no previous system to compare it to. All booking data reports are
stored in a database table and the customer booking interface designed is userfriendly.
Operational Feasibility
Operational feasibility according to Kendall et al (2014) depends on the human
resources available for the project and involves projecting whether the system will
operate and be used once it is put in place. In our proposed system command
buttons are used throughout the application, the program enhances operational
feasibility, so maintenance and modifications are found to be easier to do.

RESOURCE IMPLICATIONS
The existing system is a manual system. The proposed system will try to simplify the
difficulties encountered in manually handling the information about the flower booking, the
availability stocked flowers and flower sales, in our case the details of flower sales, flower
booking and stocked flowers, in hand are stored in one or more registers.
The existing system needs a number of staff and a lot of time is consumed in the process of
bookkeeping/admin work. Comparing the existing system to the proposed system, we have
found many drawbacks for the existing system.

COSTS
In the case of our system the time and rough estimate of the cost cannot be calculated at
this moment as the system is still at its preliminary stage. But if we have to make a rough
estimation, it would cost around +-RM15 000.
