1. Introduction
1.1
The problem and
its background
From
conducting
an
interview to the owner of the
business
John
Carlo
T.
Sarmiento,
the
existing
problem in Carls Farm is the
time of their service to make a
good transaction and storing
information of the customers
transaction every year. The
other one is they only used
papers as a record medium,
where they save and retrieve
the customers transaction.

Significance
the Study

of

The significance of this

study is to develop and help
Carls
Farm
to
have
a
modernized
Sales

system. Using that system the
business
can
save
the
transactions made and to
make a fast and convenient
access
of
updating
and
recording transactions. Help

to gain insight into the data of

gain:
Accelerate Order-to-cash

Improve

productivity anytime.

The proposed system

aims to provide and improved
a
computerized
ordering,
sales with inventory system.
The study will help the Carls
Farm personnel as well as the
clients in having fast and
secure retrieval of records and
fastest way to interfere the

using relational database. The
study also capable in storing
customers data and sales
made on the database. The
limitation of my proposal is
not online-based meaning you
cant access the system
online.

2. Methodology of the
Study
There are many process
models that we can use to
develop a system and every
process model differ from one
another. Waterfall model is the
methodology I used. I prefer
waterfall model for its simple
approach and discipline in every
stages of development. Its easy
to understand and explainable
phases. In using waterfall model
the developing stage must be
100% complete and correct
before proceeding to the next
stage. This is the reason why we
chose waterfall because its fit in
developing our system which is
Sales
and
Ordering
with
Inventory System.

3. The Existing System

3.1 Company
Background
Carls Farm
Established in 2009,
Carls Farm is solely owned
by John Carlo T. Sarmiento, it

is situated in Sta. Maria

Bulacan. The farm is engaged
in poultry and swine business.
Its operation includes growing
ready to lay pullets and selling
it to various customers mostly
in southern and northern
Luzon. The Farm also market
fresh farm eggs to customers
in Manila. It also has broiler
production operation which
they started in the 1st quarter
of 2013. Its swine operation
was also started this year.
They purchased quality piglets
from its supplier. The piglets
were reared until it reached its
market weight then sell
produce to haulers. We are
using manual ordering system
and inventory system.
To date, the farm has
30,000 birds and more than
100 fatteners. They aim to
expand their broiler
production and plan to
produce their own piglets. We
have more than 20 regular
customers both company and
walk-in customers. The
customers buying good
regularly everyday and the
harvest of the company is also
scheduled everyday to avoid
out of stocks goods.

3.2 Description of the

System
Sales and Ordering with
Inventory processing systems, in
one form or another, have been
a part of doing business for a
long time, and have developed
and improved the business to
provide powerful means of

storing, recording and shipping

customers' orders. Advanced
order processing systems can
span multiple continents to store
and record orders. The Sales and
Ordering with Inventory system
also allows you to keep track
within the inventory of the
company.

3.3 Process Flow (Current)

3.4 Problem Areas

Based on the informations
that I got during the interview, I
have noticed that the manual
system is the only way they use
to record transactions and
information that takes a lot of

time and making the business to

have a bad impression to the
customers
Another
problem
I
identified is the slow retrieval of
Data. The information of the
customers are stored in different
parts of the site or a cabinet and
take a long time to retrieve the
data. In all it can take up to 30
minutes finding the relevant
information on the person. The
Delivery goes out the next day.
Deliveries are sometimes held
up due to the amount of time
taken to get the relevant
information.
This
leads
to
unhappy
customers.
Paper
wastage much paper is waste
due to the number of customers
in the company. Information on
each of the orders is stored in
the customer's file on another
page.

4. The Proposed System

4.1 System Overview
Sales and ordering with
Inventory
system
is
an
automation system. Instead of
being stored in static shelving,
flow
racks
or
carousels.
Products, transactions and
data are stored in the
database using the computer

order is received, the system
retrieve the details and bring
them to the worker, who picks
out the appropriate item and
places
it
