8 Telephone Etiquette Tips

1. Always identify yourself at the beginning of all calls.


A) When in the office, always answer a telephone by saying: Hello/Good Morning, Accounting Department, Syndi Seid
speaking.
B) From a cell phone, either simply say Hello, or state your name, Hello, Syndi Seid here. Do not answer by using words
such as yeah or yes.
C) When placing a call, always state your name along with the name of the person you are calling. Example: Hello, my
name is John Doe from XYZ Corporation. May I please speak with Ms. Jane Smith?
2. Be sensitive to the tone of your voice. Do not sound overly anxious, aggressive or pushy. It is important your tone
conveys authority and confidence. Do not lean back in your chair when speaking on the telephone.
Tip: Sit up in your chair or stand during the conversation. When at home, use a personal tape recorder to privately record
your own conversations. You will then hear how your sound to others.
3. Think through exactly what you plan to say and discuss BEFORE you place a call.
Tip: Jot down the items you want to discuss and questions you want answered. In other words, anticipate and expect
you will be placed into a voicemail system; plan your message to be as direct and specific as possible, asking the person
to respond to specific alternatives or questions. Do not say, Hello, its Syndi, call me back. At least state the subject
about which you want the person to call you back about.
4. Do not allow interruptions to occur during conversations. Do not carry on side conversations with other people
around you. The person on the telephone takes precedence over someone who happens to walk in your office or passes
by while you are on the phone.
Tip: If you must interrupt the conversation, say to the person, Please excuse me for a moment Ill be right back. And
when you return, say, Thank you for holding.
5. Especially when leaving messages, speak clearly and slowly. Do not use broken phrases, slang or idioms. Always,
always leave your return telephone number as part of your message, including the area code . . . and S-L-O-W-L-Y,
including REPEATING your telephone number at the end of your message.
Tip: Practice leaving your number, by saying it aloud to yourself as slow as you have heard an informational operator say
it.
6. Build the habit of always turning off your cell phone ringer when entering a meeting, restaurant, theater,
training class, or other place where the purpose of your visit would be interrupted or others would be disturbed by
hearing your cell phone ring.
Tip: If you are expecting an important call, inform the caller you will be in a meeting during certain times and state you will
monitor your message indicator for when it illuminates you will excuse yourself to leave the meeting and return the call.
7. Always speak into the telephone receiver with an even and low tone of voice. Especially when speaking on a cell
phone out in public, be sure to monitor how loud you may be.
Tip: Move the phone ear piece just slightly away from your ear and listen to yourself speaking. Discover whether you are
speaking too loudly or too quietly for the other person to hear you.
8. Do not allow yourself to be distracted by other activities while speaking on the telephone , such as rustling
papers, chewing and eating, working on the computer, or speaking with someone else. Most importantly, do not use a
hand held cell phone while driving. Get a headset or speaker phone for the car.
Tip: Always treat every caller with the utmost courtesy and respect by giving him/her your undivided attention.

Answering The Telephone


When answering the telephone at work, it is important to use a professional greeting. Don't act like
customers have to call you. Thank them for calling. Instead of using a simple Hello, brand the call
using the company's name. Branding the call serves two purposes. Firstly, it lets a customer know he
dialed the right number. Secondly, it prevents your company from appearing unprofessional and
amateurish. Include your name at the beginning of the call and ask the customer how you can assist
him. Your first name is sufficient. Giving your name makes the call personable and friendly. An example
of a professional greeting is, Thank you for calling ABC company. This is Jane. How may I assist
you?
Talking on the Telephone
When talking on the telephone, it's easy to sound bored, dry and monotone. To prevent this, add a
smile to your voice. Adding a smile to your voice makes you sound happy and upbeat, excited to speak
with the customer. Adding a smile to your voice is simple -- just put a smile on your face as you speak.
When you put a smile on your face, the smile comes through in your voice. Be mindful of your
language when speaking on the phone. Enunciate your words clearly. Avoid using slang and words
such as yeah and naw.
Proper Hold Procedures
When talking on the telephone, it is often necessary to place the customer on hold. You may need to
place the customer on hold so you can contact another department or transfer the call. Many
customers hate being placed on hold, especially if there was a long hold time getting to you in the first
place. Before placing the customer on hold, ask for permission. For instance, Mr. John, do you mind if
I place you on hold? If you place the customer on hold, make it brief, no longer than two minutes. If the
hold is longer than two minutes, refresh the customer to let him know what's going on.
Proper Closing
Closing the call gives you one final opportunity to make a good impression on the customer. Although
you thanked the customer for calling during the call greeting, thank him again during the closing. Ask if
there is anything else you can assist him with. This makes the customer feel appreciated versus feeling
like he is bugging you. Wait for the customer to release the call before hanging up. This prevents you
from accidentally hanging up on the customer.

Why People Should Not Watch Too Much Television


Watching television is an experience shared by most adults and children. It is cheap, appealing, and within
the reach of the general public. In this way, TV has become an important mass media around the world.
Sadly, this resource isnt used in a way that people could get the best possible benefits from it. The purpose
of this essay is to persuade the reader that people shouldnt watch too much television because the content
of many TV programs is not educational; it makes people waste time that could be used in more beneficial
activities; and it negatively affects peoples mental development.
The first reason why people shouldnt watch too much television is because the content of many TV
programs is not educational. Nowadays, we can see movies, series, and shows that present scenes of
violence, sex, and drugs. This has established wrong concepts among the audience that influence them into
having a negative behavior. Moreover, the impact this tendency has on children is worse because they grow
up with the idea of a world where women must be slender and blonde to stand out, where problems can only
be solved with money and violence, and where wars are inevitable.
The second reason why people shouldnt watch too much television is because it makes people waste time
that could be used in more beneficial activities. The time we spend watching TV could be applied to useful
activities like exercise, reading, interacting with friends and family, activities that are a crucial for a healthy
lifestyle.
The third reason why people shouldnt watch too much television is because it negatively affects peoples
mental development. According to several scientific studies, watching TV for prolonged periods of time has a
negative effect over the intellectual development of children and leads to deterioration of the mental capacity
in older people by causing both attention and memory problems in the long term.

In conclusion, people shouldnt watch too much television because the content of many TV programs is not
educational; it makes people waste time that could be used in more beneficial activities; and it affects
peoples mental development. However, this doesnt mean that we should ban TV, but if we are going to
watch it, we should do it with moderation. Television is a resource that we should learn to use through the
right selection of programs by taking an active and critical attitude towards it.

Why Students Should Eat Breakfast Every Day


A lot of people, especially young people, go though the day without having breakfast. Many people believe that it is
not necessary, or they say that they dont have time for that, and begin their day with no meal. I believe that
everyone should eat breakfast before going to their activities. The purpose of this paper is to show the importance of
breakfast, especially for students.
The first reason why you should eat breakfast before going to school is for your health. When you skip breakfast and
go to school, you are looking for a disease because its not healthy to have an empty stomach all day long. Its very
important to have a meal and not let your stomach work empty. All you are going to get is gastritis and a lot of
problems with your health if you dont eat breakfast.
Another reason for eating breakfast is because you need food for to do well in your classes. You body and your brain
are not going to function as good as they could because you have no energy and no strength. When you try to learn
something and have nothing in your stomach, you are going to have a lot of trouble succeeding. A lot of people think
that they should not eat because they are going to feel tired, but thats not true. Breakfast is not a very big meal, and
on the contrary, youre going to feel tired if you dont have breakfast because you have spent the entire previous
night without food.
The last reason to have breakfast every day is because you can avoid diseases if you eat some breakfast in the
morning. If you dont eat, you are going to get sick, and these diseases will have a stronger effect on you because
youre going to get sick easier than people who have breakfast every day.
You have to realize that breakfast is the most important meal of the day, and you cannot skip it without
consequences for your health, your school and your defense mechanism. It is better to wake up earlier and have a
good breakfast that run to school without eating anything. It is time for you to do something for your health, and
eating breakfast is the better way to start your day.
Why You Should Not Smoke
I am sure that you know that smoking harms your body. Then why do you continue smoking? Maybe you do it
because you havent really become conscious about all the effects that smoking has. There are a lot of reasons why
you shouldnt smoke. Some of them are that smoking affects your health, that you spend a lot of money on
cigarettes, and that when you smoke you are not respecting people around you.

The first reason why you shouldnt smoke is that smoking affects your health. If you smoke, your physical condition
will be negatively affected, so it will be very difficult for you to succeed in sports. Also, smoking produces lethal
diseases like cancer and reduces the length and quality of your life. Maybe you dont notice all the physical effects of
smoking immediately, but you surely will be sorry one day.
The second reason why you shouldnt smoke is because of all the money that you spend on it. Maybe you start
smoking only when someone offers you a cigarette, but there will be a day when you will feel the need of a cigarette.
By this time, you will pay whatever to smoke, and each time you will smoke more, so you will spend more money. All
the money you would spend on cigars could have be spent in something better, dont you think?
The last reason why you shouldnt smoke is out of respect for the people around you. When you smoke, you not
only harm yourself, but you also harm all the people around you. So you mustnt be selfish; you should at least avoid
smoking in front of people who dont smoke. Also, many people dont like the cigarettes smell, so they wont enjoy
your company. Would you like that?
I have said just some reasons of why you shouldnt smoke, so I hope that now those of you who smoke are able to
think a little and try to make a smart decision. In addition to all the reasons Ive said, I would like you to think about
how much you love yourself and then whether you want to continue harming yourself. Think also about all the
people who love you, like your family who doesnt want to see you suffering or sick. If you decide to continue
smoking, what a pity. But if you decide to stop smoking, congratulations! Remember that "If you can dream it, you
can do it."

Eggs and whole wheat bread or bran muffins is more filling. Eating cereals or oatmeal is also better than
eating a fatty breakfast or even no breakfast. During the day you need to eat meals that contain loads of

starch because they contain energy. Breads, cereals, rice, potatoes and pasta will do the trick however,
stay within the limits. Do not over eat; just eat enough to sustain your energy. You should also try to eat
as much fruits and vegetables as possible throughout the day. One should at least pack in 5 portions.

When you keep your body strong, well, and clean, you are being healthy. In order to be
healthy, the person will have to eat the right kind of food, exercise daily, take a shower,
keep him/herself clean, and stay well. People who are healthy are likely to have the
background of being and staying drug free. Junk food is not one of the things people eat to
be healthy. Eating junk food affects your body and can make you sick.
In order for a person to be healthy and stay healthy, they have to exercise daily, eat the
right kinds of food, staying clean, and that person would feel good about themselves in
the inside and outside. In the inside, they will feel good about themselves. That person
wont be worrying about their weight or how their appearance may look like because they

feel beautiful in the inside just by staying healthy. In the outside, the person will feel good
and strong. They will have a positive self-esteem about themselves. They can be able to
do or achieve anything that comes into the persons way without having negative
thoughts.
If a person were to eat a lot of junk food, drink a lot of soft drinks, and do things that could
destroy their health, they are destroying their body. If they dont eat the right kinds of
food, exercise daily, and stay clean, they could kill themselves faster and they could easily
catch a sickness and die from it, because they dont have enough strength to fight the
sickness. In their mind, they will have negative thoughts and not positive thoughts. They
will put themselves down and also everyone around them, including their loved ones.
They wont have the strength to do anything, except just sleep, eat, and talk. In other
words, they will become very lazy, because they wont have enough energy to do
anything.
So, in order to stay healthy, we have to eat the right kinds of food, exercise daily, and stay
clean so that we can feel good about ourselves inside and outside. If we dont eat healthy
and stay healthy, we might become lazy or catch a sickness really fast and die. So, I leave

There is little doubt that the planet is warming. Over the last century, the planets temperature has risen
by around 1 degree fahrenheit (0.6 of a degree celsius). The warmest since the mid 1800s was the
1990s. The hottest years recorded were 1997, 1998, 2001, 2002, 2003.
The United Nations panel on climate change projects that the global temperatures will rise 3-10
degrees fahrenheit by the centurys end enough to have the polar caps all but melted. If the ice caps
melt, a vast majority of our countries borders will be under water. Monuments and great buildings, as
well as homes and lives will be under water, including New York City.
So now we know what some of the causes are for global warming, how can we as individuals do our
part to help save the planet?
The answer is simpler than you may think. You dont have to go miles away from home to protest, or
spend masses of money. If you try to follow the few simple steps that I shall now give you, you will
have started to help us all.
Firstly, plant a tree. This could be easier than it sounds. Join or help out a local wildlife group and ask
to plant a tree. Trees, when fully grown, will help keep the planet cooler. On the same point, you could
protest against the demolition of the rainforests. This is the same principle, we need the trees to cool
our planet and yet they are chopping them down to create roads or homes.

Something as simple as walking instead of taking the car will help reduce pollution. As well as stopping
pollution, you are giving yourself exercise, something important for our bodies. So the next time you get
into your car, or your motorbike, think do I have to make this journey by vehicle or can I walk?
When you are at home, and your getting a little cold. Put a jumper on and do not adjust the heating.
The extra heat produced by our homes also affects the planet. So try wearing an extra layer in winter.
If possible, buy your fruit and vegetables from local suppliers. And try to avoid imported goods. The
more foreign food that we import the more pollution from aeroplanes and boats it will create.
Keeping to the speed limit can also help the environment. The more you speed the more petrol you are
going to use, making the pollution higher. Also, SUVs make about six times their own weight in CO2
each year. A small efficient diesel car covering the same distance not only uses much less fuel; it
makes two thirds less.
If possible use solar energy, after all it is free; all you need to buy is the equipment. You can get much
of your hot water and heating from the sun and even generate electricity.
Reduce, reuse and recycle. Only buy what you need; dont stock the cupboards with things you may or
may not use. Reuse whatever you can, like containers and paper, and recycle what you cannot reuse.
It really is as simple as that.
Finally turning off unused sources of power such as televisions and heaters will help the environment,
as well as save you money.
If everybody stuck to these rules, we would be doing a great thing by protecting the earth. So please
take into consideration what I have said, and try to do your part. After all, it will be our next generation
that will feel the effects.

other factors that are required of a good student. . For instance, we should not blame the

Last but not least, we must make a timetable and follow what we wrote in the timetable
on it (Why is it useful?? Support your idea). Besides that, we can exercise time after time
because health is wealth. For instance, we can jogging, swimming and so on, are some
clear examples of these types of activities. . Prevention is better than cure. Hence, we
should exercise regularly. (U started this part of the presentation with some thing about
"timetable", but you did not mention anything about it and its advantages. Just like
"writing", you should support the topic sentence.)
In a nutshell, a good student must have this qualities (it would better to list the qualities

In conjunction with the nationwide anti-smoking campaign, I, as the Head Prefect, would like to give a
speech on the topic The Disadvantages of smoking and Tips to stop Smoking.
It seems today that most of the youngsters including some of us here think that smoking is something
common and that it is something that we do not have to worry about. In fact, there are among us here
today who smoke without thinking that their actions actually violate the school regulations and they are
actually causing harm to their health.
Allow me to highlight the fact that smoking actually brings so many disadvantages. Firstly, smoking can
cause health hazard and can lead to diseases like lung cancer and heart problems. You surely do not
want to end your life like that. Besides, it is a waste of money. Students tend to use their pocket money
to buy cigarettes. Furthermore, when they start smoking, they tend to lack concentration in their
studies.
Here, I would like to share with all of you some tips on how to stop smoking. The first strategy on how
students can effectively stop smoking is by channeling their energy to studies. You should also be in
the company of non-smokers as to avoid yourself from being influenced by those who smoke.
Health is Wealth, so, train yourself to do regular exercises such as jogging and swimming. Besides
improving your health, it can also help you to forget smoking. Next, get involved in voluntary work. This
voluntary service will occupy your time and you will find yourself being further away from smoking.
The last tip that I can share with you is to talk and discuss with ex-smokers on how to kick the bad
habit. These people will definitely be the best example to tell you that demerits of smoking.

Good morning teachers and friends, I, Ihsan Hadi as the President of the Environment Club would like to talk aboutHow to
Protect the Environment
First of all, each one of us can start by not littering. We should throw our rubbish into the rubbish bin instead of anywhere we
like. Once I went strolling at a park nearby my house but was disappointed at the sight of rubbish.I saw many empty cans and
plastic wrappers lying around.They do not only spoil the beautiful park but they are the best breeding place for aedes
mosquitoes.
Another way of protecting our environment is by keeping our rivers clean. We can play our role by not throwing rubbish into
the rivers. Meanwhile the factories can stop dumping their toxic waste into them. Plastic wrappers which made up 80 percent
of the rubbish can endanger the fish and other aquatic lives while toxic waste can kill them. We, human will consequently
suffer as we rely on the rivers for food and water.
Moreover, farmers should avoid open burning in their farming practice because it polutes the air.Open burning can lead to
haze which contains poisonous gases such as carbon dioxide and sulphur dioxide. These gases can cause many serious
diseases. Children who breathe the polluted air may suffer from asthma and some people may even suffer from rashes and
eye-diseases.

Finally, we can practice the 3R; Reuse, Reduce and Recycle. Every household should aim at reducing the amount of rubbish
thrown.To achieve this aim ,each member of the household can refuse plastic carriers when he goes shopping.He can bring a
recyclable carrier or a special shopping bag.The household members can even reuse some items like glass jar as a vase and
cans as coin box or as a pen holder.Old newspapers can also be recycled into new papers or reused in paper crafting. If
"Reuse,Reduce and Recycle" are put into practice ,the amount of rubbish thrown and the amount of energy used to produce
some of the recyclabe items can indeed be reduced.
Clearly, each one of us can contribute towards the conservation of our environment and our efforts should be
continuous.Protecting our environment means ensuring the existence of our future generation.

speech on How to Become a Successful Student. In my speech, I am going to share with you some tips on how you can be
a successful student.If you want to be successful, you must set goals. Research shows that people who set goals accomplish
more than those who do not. In deciding your goals, ask yourself What do I want to be? and What do I do to get
there? Besides, you must be motivated. When you are motivated you will have a strong desire to do well and to achieve your
goals. In addition, you must pay attention in class. Listen actively and focus on what the teacher is teaching. If you have
disruptive classmates, sit in front of the classroom, away from them. Always ask questions if you do not understand. Seek
clarifications from your teachers or your friends if you are shy to approach the former.Another important tip to being a
successful student is to be organised.You can use a planner or notebook to write down all your assignments when they are
given. This way you will not forget your homework, dates of tests or projects. Remember, if you are organised you will be wellprepared and you will have less stress. Moreover, you must complete your homework on time. Homework helps reinforce
what you have learnt. It helps you understand and remember the information. You must prepare well for exams. A successful
student is one who prepares for exams well in advance, and not at the eleventh hour. If you study consistently, you will have
ample time for revision.Friends, to be a successful student you must have diverse interests.You should take part in cocurricular activities in order to become a well-rounded person. These activities help develop leadership skills and teamwork
besides instilling values like cooperation and tolerance. Discipline is an important aspect of our lives. No matter where you go
or what you do, you will be subjected to rules and regulations. Hence, it is crucial that you obey the school rules.
Dear friends,What is success if you lack the common courtesies in life? Remember,you must respect everyone. You must
respect your parents, your teachers, the school staff and also your friends. You must respect other peoples feelings and
opinions.There are also several things you must avoid if you want to be a successful student. You must avoid wasting
time. These days many teenagers spend hours on social networks such as Facebook or playing computer games. These are
a waste of time and will not benefit you in any way. Remember, Time and tide wait for no man. Also, avoid skipping
school. Some students feel that school is a waste of time as they can learn better from their tuition teachers. This is not true.
The teachers in our school are experienced and well qualified. They are also experienced examiners and they know how to
