Introduction
Quantity Takeoff is a program used to enhance Eagle Points civil engineering,
surveying, and LANDCADD products. This software package is fully integrated with the
civil applications line, yet modular in style. This allows you to be able to choose the level of
detail you wish to explore in the quantity takeoff estimating area. This feature is
compatible with all of Eagle Points products.
There are several ways to assign item IDs to objects so that quantity takeoffs can be
calculated. You can assign item IDs linearly, by object, block/cell, area, volume, and layer/
level. You can select objects such as lines, arcs, polylines, complex chains, line strings,
blocks/cells, and Nodes to which to assign an item ID.
Once an object has an item ID assigned to it, you can calculate the quantities of the items.
You can calculate quantities for all items, selected items, or items with a certain block/cell
name, layer/level name/level number, or item ID. After the calculation is executed, the
results are displayed in the Bill of Materials dialog box (Figure 4-3 on page 45). Additional
items can be added to the bill of materials by using the New command or by importing an
existing bill of materials file. In addition to importing a bill of materials file, you can also
export a bill of materials file.

The Database Manager compiles and displays the items available for a quantity takeoff.
The Database Manager stores means data or provides access to user-defined data.
Options on the Database Manager allow you to further customize this database to fit
specific needs by adding, removing, or modifying items.
" The Manage Database icon, shown above, is present on various dialog boxes throughout
Quantity Takeoff. When the documentation refers to the Manage Database icon, the
above icon is a graphic representation of what it looks like.
" Assemblies are only available if you have purchased a Means database that contains
them.

item ID. These eight characters are appended on to the two-digit C.S.I. division code.

To create a new entry in the Database Manager, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on the New Database Entry icon.
This displays the New Database Entry dialog box (Figure 2-3 on page 5).
3. Select the C.S.I. Division from the drop list.
4. Enter the item ID.
5. Enter the description for the item ID.
6. Enter the unit of measure for the item ID.
7. Enter the unit cost 1.
8. Enter the unit cost 2.
9. Click on Apply to add the entry and keep the dialog box open, or click on OK to
add the entry and close the dialog box.

To modify database entries, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on the Modify Database Entry icon.
This displays the Modify Database Entry dialog box (Figure 2-4 above).
3. Enter the name of the item to be modified in the Description edit field.
4. Enter the Unit of Measure.
5. Enter the Unit Cost 1.

Database Filters

The Database Filters command allows you to reduce the number of entries displayed in
the database. You can filter based on C.S.I. division/item ID, description, unit of measure,
unit cost 1, or unit cost 2. The database is filtered using all of the toggles that are checked
on.
" As a general rule, less memory is needed to filter the database if more information is used.
Also, the more information you provide in the filter, the faster the database is filtered. For
example, suppose your database has 50,000 records. If you perform a filter for all records
that have the item IDs beginning with 02 (Sitework), your filter could take 200 units of time
and would yield 5000 records. If you do the same filter but add descriptions that start with
b, that filter would take 5 units of time and yield 300 records. Furthermore, if you perform
a third filter for all records starting with 0201 and descriptions starting with b, that filter
would take 2 units of time and yield 15 records.
For your convenience, all records that have sub assemblies have a description that starts
with S_ (Capital S and a space). Incidentally, in the example above, a filter for all records

with an item number starting with 02 and a description starting with S_ would take 4 units
of time and yield 30 records, all of which contain sub assemblies.

C.S.I. Division
Toggle this option on if you want to filter the database by the C.S.I. division/item ID. The
drop list contains all of the C.S.I. divisions. You can also enter a part of the item ID to filter
the database.
Description
Toggle this option on if you want to filter the database by the description. Enter a full or
partial description that you want to filter for in the edit field. An asterisk can be used as a
wild card character.
Unit of Measure
Toggle this option on if you want to filter the database by the unit of measure. Enter the
unit of measure that you want to filter for in the edit field.
Unit Cost 1
Toggle this on if you want to filter the database by the unit cost 1. Select Single, Less
Than, Greater Than, or Range from the drop list and enter a value for the unit cost in the
edit field.

Single: Enter the exact unit cost that you want to filter by.
Less Than: Enter the value for the unit cost that you want all database items to
be displayed that are below that value.
Greater Than: Enter the value for the unit cost that you want all database items
to be displayed that are above that value.
Range: Enter the range of unit costs that you want all database items to be
displayed that are between these values.

Than, Greater Than, or Range from the drop list and enter a value for the unit cost in the
edit field.

To filter the database entries, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on Filters.
This displays the Database Filters dialog box (Figure 2-5 on page 9).
3. Toggle on C.S.I. Division if you want to filter based on the C.S.I. division. Enter
the item ID that you want the filter based on.
4. Toggle on Description if you want to filter based on the description. Enter the
full or partial description that you want the filter based on.
5. Toggle on Unit of Measure if you want the filter based on the unit of measure.
Enter the unit of measure that you want the filter based on.
6. Toggle on Unit Cost 1 if you want to filter based on unit cost 1. Select the option
to filter by either Single, Less Than, Greater Than, or Range. Enter the value or
values for the unit cost.
7. Toggle on Unit Cost 2 if you want to filter based on unit cost 2. Select the option
to filter by either Single, Less Than, Greater Than, or Range. Enter the value or
values for the unit cost.
8. Click on OK to accept the filters.
This filters the database and displays item IDs according to the toggles that are on.

Sub Assemblies
Sub Assemblies provide you with the ability to build assemblies using existing items found
in the database. These items can have varying quantities, for example:

assembly exists for that item ID. This displays the item ID, description, units, unit cost 1,
and unit cost 2 for all of the sub assemblies.

This displays an extended description for the sub assembly item ID.

This column displays the quantity per unit of measure for the sub assembly item.

QuickSteps
To view the sub assemblies for an item, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Highlight the item that you want to see the sub assemblies for and click on
Assemblies.
This displays the Assembly Manager dialog box (above).
3. Click on Close to return to the Manage Database dialog box.

After specifying the file name to import, you must assign which columns of data belong to
the specified QTO fields by using the drop lists. The drop lists are filled in with the names
of the columns specified in the header of the file you are importing. Minimally, you must
import a CSI division, Item ID, Description, Unit of Measure, Unit Cost 1, and Unit Cost 2.
You may also optionally import an Alternate ID, Phase Code, or Item Code.
Refer to the QTO Import File Format on page 20.
If any problems exist in the file being imported, the Invalid Import Item dialog box (Figure
2-14 on page 21) displays. You can correct the problem on the item, ignore the problem,
ignore all problems in the file, or cancel the import.
For more information, see Invalid Import Item on page 21.
Once all of the items are imported, the Import Results dialog box displays. The number of
items imported successfully and the number or errors display. You have the option to
Undo the import or click on Done to accept the import.

This command allows you to append your current QTO database with additional records
by importing an ASCII file that contains your own specific Item IDs and costs. The file to
import can be either comma delimited (.CSV) or tab delimited.

Specify the path and name of the file you wish to import. You may enter the file directly in
the edit field or use the Browse button to locate the file to import through the Windows
Open dialog box. After specifying the filename, the drop lists in the Import Links frame are
enabled showing you the names of the columns of data to import.

Specify the file type as Comma Separated File (*.CSV) or as Tab Delimited File (*.TXT).
Refer to QTO Import File Format, below.
C.S.I. Division
This is the Construction Specifications Institute division number for the categories of
items. The CSI Division must be a 2-digit number between 01 and 16. If a CSI division is
not important to your database, specify the CSI Division as 01. The C.S.I. Division is a
required field.
Item ID
This is the ID that is assigned to the item. The Item ID must be 8 characters long. These
eight characters are appended on to the two-digit C.S.I. division code. The Item ID is a
required field.
Description
This is the extended description for the item ID. The Description must be between 1 and
70 characters long. The Description is a required field.
Unit of Measure
This specifies the units that are used for each item. The Unit of Measure must be between
1 and 4 characters long. The Unit of Measure is a required field.
Unit Cost 1
Enter the first Unit Cost for the item. The unit cost must be greater than 0.00 and less than
1000000.00. While both unit costs are required, you can specify the same unit cost for
both Unit Cost 1 and Unit Cost 2.
Unit Cost 2
Enter the second Unit Cost for the item. The unit cost must be greater than 0.00 and less
than 1000000.00. While both unit costs are required, you can specify the same unit cost
for both Unit Cost 1 and Unit Cost 2.
Alternate ID
This is the alphanumeric Alternate ID. The Alternate ID cannot be greater than 12
characters long. The Alternate ID is optional to import.
Phase Code
This is the alphanumeric Phase Code. The Phase Code cannot be greater than 9
characters long. The Phase Code is optional to import.
Item Code
This is the alphanumeric Item Code. The Item Code cannot be greater than 4 characters
long. The Item Code is optional to import.

Quantity Takeoff
To ignore an invalid record, click on the Ignore button. The import of the files continues
until another problem is encountered. If no other problems are encountered, the Import
Results dialog box displays. The number of records successfully imported are displayed,
as well as the number of records with errors. You have the option to Undo the import or
click on Done to accept the import.
To ignore all invalid records, click on the Ignore All button. The import of the file continues
until all records are imported. Once all valid records are imported, the Import Results
dialog box displays. The number of records successfully imported are displayed, as well
as the number of records with errors. You have the option to Undo the import or click on
Done to accept the import.
To cancel the import command, click on the Cancel All button. The import routine is
canceled and nothing is imported into the database.

on the Apply button. The import of the file continues until another problem is encountered.

" If the item ID does not exist in the database, a message is displayed stating so. You must

want to select an item ID from the database, click on the Manage Database icon.

This icon compiles and displays the items available for a quantity takeoff.
Quantity
This edit field allows you to enter the number of items you want to assign to the
CAD object. You do not need to assign the same item ID to each similar object.
You can assign one object with a larger quantity.

QuickSteps
To assign an item ID to an object, complete the following steps:
1. Select Item ID ! Assign by ! Object.
This displays the Assign Item ID by Object dialog box (Figure 3-2 on page 24).
2. Enter the Item ID in the edit field, or click on the Manage Database icon to
display the Manage Database dialog box (Figure 2-2 on page 4) to select, create,
or modify an item ID.
3. Enter the quantity that you want to have assigned to the object.
4. Click on Apply to assign the item ID.
You are prompted to select an object.
5. Graphically select the object to which you want to assign the item ID. When you
are done selecting objects, press Enter in AutoCAD/BricsCad or the reset
mouse button in MicroStation.

To assign a linear item ID to an object, complete the following steps:
1. Select Item ID ! Assign by ! Linear.
This displays the Assign Item ID by Linear dialog box (Figure 3-3 on page 25).
2. Enter the Item ID in the edit field, or click on the Manage Database icon to
display the Manage Database dialog box (Figure 2-2 on page 4) to select, create,
or modify an item ID.
3. Select how you want the linear distance to be measured (length or stations).
4. Click on Apply to select the object to assign a linear item ID.
You are prompted to select an object.

you are done selecting objects, press Enter in AutoCAD/BricsCad or the reset
mouse button in MicroStation.
6. Click on Close when finished.

you want to assign an item ID to. When you are done selecting blocks/cells
and Nodes, press Enter in AutoCAD/BricsCad or the reset mouse button in
MicroStation.
B. Block/Cell Name: If you have selected the Block/Cell Name option, enter the
name of the block/cell in the edit field, or click on the PIC icon to graphically
select a block/cell or Node and the name is filled in the edit field for you.
C. Description: If you have selected the Description option, enter the
description in the edit field.
D. Field Code: If you have selected the Field Code option, select the Field Code
from the Field Code drop list.

selection criteria.

The methods that you can use to assign the item ID are EP Boundary, Object, and Width.
You can also select what type of units are to be used. The available units are acres,
square feet, and square yards when you are in an English project, and hectares and
square meters when you are in a metric project.

Description, and Field Code.

The Calculate Quantities command allows you to calculate a quantity for selected items
that have been assigned an item ID. You can calculate the quantities for all objects, select
the desired object, all blocks/cells of a certain name, all objects on a certain layer/level, or
all objects with a certain item ID.
" The calculation results can be displayed by selecting the Bill of Materials command from
the Calculate pull-down menu.
" As soon as the Calculate Quantities command is executed again, the previous bill of
materials is deleted, and a new bill of materials is reported based on the new calculations.

The Bill of Materials command allows you to display the latest calculated results. You can
also create custom results using the new, modify, and delete commands. The bill of
materials displays the item ID, description, quantity, units, unit costs, and estimated costs.

This option allows you to remove an item that is included in the takeoff results.
This updates the estimated totals. This does not affect the database entry in the

This option allows you to customize how the bill of materials results are printed.
You can specify what you want printed, how wide the columns should be, the
heading for each column and the order of the columns.
Import
This option allows you to import a saved bill of materials list to be included with
the current bill of materials list.
Export
This option allows you to save a bill of materials list so it is not lost when another
calculation is performed.

This is the Construction Specifications Institute division number for the categories
of items. For example, 01 is General Requirements.
Item ID
This is the ID that is assigned to the item. Enter 8 digits for the item, or select
from a list of defined item IDs in the database. This does not have to be an item
listed in the database.

This icon compiles and displays the items available for a quantity takeoff.
Description
Enter the extended description for the item ID in this edit field.
Quantity
Enter the quantity for items. For example, if you want the item counted as 1
object, enter 1.
Unit of Measure
Enter the unit of measure for the item in this edit field.

Enter the first unit cost for the item in this edit field.

Enter the second unit cost for the item in this edit field.

Column Header
This option allows you to customize the heading for the column.
Width
This option allows you to specify how wide each column is when it is printed.

This displays the total of all the numbers that are displayed in the Width column
for the items that are toggled on to be printed.

This allows you to have a longer description that would be placed in a paragraph

The following are tips when printing QTO Bills of Materials data:
" We do not currently have the ability to detect the width of each character in a specific font
type, so if you wish to see everything lined up perfectly, choose a monotype font like
Courier.
" When specifying the column widths for each data field, you must consider one more space
than you want the text to take up, as the extra space is needed for separating the columns.
The smallest column width that you can currently enter is 2 one space for a character
and one space for a space.
" If you are not a fan of buttons, right-clicking on the list control brings up a pop-up menu
from which you can choose different commands. Additionally, if you highlight an item or
multiple items on the list control and you want to move them up/down in the list, simply hit
the up or down arrows on the keyboard, respectively.

To print a bill of materials report, complete the following steps:
1. Select Calculate ! Bill of Materials.
This displays the Bill of Materials dialog box (Figure 4-3 on page 45).
2. Click the Bill of Materials Print Options icon.
This displays the Bill of Materials Table Setup dialog box (Figure 4-5 on page 49).
3. Toggle on the items you want to print.
4. Enter the widths for the items that you have toggled on.

This export option will convert the output into a file format that this
particular software can read.

The Export to Excel spreadsheet or Comma separated file options allow you to create a
file so you can import a bill of materials into Excel or a variety of word processing
applications.
1. Select Calculate ! Bill of Materials.
2. Click on Export in the Bill of Materials dialog box (Figure 4-3 on page 45).
3. Highlight Export to an Excel spreadsheet.
4. Click on the Export button.
The Bill of Materials Table Setup dialog box (Figure 4-5 on page 49) displays.
5. Toggle on the fields you wish to display in the export.
6. Perform a primary or secondary sort.
7. Click on the Export button.
8. Type a name for your file.
9. Click on the Save button.
Export Information
The Export to QuickBooks Pro option in the Export Bill of Materials dialog box (Figure 4-6
on page 52) allows you to import data into the QuickBooks Pro software. When this option

5. Select the location for the bill of materials report.
6. Enter a file name for the bill of materials report and click on Save.
The file is saved with a BOM extension. This exports the contents of the bill of
materials to the file you specified.

The Display Objects command allows you to display all of the objects that are tagged with
an item ID, all of the objects that have not been tagged with an item ID, or all of the objects
that have been tagged with a specific item ID. The objects are displayed by highlighting
them in the CAD graphic.
" As soon as the CAD graphic is redrawn, or the command is closed, the objects return to
their original state.

available options are Tagged Entities, Untagged Entities, and By Item ID.
Item ID
This drop list is only available if the method is set to Display By Item ID. Enter
the item ID in the edit field or click on the Manage Database icon.

This icon allows you to select an object that has an item ID assigned to it. The
item ID is filled in the Item ID edit field.

QuickSteps
To display objects that are tagged or not tagged with an item ID, complete the following
steps:
1. Select Display ! Objects.
This displays the Display Objects dialog box (Figure 5-2 on page 56).
2. Select the desired method. The available options are Tagged Entities, Untagged
Entities and By Item ID.
A. Tagged/Untagged Entities: If you have selected Tagged Entities or Untagged
Entities, click on Apply to display the objects.
B. By Item ID: If you have selected By Item ID, enter the desired item ID, click
on the Manage Database icon and select an item ID, or click on the PIC
button and graphically select an object that has been tagged with an item ID.
Click on Apply to highlight the objects that are tagged with the item ID that
is specified.
3. Click on Close when you are finished with the command.
The objects that are highlighted are returned to their original states.

Assemblies
Each item in your QTO database may contain
assemblies of other items. For example, an item ID
might be assigned to an entire fence line, and within
that one item ID can be other item IDs that are used
for the fence poles and fence screening. When a bill of
materials is generated, the individual fence posts and
screen material is included in the bill of materials.
C.S.I. Division
This is the Construction Specifications Institute
division number for the categories of items. For
example, 01 is General Requirements.
Item ID
This refers to the 10-digit alphanumeric ID that is
assigned to an object(s) that corresponds to an entry
in your QTO database. The first two digits are the
C.S.I. Division and the last eight are the item ID. An
item ID can be assigned by different methods so that
when a bill of materials is calculated, the quantity and
units are calculated from the objects in CAD.

QTO Database
This is the collection of item IDs grouped by their C.S.I. division number. The default
database that is shipped with QTO can be modified and additional entries may be
made. Every project uses the same QTO database.
Tagged Items
This refers to items that have been assigned a QTO item ID. You may show all tagged
items by using the Tagged Items command found in QTO.
Untagged Items
This refers to items that have not been assigned a QTO Item ID. You may show all
untagged items by using the Untagged Items command found in QTO.
