Personal statement

I have a background of working alongside Senior CEO Personnel. I pride myself in my ability to converse with all
levels of seniority and I thrive in the busy environment putting a lot of energy into getting things done. I am
honest, supportive and loyal to those I work alongside. I provide support to my colleagues in their professional
and personal life. I enjoyed being an ambassador for my department giving me experience of various cultures
from diverse backgrounds.

At present I am employed for the Foreign Commonwealth Office as a contractor. I manage the Overseas
Learning and Development courses for UK and Overseas based staff. Having been here for 3 month's the
contract is now coming to a close and I need to find a more permanent position. I have no obligations as to how
much notice I have to give so I am therefore available immediately.

I am fully proficient with managing the daily, weekly and monthly schedule of events within a busy calendar;
assisting the Directors in scheduling a full diary, managing all ad hock administrative duties, fielding telephone
enquiries from clients, organisations & media, organising document content for meetings, attending meetings
when required which sometimes required some travel within the UK but content to travel to Europe. I am
technically proficient with Advanced Microsoft Office including Outlook, Word, Excel and PowerPoint, extremely
meticulous in my work and have a friendly & warming personality.

Professional Training
Diploma in Secretarial studies - Distinction - 2007.
Full Microsoft Office Advanced user - Outlook, Excel – (budget input, working with spreadsheets and monitoring
expenses/budgets), PowerPoint. Audio/Touch/Copy typing 74 - 90 wpm, including numerical data; Proof reading;
BTEC in Security Vetting Procedures – 2009.

Contractor working in the Learning and Development Overseas HR courses, managing, co-ordinating 5 UK
training courses at the FCO.
I have just completed a very successful project sending out a UK trainer to Lusaka at the end of November with
very minimal supervision. It included: Researching course presenter; all travel and transport itineraries and
bookings; hotel reservations and risk assessment.
Previous Employer - March 2008 – 17 April 2009 - Atkins Ltd – Consulting Engineers, Epsom
Corporate Security Office – Working in a small team for the end to end SC applications to enable staff and
contractors to work on MoD or Metropolitan Police sites where sensitive projects are performed.

On promotion I secured a post as PA/Executive Assistant for the Defence Medical Services Department,
Finance and Secretariat and Medical Operational Capabilities in April 2006 – February 2008 working with two
Directors., Mr Christopher Williams – Finance and Secretariat; Brigadier Steve Howe (ret’s) Medical Operational
Capabilities department.

The Finance team - responsible for the budgetary control of all Medical matters Interlinked with extensive liaison
with the NHS and other Government Medical Institutes.

The Secretariat team - responsible for media enquiries, extensive liaison with: Prime Minister’s office, Minister
for Defence and Permanent Under Secretary’s office; MP’s and other Government Departments. Lead advisors
in a House of Commons Defence Committee scrutiny in 2007.

Key areas of responsibilities for posts held within the MoD

Full PA and Executive support to 4 Directors and 125 Analysts, underpinning the need for professionalism,
integrity, honesty and confidentiality at all times.
Point of contact for the Secretariat and Finance office in collaboration with the Assistant Directors in the absence
of the Directors.
Entering data into Excel - costing, travel, hotel information.
Screening of all incoming calls, correspondence and emails, responding accordingly.
Assist the Corporate Communications/press desk with ad hoc support including attending Passing out Parades,
database entry, researching news items of interest (inter and intranet based) and liaising with Media and Press
Officers.
Extensive liaison with internal and external key stakeholders.
Advising team (s) of the changes in priorities in a timely and sensitive manner.
Gate keeping visitors, greeting visitors from overseas countries and OGD’s.
Making and co-ordinating full complex travel itineraries, visa’s, currencies, booking flights mindful of time zones,
liaising with service chauffeurs.
Bidding for meetings with external key players.
Researching, Identifying and analysing news items of interest, distributing to both Directors and Assistant
Directors accordingly.
Manage and coordinate all meetings, minutes, action points, room and refreshment bookings; Video and
Telephone Conferencing where applicable. Coordinate Directors weekly meetings, arranging distribution of
action points, placing information on relevant internal team sites. Catalogue relevant documentation for Directors
meetings, ensuring they arrive in plenty of time at the correct venue.
Tracking and recording movement of sensitive papers and documents onto database; filing; and recording
movement in and out of the department.
Provide admin support to other teams for timely completion of high level projects and documents.
Organising and co-ordinating official and social functions. Researching venue costs, food, entertainment,
security issues and risk assessments.

2004 – 2006 I worked in a secure environment, within a team of Multi-Agency officers made up from MoD, Home
Office, Police and Analysts / Specialists from other Government departments.
I was one of 3 Personal assistants/officers working in a small dedicated team. The business requirement was to
organise and run a generic administration team because of the complexities of the different organisations and
their ways of working to make it compatible within the overall framework of the department. My main duties were
virtually the same as the PA position but with a larger workforce.

MoD Management Services. 2002 - 2004

Timely raising and tracking Armed Forces Annual Reports – advising officers of the content requirements and
guidance for the time based completion.
Deployment to operations administrator for the Unit, coordinating service personnel records.
Medical registers and classified documentation administrator.
Cover officer for the registry on temporary promotion, and other adhoc duties when support was required.

In my spare time:- I am a Coach for the Special Olympics Surrey Tenpin bowling team, I bowl myself and am an
avid Archer; enjoy current affairs, Formula 1 and have recently taken up Golf.
Competent writer – external and internal audiences - I gained skills working in DMSD having to
reply to internal and external audiences via different media as priorities dictated. This included
some very senior MP’s Outer offices of USof S; key stakeholders.
Ideally Adobe CS3 (In Design and Photoshop) competent. I used Adobe to design and complete a
book for a WWII veteran. I also use it at home to manipulate photographs and documents.
Competent user of web based content management systems (CMS). My time at the Security
Services included web based management systems to upload diaries; visiting dignatories; formal
and informal functions.
PC literate competent user of MS Word, Excel and PowerPoint. Extensive use of Word, adding
budget and expenses in Excel and Power point presentations designing menu’s; Conferences.
Excellent communicator, both written and oral. I pride myself in having dealt with many senior
Military and Civil Servants in my time at the MoD.
Good time manager, organised, methodical and thorough. Having worked in a high level Executive
office, gave me the experience of working to tight deadlines when involved with policies and
documents that were of a sensitive nature. I organised two Directors diaries and complex meetings,
and volunteered for various tasks to help the teams.
Demonstrate the ability to multi-task and to deliver accurately, on time. Being the office
ambassador and PA to two Directors gave me extensive diary and meeting management. It goes
without saying that being PA to two Directors, being able to multi-task was a day to day
occurrence.
Self-starter – In my role it was expected of me to organise my working day and plan the duties that
required completing in a timely manner. I worked hard to ensure that both Directors were
supported when priorities dictated it.
Team player- I supported the Secretariat, Finance and Medical Operational Capabilities (MOC)
team. I was instrumental in coordinating visits, ordering building passes, arranging refreshments
and escorting visitors on the day of the Conference. In the Corporate Communications department,
I assisted the CC Officer in Parades, inputting membership onto the web and aided in literature
designs.
Flexible and willing to learn - I have a strong ethos of being flexible. I arranged my hours and
day’s to cover the office when priorities were constantly changing. When serious issues arose, I
supported my peers by starting early and staying late without notice. I have been learning all my
life and I am more than willing to learn anything in line with the office needs and anything that is
expected of me. I gained a Diploma in Secretarial Studies in 2007, A BTEC in Security Vetting
Procedures and have started to learn French
Accustomed to working within agreed budgets – It was my responsibility to work with the Director
in managing his budgets by input and raising issues of overspend.
Effective communication skills - I have this life long skill by being not only a PA, but as a Sports
Coach. I took on helping at Instructor training courses, delivering subjects requested by the Head
Coach to those wishing to gain certification.
Excellent influencing and listening skills - I researched cost savings for my Director. I found a
more budget friendly way to book hotels to save his budget going into a deficit. I arranged for all
the MOC Military Officers to have their hotels booked in this way. They spent a lot of time on the
internet researching their costs and I volunteered to take on this extra role to help out, which was
well received.
The ability to deal with immediate issues without sacrificing long-term strategic priorities – There
were many issues that frequently occurred that I had to deal with whilst administering my daily
duties. My Director had over 5,000 emails in his inbox which I had to organise and reduce his
Whilst studying and learning to be a Sports coach, I had to give presentations to groups of Coaches
on courses who needed to gain necessary skills. I am not afraid to develop the skills required, as it
would improve my knowledge to undertake them.
The Security Services was a very fast-moving environment and as a team of 3, I had to ensure that
the analysts’ diaries were up to date. We were responsible for all their administration needs on a
daily basis, running the administration office, ordering supplies, room bookings, arranging national
and international conferences, costs and risk assessment.
All I have ever wished to do is work for my country. I have held DV and SC clearance; I also hold
2 Enhanced CRB’s which underpins my integrity, confidentiality and commitment. As a former
police officer, I have experience of probing and questioning those I had a need to question.
An appreciation of delivering quality services via an effective equal opportunities and diversity
agenda within an organisation of similar complexity. I maintain this by always giving of my best
and treating others in the way I would like to be treated
Good management and team leadership skills with an empowering, flexible style. Working with
children and young people as a Coach; helping out in the Special Olympics, Surrey who are
competing in the Special Olympics in two weeks time, giving voluntary support and empowering
those that I Coach. They took part in their Regional heats and won convincingly which made me
very proud of them.
Robust under pressure and able to work to tight deadlines – DMSD was a highly visible
Government department. I coordinated papers, researched subjects, arranged travel and hotel
accommodation for officers taking part in a House of Commons Scrutiny in 2006/7 which was time
sensitive.
Highly motivated and not easily discouraged. When I joined DMSD I had no experience as a PA
and had little knowledge of Government and limited contact with Ministers outer offices, this post
came with promotion. Not only did I have to attend college once a week, I also had to keep up to
speed with the situations that arose whilst out of office. It seemed a bit daunting to learn the job
alone with no role model to ask advice, but I made the post very successful and productive and I
succeeded in getting my Diploma and keep on top of my duties.
