Setting up Tutor for Demos

Scope
This procedure covers downloading, installing and setting up the Tutor environment on a PC
or laptop.
This procedure does not cover creating or maintaining documents in Tutor, theTutor
methodology, etc.

Policy
Sales Consultants are expected to demo Tutor, where they are comfortable, to software
evaluation teams, project teams, training departments and other customer groups interested in
learning more about the power of Tutor.

Responsibility
The Tutor User is responsible for preparing their laptop for Tutor demos

Install the required software

Make sure settings are correct

Move documents to the final directory

Run Publisher programs: Master Index, Reports, Batch HTML, Desk Manual(s) and
Desk Manual Index

Activity Preface
This activity is performed whenever you need to install Tutor for demos.
The job title Tutor User refers to the following:

Sales Consultant

Consultant

Systems Integrator

Tutor User
Download Tutor Software and model documents.
It is recommended you do this from a high-speed Internet line due to the size of the
files.
1.

Create 4 \temp folders:

C:\Temp

C:\Temp\Author

C:\Temp\Publisher

C:\Temp\Documents

This would best be in your my_data folder.


2.

Go to http://metalink.oracle.com
If you are not a current user of Metalink you will have to identify yourself as a new
user/employee (see the red link on the left of the page) to get to the download. Once you
have registered and signed in you will be able to do this portion of the procedure. It only
takes a second to become a user.

3.

Download Author 11.5.6A


This will take approximately 1 minute from a high-speed Internet line.
In the left frame click on PATCHES.
Click on New Metalink Patch Search

Enter the patch number: 2629315


Click on GO.
Click on download.
If asked for a location to download to, goto task #4. Otherwise, goto task #5.

Download the patch to the \temp folder you created.


DO NOT download the patches to a folder named Tutor or Tutor11i

Goto task #6.


5.

Search for the 2629315.zip file in Windows Explorer.

6.

Extract the patch to C:\Temp\Author folder

7.

Locate and run the setup.exe file.

8.

Determine if you have enough disk space for Tutor to be loaded on your C or D drive.
Author and Publisher take up about 10MB combined. Model documents take up 3GB
depending on how many versions you keep on your PC.
We recommend you put Tutor on your D drive to ensure space is available. However this
is an option.

If you need to install Tutor on a drive other than your C drive, goto task #9. Otherwise,
goto task #12.
9.

Choose Browse at the Select Components screen

10. Enter the appropriate Drive and Path.

11. Select OK
12. Answer yes or next to all questions asked in the installation process.

If need to install Publisher, goto task #13. Otherwise, goto task #18.
13. Download Publisher 11.5.6A
This will take approximately 1 minute from a high-speed Internet line.
In the left frame click on PATCHES.
Click on New Metalink Patch Search
Enter the patch number: 2629325
Click on GO.
Click on download.
If asked for a location to download to, goto task #14. Otherwise, goto task #15.
14. Download the patch to the \temp folder you created.
DO NOT download the patches to a folder named Tutor or Tutor11i
Goto task #16.
15. Search for the 2629325.zip file in Windows Explorer.
16. Extract the patch to C:\Temp\Publisher folder you created.
17. Locate and run the setup.exe file.
The default location for the installation should be to the drive you selected when setting
up Author.
If default is not correct, goto task #9. Otherwise, goto task #18.
18. Download Model Documents 11.5.6A
This will take approximately 15 minutes from a high-speed Internet line.

In the left frame click on PATCHES.


Click on New Metalink Patch Search
Enter the patch number: 2589921
Click on GO.
Click on download.
If asked for a location to download to, goto task #19. Otherwise, goto task #20.
19. Download the patch to the \temp folder you created.
DO NOT download the patches to a folder named Tutor or Tutor11i
Goto task #21.
20. Search for the 2589921.zip file in Windows Explorer.
21. Extract the patch to C:\Temp\Documents folder
22. Locate and run the setup.exe file.
All of the documents in this zip file are the model documents delivered with Tutor and
associated documentation.
The model documents will all be extracted to Tutor11i/US/ORIG/XXXX (specific
folders for different document types). Later in this procedure you will find additional
information about these documents and how to manage them.
You are now ready to setup Tutor on your computer.
23. Open the Author User Manual and scan the table of contents.
User Manuals can be found in the \Tutor11i\User Manuals folder.
Acrobat reader 4.0 or higher is required to read the User Manuals.
24. Complete Setting Options in Chapter 1 for your versions of Windows and MS Word
25. Open Author.
There should be a shortcut icon on your desktop. Click on it.
You should be presented the Tutor splash screen and then a window with 3 options:
Create new document
Open existing document

Convert Help File


If the Tutor splash screen was not presented, goto task #26. Otherwise, goto task #28.
26. Set the User Template for the author.dot file.
In Windows Explorer/tools/find search for author.dot.
Write down the directory this file is located in.
Open Author.
In Word/Author, go to tools/options/file locations
Select User Templates - Modify
Browse to the directory where author.dot is located
Click OK
27. Verify proper template has been assigned.
Close Author.
Open Author.
28. Set flowchart preferences.

Select Open Existing Document from the Tutor splash screen.

Open a procedure, any procedure, to open Author to move ahead to the next task.
The folder you will want is Tutor11i/us/orig/proc as that is where all of your
procedures reside. Do not make any changes at this time.

Go to Author/Flowchart preferences in the tool bar


Click on the items you want.
At a minimum these should be:
Display system boxes
Display prior activities
Display document title
29. Open Windows Explorer.
For the following task you will need to know basic Windows cut and paste functions. If
you do not, please find someone who does to assist you with this process. It is best if this
person is sitting with you as opposed to over the phone.
30. Copy documents from Tutor11i/us/ORIG toTutor11i/us/FINAL.
ORIG is where the installation put the model documents. This is a good place for you to
keep all unedited copies of the documents you will utilize on a regular basis. Think of
this folder as containing the clean version of all the model documents and where you

will go to copy from after demoing Tutor to ensure a clean copy will be as you need it
for your next demo.
To learn about cleaning up after a demo, refer to Conducting a Tutor Demo
[PROSC002].
All documents in these folders should be copied:
CODE
FORM
INS
PROC

31. Close Windows Explorer.
32. Build a Master Index.
This will take a couple minutes.
Open Publisher
Click on Index/Rebuild Master Index/OK in the tool bar
33. Run the reports.
Publisher will prompt you to run reports.
Select All to run all the reports.
Click on OK
34. Update HTML Options
Open Publisher
Click on Tools/HTML Options in the toolbar
Deselect Enable Oracle Applications Online Help Support at the top of the options
window.
Click on:
Hide Bracketed File Names
Display Effective Date
Display Revision Number
All others should be clicked off.

35. Convert all documents to HTML.


This will take a long time due to the number of documents you have in your repository.
In Publisher
Click on Tools/Create HTML Files (Batch) in the tool bar
Select All
Click on OK
36. Create a Desk Manual
In Publisher
Click on Desk Manual/Create Online Desk Manual in the tool bar
Select an appropriate job title for your demonstration.
Click on OK
37. Create a Desk Manual Index
In Publisher
Click on Desk Manual/Create Online Desk Manual Index in the tool bar
Click on OK
38. Close Publisher.
39. Create a desktop folder for Tutor.
On the desktop
Right click the mouse anywhere on the desktop
Select New/Folder
Rename the folder TUTOR
Move the icons from your desktop for Author and Publisher into the folder by dragging
them in.
40. Create a shortcut for the desk manual index.

Go to Windows Explorer
Select tutor11i/html/DESK_MANUAL_INDEX
Right click
Select create shortcut (windows will create the shortcut and place it at the bottom of the
directory)
Cut and paste the shortcut into the Tutor folder you created.
CONGRATULATIONS! You have successfully installed and setup Tutor. Good luck
with your demonstrations.
